Today, let’s understand the basic differences between paraphrasing vs. summarizing and when to use which . We’ll also look at types and examples of paraphrasing and summarizing, as well as how to do both effectively.

What is paraphrasing?

It refers to rewriting someone else’s ideas in your own words. 

It’s important to rewrite the whole idea in your words rather than just replacing a few words with their synonyms. That way, you present an idea in a way that your audience will understand easily and also avoid plagiarism. 

It’s also important to cite your sources when paraphrasing so that the original author of the work gets due credit.

When should you paraphrase?

The main purpose of paraphrasing is often to clarify an existing passage. You should use paraphrasing when you want to show that you understand the concept, like while writing an essay about a specific topic. 

You may also use it when you’re quoting someone but can’t remember their exact words. 

Finally, paraphrasing is a very effective way to rewrite outdated content in a way that’s relevant to your current audience.

How to paraphrase effectively

Follow these steps to paraphrase any piece of text effectively:

  • Read the full text and ensure that you understand it completely. It helps to look up words you don’t fully understand in an online or offline dictionary.
  • Once you understand the text, rewrite it in your own words. Remember to rewrite it instead of just substituting words with their synonyms.
  • Edit the text to ensure it’s easy to understand for your audience.
  • Mix in your own insights while rewriting the text to make it more relevant.
  • Run the text through a plagiarism checker to ensure that it does not have any of the original content.

Example of paraphrasing

Here’s an example of paraphrasing:

  • Original:  The national park is full of trees, water bodies, and various species of flora and fauna.
  • Paraphrased:  Many animal species thrive in the verdant national park that is served by lakes and rivers flowing through it.

What is summarizing?

Summarizing is also based on someone else’s text but rather than presenting their ideas in your words, you only sum up their main ideas in a smaller piece of text.

It’s important to not use their exact words or phrases when summarizing to avoid plagiarism. It’s best to make your own notes while reading through the text and writing a summary based on your notes.

You must only summarize the most important ideas from a piece of text as summaries are essentially very short compared to the original work. And just like paraphrasing, you should cite the original text as a reference.

When should you summarize?

The main purpose of summarizing is to reduce a passage or other text to fewer words while ensuring that everything important is covered.

Summaries are useful when you want to cut to the chase and lay down the most important points from a piece of text or convey the entire message in fewer words. You should summarize when you have to write a short essay about a larger piece of text, such as writing a book review.

You can also summarize when you want to provide background information about something without taking up too much space.

How to summarize effectively

Follow these steps to summarize any prose effectively:

  • Read the text to fully understand it. It helps to read it a few times instead of just going through it once.
  • Pay attention to the larger theme of the text rather than trying to rewrite it sentence for sentence.
  • Understand how all the main ideas are linked and piece them together to form an overview.
  • Remove all the information that’s not crucial to the main ideas or theme. Remember, summaries must only include the most essential points and information.
  • Edit your overview to ensure that the information is organized logically and follows the correct chronology where applicable.
  • Review and edit the summary again to make it clearer, ensure that it’s accurate, and make it even more concise where you can.
  • Ensure that you cite the original text.

Writing at university involves integrating ideas from other authors into your own writing.

Paraphrasing and summarising allows you to acknowledge these authors by expressing the information in your own words. Effective paraphrasing also demonstrates your understanding of the information.

How to paraphrase

To paraphrase, you need to:

  • change the structure of the sentence
  • change the words in the sentence

Changing the structure of a sentence

  • Read the original text a number of times and make sure you understand the main ideas.
  • Write down the main ideas from memory.
  • Check what you have written against the original text – make sure you have retained the original ideas and that your version is different.

Changing the words

It can be easy to spot when someone has copied directly from a textbook. We all have different styles of writing and yours will be different to the authors you are reading.

  • Once you understand the main ideas of the original text look for specialised words – these words may be retained in the paraphrased version, as they are key to the meaning of the sentence.
  • Look for words or phrases that can be changed.
  • Use a thesaurus or dictionary to find substitutes.

Paraphrase Rephrasing or restating information from another source in your own words without changing the meaning. Maybe shorter than the original passage.

Summary A summary includes only the main ideas of someone else’s writing, restated in your own words. Much shorter than the original text.

Always acknowledge the original author when using a paraphrase or summary.

In the last few years, a collection of research has shown another, more nuanced advantage of workplace diversity: diverse teams are simply better . Working with people who are unlike you may encourage your brain to lose its old ways of thinking and improve its performance.

Note this paraphrase has only replaced some words with synonyms and has kept the structure almost identical to the original sentence.

A good paraphrase

  • Read your text/paragraph and ensure that you understand it.
  • Write down your ideas without looking at the original.
  • Use synonyms or change the word order of your sentence.
  • Compare with the original to see whether you are conveying the same meaning.
  • Record the source details so you can easily cite it later.

Change word class

Change the sentence structure

Paraphrasing, Summarising and Quoting

Much of the work you produce at university will involve the important ideas, writings and discoveries of experts in your field of study. Quoting, paraphrasing and summarising are all different ways of including the works of others in your assignments.

Paraphrasing and summarising allow you to develop and demonstrate your understanding and interpretation of the major ideas/concepts of your discipline, and to  avoid plagiarism.

Paraphrasing and summarising require analytical and writing skills which are crucial to success at university.

What are the differences?

Paraphrasing.

  • does not match the source word for word
  • involves putting a passage from a source into your own words
  • changes the words or phrasing of a passage, but retains and fully communicates the original meaning
  • must be attributed to the original source.

Summarising

  • involves putting the main idea(s) into your own words, but including only the main point(s)
  • presents a broad overview, so is usually much shorter than the original text
  • match the source word for word
  • are usually a brief segment of the text
  • appear between quotation marks

What is a quotation?  

A quotation is an exact reproduction of spoken or written words. Quotes can provide strong evidence, act as an authoritative voice, or support a writer's statements. For example:

Bell and Bell (1993) point out in their study of Australian-American cultural relations: "culture is never simply imposed 'from above' but is negotiated through existing patterns and traditions." (Bell & Bell 1993, p. 9)

Use a quote:

  • when the author's words convey a powerful meaning
  • when the exact words are important
  • when you want to use the author as an authoritative voice in your own writing
  • to introduce an author's position you may wish to discuss
  • to support claims in, or provide evidence for, your writing.

How to quote

Quoting should be done sparingly and support your own work, not replace it. For example, make a point in your own words, then support it with an authoritative quote.

  • appear between quotation marks (" ")
  • exactly reproduce text, including punctuation and capital letters.
  • A short quotation often works well when integrated into a sentence.
  • If any words need to be omitted for clarity, show the omission with an ellipsis ( ... ).
  • If any words need to be added to the quotation, put them between square brackets ([ ]).
  • Longer quotations (more than 3 lines of text) should start on a new line and be indented on both sides. 

What is paraphrasing?

Paraphrasing is a way of using different words and phrasing to present the same ideas. Paraphrasing is used with short sections of text, such as phrases and sentences.

A paraphrase offers an alternative to using direct quotations and allows you to integrate evidence/source material into assignments. Paraphrasing can also be used for note-taking and explaining information in tables, charts and diagrams.

When to paraphrase

Paraphrase short sections of work only i.e. a sentence or two or a short paragraph:

  • as an alternative to a direct quotation
  • to rewrite someone else's ideas without changing the meaning
  • to express someone else's ideas in your own words

How to paraphrase

  • Read the original source carefully. It is essential that you understand it fully.
  • Identify the main point(s) and key words.
  • Cover the original text and rewrite it in your own words. Check that you have included the main points and essential information.
  • Ensure that you keep the original meaning and maintain the same relationship between main ideas and supporting points.
  • Use synonyms (words or expression which have a similar meaning) where appropriate. Key words that are specialised subject vocabulary do not need to be changed.
  • If you want to retain unique or specialist phrases, use quotation marks (“ “).
  • Change the grammar and sentence structure. Break up a long sentence into two shorter ones or combine two short sentences into one. Change the voice (active/passive) or change word forms (e.g. nouns, adjectives).
  • Change the order in which information/ideas are presented, as long as they still make sense in a different order.
  • Identify the attitude of the authors to their subject (i.e. certain, uncertain, critical etc.) and make sure your paraphrase reflects this. Use the appropriate reporting word or phrase.
  • Review your paraphrase to check it accurately reflects the original text but is in your words and style.
  • Record the original source, including the page number, so that you can provide a reference.

What is a summary?

A summary is an overview of a text. The main aim of summarising is to reduce or condense a text to its most important ideas. Leave out details, examples and formalities. Summarising is a useful skill for making notes, writing an abstract/synopsis, and incorporating material in assignments.

When to summarise

Summarise long sections of work, like a long paragraph, page or chapter. 

  • To outline the main points of someone else's work in your own words, without the details or examples.
  • To include an author's ideas using fewer words than the original text.
  • To briefly give examples of several differing points of view on a topic.
  • To support claims in, or provide evidence for, your writing.

How to summarise

The amount of detail you include in a summary will vary according to the length of the original text, how much information you need, and how selective you are.

  • Start by reading a short text and highlighting the main points.
  • Reread the text and make notes of the main points, leaving out examples, evidence, etc.
  • Rewrite your notes in your own words; restate the main idea at the beginning plus all major points.

Summarising, Paraphrasing and Quotations

Academic writing requires that you use literature sources in your work to demonstrate the extent of your reading (breadth and depth), your knowledge, understanding and critical thinking. Literature can be used to provide evidence to support arguments and can demonstrate your awareness of the research-base that underpins your subject specialism.

There are three ways to introduce the work of others into your assignments: summarising, paraphrasing and quotations.

  • Summarising

Definition: Using your own words to provide a statement (‘summary’) of the main themes, key points, or overarching ideas of a complete text, such as a book, chapter from a book, or academic article.

When to use:

  • Useful for providing an overview or background to a topic
  • Useful for describing your knowledge and understanding from a single source
  • Useful for expressing your combined knowledge and understanding from several sources (synthesis of sources)

Why to use:

  • Demonstrates your understanding of your reading
  • Demonstrates your ability to identify the main points from a larger body of text or to draw together the main points from several sources

How to use:

  • Should offer a balanced representation of the main points
  • Should be expressed in your own words (except for technical terminology or conventional terms that appear in the original)
  • Should not include detailed discussion or examples
  • Should not include information that is not in the original text
  • Should avoid using the same sentence structures as the original text
  • Read the original text (more than once if necessary) to make sure you fully understand it
  • Note the main points in your own words
  • Recheck the original text to ensure you have covered the key content and meaning
  • Rewrite using formal, grammatically correct academic writing
  • Requires in-text citation and referencing
  • No page numbers in in-text citation

Definition: Using your own words to express an author’s specific point from a short section of text (one or two sentences, or a paragraph), retaining the original meaning.

  • Used where the meaning of the text is more important than the exact words
  • Useful for expressing the author’s specific point more concisely and in a way that clarifies its relationship to your work
  • Useful for stating factual information such as data and statistics from a source
  • Demonstrates that you have understood the content and can express it independently, rather than relying on the author’s words
  • Allows you to use your own style of writing and your own ‘voice’ in your work
  • Allows you to integrate the ideas to fit more readily with your own work and to improve the flow of the writing
  • Must not change the original meaning
  • Must go further than just changing a few words or changing the word order as this could amount to plagiarism (you would not be fully expressing the idea in your own words)
  • Use different sentence structures from the original source
  • Use different vocabulary from the original source to convey the meaning
  • Read the original text several times, and identify the key content which is important and relevant to your work to distinguish this from content which is less important
  • Identify any specialist terminology or key words which are essential
  • Think about your reason for paraphrasing and how it relates to your own work
  • Roughly note down your understanding of the relevant content in your own words (don’t copy) without looking at the original text
  • Reread the original text and refine your notes to ensure that you are not misrepresenting the author, to determine whether you have captured the important aspects of the piece and to make sure your paraphrasing is not too similar to the original
  • Rewrite this in formal, grammatically correct academic writing
  • Requires page number/s in the in-text citation to precisely locate the original content on which the paraphrasing is based within the source

Example (using Harvard referencing style, from CiteThemRight online, Cite Them Right - Paraphrasing (Harvard) (citethemrightonline.com) :

'Harrison (2007, p. 48) clearly distinguishes between the historical growth of the larger European nation states and the roots of their languages and linguistic development, particularly during the fifteenth and sixteenth centuries. At this time, imperial goals and outward expansion were paramount for many of the countries, and the effects of spending on these activities often led to internal conflict.'

Definition: Using the author’s exact words to retain the author’s specific form of expression, clearly identifying the quotation as distinct from your own words (for example using quotation marks or indentation).

  • Used where the author’s own exact words are important, rather than just the meaning
  • Useful where the author’s original choice of words conveys subjective experience, uses persuasive language, or carries emotional force
  • Useful where the precise wording is significant, for example in legal texts
  • Useful for definitions
  • Useful if the author’s own words carry the weight of power and authority that supports your argument
  • Useful if you want to critique an author’s point, to ensure you do not misrepresent their meaning
  • Useful if you want to disagree with the author as their own words may express their opposition to your argument enabling you to engage with and resist their point of view
  • Useful if the author has expressed themselves so concisely, distinctively, and eloquently that paraphrasing would diminish the quality of the statement
  • Demonstrates your ability to identify relevant and significant content from a larger body of work
  • Demonstrates that you have read and understood the wider context of the quotation and can integrate it into your own work appropriately
  • Should be used selectively (over-use of quotations does not demonstrate your own understanding)
  • Should not be used just to avoid expressing the meaning in your own words or because you are not confident you have understood the content
  • Make sure that the quotation is reproduced accurately, including spelling and punctuation
  • Comment on the quotation and its relationship to your point, for example explain its interest and relevance, show how it applies to a particular situation, or discuss its limitations
  • Short quotations of no more than three lines should be contained within quotation marks (you can use double or single quotations marks, but be consistent and note that Turnitin only recognises double quotation marks)
  • Longer quotations (used sparingly) should be included as a separate paragraph indented from the main text, without quotation marks
  • Don’t use quotation marks for technical terminology which is accepted within your specialism, and which is part of the common language of your academic discipline
  • Requires page number/s in the in-text citation to precisely locate the quote within the source

Short quotation (using Harvard referencing style):

'If you need to illustrate the idea of nineteenth-century America as a land of opportunity, you could hardly improve on the life of Albert Michelson’ (Bryson, 2004, p. 156).

Long quotation (using Harvard referencing style):

King describes the intertwining of the fate and memory in many evocative passages, such as:

So the three of them rode towards their end of the Great Road, while summer lay all about them, breathless as a gasp. Roland looked up and saw something that made him forget all about the Wizard’s Rainbow. It was his mother, leaning out of her apartment’s bedroom window: the oval of her face surrounded by the timeless gray stone of the castle’s west wing! (King, 1997, pp. 553-554)

Altering quotations:

You can omit part of a quotation by using three dots (ellipses). Only do this to omit unnecessary words which do not alter the meaning.

'Drug prevention ... efforts backed this up' (Gardner, 2007, p. 49).

You can insert your own or different words into a quotation by placing them in square brackets. Only do this to add clarity to the quotation where it does not alter the meaning.

'In this field [crime prevention], community support officers ...' (Higgins, 2008, p. 17).

25 Quoting, Summarizing, and Paraphrasing

Finding your position, posture, and perspective.

As you begin drafting your research essay, remember the conversation analogy: by using other voices, you are entering into a discussion that is much bigger than just you, even bigger than the authors you cite. However, what you have to say is important, so you are bringing together your ideas with others’ ideas from a unique interpretive standpoint. Although it may take you a while to find it, you should be searching for your unique position in a complex network of discourse.

Here are a few questions to ask yourself as you consider this:

  • How would I introduce this topic to someone who is completely unfamiliar?
  • What are the major viewpoints on this topic? Remember that very few issues have only two sides.
  • With which viewpoints do I align? With which viewpoints do I disagree? Consider agreement (“Yes”), disagreement (“No”), and qualification (“Yes, but…”).
  • What did I know about this issue before I began researching? What have I learned so far?
  • What is my rhetorical purpose for this project? If your purpose is to argue a position, be sure that you feel comfortable with the terms and ideas discussed in the previous section on argumentation.

Situating Yourself Using Your Research

While you’re drafting, be diligent and deliberate with your use of other people’s words, ideas, and perspectives. Foreground your thesis (even if it’s still in progress), and use paraphrases, direct quotes, and summary in the background to explain, support, complicate, or contrast your perspective.

Depending on the work you’ve done to this point, you may have a reasonable body of quotes, summaries, and paraphrases that you can draw from. Whether or not you’ve been collecting evidence throughout your research process, be sure to return to the original sources to ensure the accuracy and efficacy of your quotes, summaries, and paraphrases.

A direct quote uses quotation marks (“ ”) to indicate where you’re borrowing an author’s words verbatim in your own writing. Use a direct quote if someone else wrote or said something in a distinctive or particular way and you want to capture their words exactly.

Direct quotes are good for establishing ethos and providing evidence. Quoting is a good choice when how something is said matters; it gives readers a sense of the tone, style, and perspective of the original source.

In a humanities essay, you will be expected to use some direct quotes; however, too many direct quotes can overwhelm your thesis and actually undermine your sense of ethos. Your research paper should strike a balance between quoting, paraphrasing, and summarizing—and articulating your own perspective!

Summarizing

Summarizing refers to the action of boiling down an author’s ideas into a shorter version in your own words. Summary demonstrates your understanding of a text, but it also can be useful in giving background information or making a complex idea more accessible.

Paraphrasing

When we paraphrase, we are processing information or ideas from another person’s text and putting them in our own words. The main difference between paraphrase and summary is scope: if summarizing means rewording and condensing, then paraphrasing means rewording without drastically altering length. However, paraphrasing is also generally more faithful to the spirit of the original; whereas a summary requires you to process and invites your own perspective, a paraphrase ought to mirror back the original idea using your own language.

Paraphrasing is helpful for establishing background knowledge or general consensus, simplifying a complicated idea, or reminding your reader of a certain part of another text. It is also valuable when relaying statistics or historical information, both of which are usually more fluidly woven into your writing when spoken with your own voice.

Whether you are quoting, paraphrasing, or summarizing, you must always include an appropriate citation; see chapters 29, “Deconstructing Plagiarism,” and 30, “Giving Credit Where It’s Due: Why and How to Cite Your Sources,” for more on how to do this ethically.

Each of these three tactics should support your argument: you should integrate quotes, paraphrases, and summary with your own writing. Below, you can see three examples of these tools. Consider how the direct quote, paraphrase, and summary could each be used to achieve different purposes:

It has been suggested (again rather anecdotally) that giraffes do communicate using infrasonic vocalizations (the signals are verbally described to be similar—in structure and function—to the low-frequency, infrasonic “rumbles” of elephants). It was further speculated that the extensive frontal sinus of giraffes acts as a resonance chamber for infrasound production. Moreover, particular neck movements (e.g. the neck stretch) are suggested to be associated with the production of infrasonic vocalizations. (Baotic et al. 3)

There are infinite ways to bring evidence into your discussion. For now, let’s revisit a formula that many students find productive as they find their footing in research writing:

front-load + quote/paraphrase/summarize + (cite) + explain/elaborate/analyze

This might feel formulaic and forced at first, but following these steps will ensure that you give each piece of evidence thorough attention.

What might this look like in practice?

As a matter of fact, [2] some scientists have “speculated that the extensive frontal sinus of giraffes acts as a resonance chamber for infrasound production” ( [3] Baotic et al. 3). [4] Even though no definitive answer has been found, it’s possible that the structure of a giraffe’s head allows it to create sounds that humans may not be able to hear. This hypothesis supports the notion that different species of animals develop a sort of “language” that corresponds to their anatomy.

  • Explain/elaborate/analyze

Even though no definitive answer has been found, it’s possible that the structure of a giraffe’s head allows it to create sounds that humans may not be able to hear. This hypothesis supports the notion that different species of animals develop a sort of “language” that corresponds to their anatomy.

Extended Quotes

A quick note on block quotes: sometimes you may find it necessary to use a long direct quote from a source. For instance, if there is a passage that you plan to analyze in-depth or throughout the course of the entire paper, you may need to reproduce the whole thing. You may have seen other authors use block quotes in the course of your research. In the middle of a sentence or paragraph, the text will break into a long direct quote that is indented and separated from the rest of the paragraph.

There are occasions when it is appropriate for you to use block quotes too, but they are rare. Even though long quotes can be useful, quotes long enough to block are often too long. Using too much of one source all at once can overwhelm your own voice and analysis, distract the reader, undermine your ethos, and prevent you from digging into a quote. It’s typically a better choice to

  • abridge (omit words from the beginning or end of the quote or from the middle using an ellipsis […]),
  • break up (split one long quote into two or three shorter quotes that you can attend to more specifically), or
  • paraphrase a long quote, especially because that gives you more space for the last step of the formula above.

If, in the rare event that you must use a long direct quote, one that runs more than four lines on a properly formatted page, follow the guidelines from the appropriate style guide. In MLA format, block quotes (1) are indented one inch from the margin, (2) are double-spaced, (3) are not in quotation marks, and (4) use original end punctuation and an in-text citation after the last sentence. The paragraph will continue after the block quote without any indentation.

Readerly Signposts

Signposts are phrases and sentences that guide a reader’s interpretation of the evidence you are about to introduce. Readerly signposts are also known as “signal phrases” because they give the reader a warning of your next move. In addition to foreshadowing a paraphrase, quote, or summary, though, your signposts can be active agents in your argumentation.

Before using a paraphrase, quote, or summary, you can prime your reader to understand that evidence in a certain way. For example, let’s take the imaginary quote “The moon landing was faked in a sound studio by Stanley Kubrick.”

  • [X] insists, “The moon landing was faked in a sound studio by Stanley Kubrick.”
  • Some people believe, naïvely, that “the moon landing was faked in a sound studio by Stanley Kubrick.”
  • Common knowledge suggests that “the moon landing was faked in a sound studio by Stanley Kubrick.”
  • [X] posits that “the moon landing was faked in a sound studio by Stanley Kubrick.”
  • Although some people believe otherwise, the truth is that “the moon landing was faked in a sound studio by Stanley Kubrick.”
  • Although some people believe that “the moon landing was faked in a sound studio by Stanley Kubrick,” it is more likely that…
  • Whenever conspiracy theories come up, people like to joke that “the moon landing was faked in a sound studio by Stanley Kubrick.”
  • The government has conducted many covert operations in the last century: “The moon landing was faked in a sound studio by Stanley Kubrick.”

Though summarizing and paraphrasing are both tools for conveying information clearly and concisely, they help you achieve this in different ways. In general, the difference is rooted in the scale of the source material: To share an entire source at once, you summarize; to share a specific portion of a source (without quoting directly, of course), you paraphrase.

What is Summarizing?

Summarizing is simplifying the content of a source to its main points in your own words. You literally sum up something, distill it down to its most essential parts. Summaries cover whole sources rather than a piece or pieces of a source and don’t include direct quotes or extraneous detail.

How to Summarize

  • Understand the original thoroughly. You may start by scanning the original material, paying close attention to headers and any in-text summaries, but once you’re sure that this source is something you’re going to use in your research paper , review it more thoroughly to gain appropriate understanding and comprehension.
  • Take notes of the main points. A bulleted list is appropriate here-note the main idea of each portion of the source material. Take note of key words or phrases around which you can build your summary list and deepen your understanding.
  • Build your summary. Don’t just use the list you’ve already created—this was a first draft . Craft complete sentences and logical progression from item to item. Double check the source material to ensure you’ve not left out any relevant points and trim anything extraneous. You can use a bulleted or numbered list here or write your summary as a paragraph if that’s more appropriate for your use. Make sure to follow the rules of parallelism if you choose to stay in list form.

What is Paraphrasing?

Paraphrasing is rephrasing something in your own words; the word comes from the Greek para -, meaning “beside” or “closely resembling”, 1 combined with “phrase,” which we know can mean a string of words or sentences. 2 Paraphrasing isn’t practical for entire sources—just for when you want to highlight a portion of a source.

How to Paraphrase

  • Read actively . Take notes, highlight or underline passages, or both if you please-whatever makes it easiest for you to organize the sections of the source you want to include in your work.
  • Rewrite and revise. For each area you’d like to paraphrase, take the time to rewrite it in your own words. Retain the meaning of the original text, but don’t copy it too closely; take advantage of a thesaurus to ensure you’re not relying too heavily on the source material.
  • Check your work and revise again as needed . Did you retain the meaning of the source material? Did you simplify the language of the source material? Did you differentiate your version enough? If not, try again.

Summarizing and paraphrasing are often used in tandem; you’ll likely find it appropriate to summarize an entire source and then paraphrase specific portions to support your summary. Using either approach for including sources requires appropriate citing, though, so ensure that you follow the correct style guide for your project and cite correctly.

When writing a research paper, you, the writer, must incorporate into the paper the information and ideas you have learned in the course of your research that come from primary and secondary sources. Occasionally, it is appropriate to quote, but, usually, it is better to either paraphrase or summarize what you have learned. This task may seem simple; how often have we heard a teacher or instructor tell us to put what we have read “into our own words”? Yet, while easy to say, it is not so easy to do. 

It is important to be able to summarize and paraphrase correctly in order to effectively integrate your research into your essay without relying on direct quotation or committing plagiarism.

Summarizing – means rewriting something in your own words but shortening it by stating only the main idea and the supporting points you need for your purposes. A summary can be just one sentence or it can be much longer, depending on whether you are presenting a broad overview or a more thorough outline.

Paraphrasing – means rewriting something in your own words, giving the same level of detail as the source and at roughly the same length as the original. You may choose to paraphrase details or particular evidence and/or examples.

The choice between summarizing and paraphrasing depends on how much detail from the source you need for your paper. When you need the source’s main argument and/or supporting points, summarize. Or, you may summarize a section or part of a source, by identifying the section’s main point or idea. When you want all the details from a particular passage or section of a source, paraphrase. (Don’t try to paraphrase an entire source.)

Whether you decide to summarize or paraphrase a source, the process is similar. You just can’t cut and paste a chunk of text   into your essay draft and then change a few words here and there. You will remain too close to the source’s organization, sentence structure and phrasing. Instead follow these six steps.

Skim a source to determine what you need from it: its argument, a specific supporting point, and/or particular evidence. Identify exactly what information you want to go into your paper. This decision will help you decide how detailed your notes about this source should be.

For a paraphrase, the notes will be more detailed and extensive. For a summary, the notes will focus on the main points of a reading. Either way, taking notes is an acquired skill and takes practice.

The first stage in the note-taking process is illustrated below. The note-taker has decided to paraphrase the passage as it has lots of detailed information relevant to the paper being written. The note-taker then reads the passage, bolding the important information and ideas he or she wishes to capture for the paper, and then pauses to jot down notes.

In America today, millions of people leave their homes in a protracted and often futile search for healthy food for their families. Many walk out their front doors and see nothing but fast-food outlets and convenience stores selling high-fat, high-sugar processed foods; others see no food vendors of any kind . Without affordable fresh food options, especially fruit and vegetables, adults and children face fundamental challenges to making the healthy food choices that are essential for nutritious, balanced diets. And without grocery stores and other viable fruit and vegetable  merchants, neighborhoods lack a critical ingredient of vibrant, livable communities: quality food retailers that create jobs, stimulate foot traffic, and bolster local commerce .

  • For millions in the US: looking for healthy food to buy difficult. Why?
  • Many neighbourhoods have no grocery stores: only fast-food and convenience stores

Convenience Stores:

  • Sell high-fat, high-sugar candy, junk and processed food (anything healthy is more expensive?)

No grocery stores = fund. challenges to healthy eating

Neighbourhoods lack grocery stores, any kind of fruit and vegetable vendors that create jobs

  • stimulate foot traffic (how? Usually surrounded by parking lots?)
  • bolster local commerce

Overall effect:

  • Hard to eat in healthy manner (lack of health? obesity?)
  • Breakdown of vibrancy and livability of communities

The note-taker first identifies the main point of the passage. The notes are in point-form: the reason for not writing out full sentences is to break the connection with the original’s sentence structure. The note-taker also occasionally inserts questions for further analysis or follow-up.  Doing all of these things filters the information and ideas of the source through the note-taker’s own understanding.

If, instead of paraphrasing, you make the decision to summarize the passage, the notes would include only the major points of the passage.

This is a fairly self-explanatory step, but the point is that when you try to write about the information you have learned from this source, you do so without the source in front of you.

How to do this? Keep in mind that both paraphrasing and summarizing are about showing that you have internalized what you have read to the point where you can say it yourself. So, read over your notes two or three times, put those out of sight too, and, perhaps pretending you are explaining what you have just read to a fellow student or your instructor, write either your paraphrase/summary. Remember that, for a summary all you have to do is convey the main point and key supporting points of the passage, not the details.  

You need to make clear where the information and arguments come from, so it can be a good idea to start off with the author’s or authors’ name(s).  Writing “Bell and Standish argue that...” or “Bell and Standish’s main point is that...” is often a good way to get the words to start to flow. Remember you can rearrange the information, group it differently, or change the sequence slightly to suit your purposes; all of these actions will help you to write the paraphrase or summary in “your own words.”

Step Five: Test What You Have Written To Ensure You Have Avoided Plagiarism

If you followed the first four steps rigorously, you should pass this test. The way to test your writing is to go through your passage and the original passage and underline, highlight or put in bold the words that appear in both passages. There is no way to write a paraphrase or a summary that does not have some of the same words as the original, but doing this test will show you any places where you have lifted whole phrases or sentences and put them in your text.

Words appearing in both passages are in bold:

Bell and Standish (2009) make the point that, for millions of Americans, buying healthy, fresh food such as fruits and vegetables , takes a major effort because many neighbourhoods do not have grocery stores close by but only fast-food outlets and convenience stores . Convenience stores do not sell much healthy food but, instead, sell junk food , candy, and processed food hi gh in fat and sugar . Some neighbourhoods do not have food vendors of any kind .  Bell and Standish argue that these kinds of neighbourhoods are not just places in which it is difficult to buy and eat healthy food , they are also less vigorous and energetic, and less comfortable to live in because grocery stores and other healthy food vendors may encourage walking, create jobs , and support the local economy in other ways as well.

The test shows that while the two passages share many common words, there are very few exact copies of phrases in the paraphrase. Phrases such as “grocery store,” “healthy food,” “convenience store,” or “food vendors” are not unique turns of phrase that belong to one writer; they are common terms, so changing these words is not necessary. For example, “convenience store” is the best and most commonly used phrase for that particular kind of retail outlet; changing it would be artificial and less clear. (The same rule applies to technical and scientific terminology. These terms don’t belong to anyone, and there is no reason to try to find synonyms for them.)

Precisely how long can a phrase that is identical to one in the original source be before it becomes a problem? A phrase of three words is usually too long; it should be changed or included as a direct quotation. Based on this criteria, in the paraphrase, there are a couple of problematic phrases that should be changed:  “fast-food outlets and convenience stores,” and “food vendors of any kind.”

Words common to the original source and to the paraphrase are in bold:

Bell and Standish (2009) argue that for millions of Americans, healthy eating is a difficult task because many neighbourhoods do not have grocery stores close by, only fast-food restaurants or convenience stores . These neighbourhoods lack the jobs and economic support that grocery stores bring, thus making them less “vibrant” and “livable” (75).

The words in bold show that the summary passes the test. It’s usually a little easier to write a summary in your own words than to write a paraphrase in your own words because condensing and shortening will automatically ensure some change in organization, sentence structure and wording. In this case, the decision was made to quote the two final adjectives, “vibrant” and “livable”, as none of the synonyms were as descriptive in as few words.  

You may find a few exact phrases from your test; it is important to change them. In the paraphrase, “fast-food outlets and convenience stores” can be changed to “convenience stores or fast-food restaurants.” Similarly, “food vendors of any kind” can be changed to “any type of food vendor.”

Another technique to keep in mind is to occasionally quote a short phrase in the midst of your summary or paraphrase. For example, in the final sentence of the original passage, the authors used two adjectives, “vibrant” and “livable.” These appear in the paraphrase as “vigorous and energetic” and “comfortable for its residents to live in.” However, the authors are here using a distinctive turn of phrase to describe ideal communities as opposed to using common terms such as “convenience store” or “healthy food”. So, in this instance, another good choice would be to quote the authors:

...Bell and Standish argue that these kinds of neighbourhoods are not just places in which it is difficult to buy and eat healthy food, they are also less “vibrant” and less “livable” (75) because grocery stores and other healthy food vendors may encourage walking, create jobs, and support the local economy in other ways as well.

As you can see, learning how to paraphrase and to summarize your sources takes practice and patience. Following the six steps suggested here should ensure that you are successful in conveying information and ideas learned from your sources “in your own words”.

2b. Reading Analysis: Summarizing, Paraphrasing, and Quoting

Summarizing sources, writing with other voices.

In most of your college writing, which is evidence-based writing, you’ll need to incorporate sources. In some writing assignments, you’ll be asked to interpret and analyze a text or texts. The text is the subject of your writing, and your interpretation of the text will need to be supported with evidence from the text. In other writing assignments, you’ll need to support a thesis with evidence from texts and sources. When you incorporate a text or source should generally be performing one of four functions:

  • Helping to provide context for your inquiry or argument
  • Supporting a claim you are making
  • Illustrating a claim you are making
  • Providing a different perspective or counterargument to a claim you are making

When you incorporate other voices–texts and sources–into your writing, you will either summarize, paraphrase, or quote them in order to distinguish them for your voice and ideas.

Overview of Summarizing, Paraphrasing, and Quoting Texts and Sources

Quotations  must be identical to the original, using a narrow segment of the source. They must match the source document word for word and must be attributed to the original author.

Paraphrasing  involves putting a passage from source material into your own words. A paraphrase must also be attributed to the original source. Paraphrased material is usually shorter than the original passage, taking a somewhat broader segment of the source and condensing it slightly.

Summarizing  involves putting the main idea(s) into your own words, including only the main point(s). Once again, it is necessary to attribute summarized ideas to the original source. Summaries are significantly shorter than the original and take a broad overview of the source material.

Writers frequently intertwine summaries, paraphrases, and quotations. As part of a summary of an article, a chapter, or a book, a writer might include paraphrases of various key points blended with quotations of striking or suggestive phrases as in the following example:

In his article “What’s The Matter With College?,” Rick Perlstein argues that college, in American society and individual lives, is not as significant as it was in the 1960s, because colleges are no longer sites of radical protest, heated intellectual debate, or freedom from parental authority for students. Perlstein waxes nostalgic over the 1966 California gubernatorial race between Ronald Reagan and Pat Brown when the University of California’s Berkeley campus—a locus for “building takeovers, antiwar demonstrations and sexual orgies”—became a key campaign issue. These days, “[c]ollege campuses seem to have lost their centrality,” according to Perlstein, and do not offer a “democratic and diverse culture” that stood apart from the rest of society and constituted “the most liberating moment” in a student’s life (par. 1).

Use the following pro tips as you read texts and sources so when it comes time to write you have quotations, paraphrases, and summaries ready!

  • Read the entire text, noting the key points and main ideas.
  • Summarize in your own words what the single main idea of the text is.
  • Paraphrase important supporting points that come up in the text.
  • Consider any words, phrases, or brief passages that you believe should be quoted directly.

Summarizing Texts and Sources in Your Writing

Generally speaking, a summary must at once be true to what the original author says while also emphasizing those aspects of what the author says that interest you, the writer. You need to summarize the work of other authors in light of your own topic and argument. Writers who summarize without regard to their own interests often create “list summaries” that simply inventory the original author’s main points (signaled by words like “first,” “second,” “and then,” “also,” and “in addition”), but fail to focus those points around any larger overall claim. Writing a good summary means not just representing an author’s view accurately but doing so in a way that fits the larger agenda of your own piece of writing.

The following is a two-sentence template* for a summary adapted from the work of writing scholar Katherine Woodworth that captures 1) info on the author/text and the text’s main point; and 2) the point or example that relates to the point you’re making:

[ Author’s credentials ] [ author’s first and last name ]  in his/her  [ type of text ] [ title of text ],  published in  [ publishing info ]  addresses the topic of  [ topic of text ]   and argues/reports that  [ argument/general point ]. [Author’s surname]  claims/asserts/makes the point/suggests/describes/explains  that _____.

Example . English professor and textbook author Sheridan Baker, in his essay “Attitudes” (1966), asserts that   writers’ attitudes toward their subjects, audiences, and themselves determine to a large extent the quality of their prose. Baker gives examples of how negative attitudes can make writing unclear, pompous, or boring, concluding that a good writer “will be respectful toward his audience, considerate toward his readers, and somehow amiable toward human failings” (58).

NOTE that the  first  sentence identifies the author (Baker), the genre (essay), the title and date, and uses an active verb (asserts) and the relative pronoun  that  to explain what exactly Baker asserts. The  second  sentence gives more specific detail on a relevant point Baker makes.

More examples!

Example . In his essay “On Nature” (1850), British philosopher John Stuart Mill argues that using nature as a standard for ethical behavior is illogical. He defines nature as “all that exists or all that exists without the intervention of man.”

Example . In his essay “Panopticism,” French philosopher Michel Foucault argues that the “panopticon” is how institutions enforce discipline and conformity by making every subject feel like they are being watched by a central authority with the capability of punishing wrongdoing. He concludes that it should not be “surprising that prisons resemble factories, schools, barracks, hospitals, which all resemble prisons” (249).

Example . Independent scholar Indur M. Goklancy, in a policy analysis for the Cato Institute, argues that globalization has created benefits in overall “human well-being.” He provides statistics that show how factors such as mortality rates, child labor, lack of education, and hunger have all decreased under globalization.

NOTE that the above examples prompt the writer to develop a more detailed interpretation and explanation of the point/example made in the second sentence. That’s the work of developing a paragraph with a text or source! You can see what that looks like more fully in  Integrating Quotes and Paraphrases into Your Writing .

Integrating Quotes and Paraphrases into Writing

“Integrating” means to combine two or more separate elements or things into a cohesive whole. Obviously, as you bring other perspectives (readings and texts) into your writing, you’re combining the work and words of others with your own original ideas. However, you should be strategic in the choices that you make–not every author needs to be quoted directly, not every passage of text needs to have every word or phrase quoted directly, and not every source will contribute multiple quotes or paraphrases to your essay. That’s why we like the analogy of a sculptor at this point in the writing process. Now that you’ve collected the raw material you need to support your argument through thorough research, it’s time to shape it carefully and deliberately so that it combines with your own writing to create an appealing experience for your reader. On to the sculpting!

When to Paraphrase:

  • When you need to communicate the main idea of a source, but the details are not relevant/important
  • When the source isn’t important enough to take up significant space
  • Any time you feel like you can state what the source claims more concisely or clearly
  • Any time you think you can state what the source claims in a way that’s more appealing to the reader

When to quote directly:

  • When incorporating an influential or significant voice into your essay
  • The words themselves clearly back up your claims, and come from a good authority
  • The words are unique/original, and already clearly express your key concepts in a compelling or interesting way
  • There’s no better way to present those main ideas to the reader than how the original author has stated them
  • When engaging with a source that disagrees with you, so you can state the argument fairly

A note on “cherry-picking” :   Cherry-picking is a pejorative term that refers to writers using quotes or paraphrases to support their own argument, even though the source would likely disagree with how their words or ideas are being used. Responsible academic writing means presenting evidence in a context that’s consistent and appropriate with the source’s original use of the quote or paraphrase.

Placing Direct Quotes in Your Essay

Here’s a helpful acronym that will remind you of the steps to take to most effectively incorporate direct quotations into your argument: I.C.E  (Introduce, Cite, Explain). I’ll use it as a verb to remind myself when constructing a paragraph: “Did I make sure to ICE my quotes?”

I ntroduce:

Introduce the quote before providing it. Sometimes this is as simple as “Author X states” or some variation of that phrase. If it’s the first time you’re quoting an author, it’s a good idea to give the author’s full name, but you can rely on the surname in subsequent quotations. If there is context you’d like the reader to know about source, it’s generally wise to provide that before the quote, as part of its introduction. Avoid using “says” when introducing quotations unless you are citing a speech, interview, or other spoken text; “writes,” “states,” “explains,” “argues,” etc. are better options.

C ite: 

Every style (MLA, APA, Chicago) has different formats for citations, but anything that isn’t common knowledge–whether you’re directly quoting or paraphrasing, must come with a citation. We’re using MLA format in this class, so make sure you understand the rules of MLA Citations and Formatting.

Example: In the “Higher Laws” chapter of Walden , Henry David Thoreau seems to become despondent over his inability to overcome what he calls “this slimy beastly life” (148).

(For reference, the introduction of the quote is underlined, while the citation is bolded; you won’t do this when you actually cite. If you introduce a quote by using the author’s name, you only need to provide the page number where the quote can be found. Otherwise, their last name will also need to appear in the citation.)

You should always take time to explain quotations, paraphrases, and other types of evidence that you include. Readers look for your analysis of evidence in academic writing, and without it, a reader may draw different conclusions about the relationship between evidence and claim than you do. This is why the basic format for making an argument in academic writing is claim –> evidence to support claim –> reasons why you think the evidence supports the claim.

The Explanation of a quote or paraphrase is where you’re showing the reader your critical thinking, analytical skills, and ability to present your original ideas clearly and concisely. It is the part of the essay where you’re really presenting your original ideas and perspectives on a topic–that makes it very important!

Template for a Paragraph with Direct Quotes

As you read the following example, note where we are introducing, citing, and explaining the quote. .

Example : As I argue above, Thoreau is burdened by the implications of his animal appetites, of the intrinsic sensuality of living in the material world. However, Thoreau’s own language may be creating a heavier burden than he realizes. In Philosophy of Literary Form , Kenneth Burke writes: “. . .if you look for a man’s burden , you will find the principle that reveals the structure of his unburdening; or, in attenuated form, if you look for his problem, you find the lead that explains the structure of his solution” (92, emphasis in original). As this quote suggests, Burke believes that the answer to the problem often lies in the way that the problem is presented by the author or poet. His description of life as “beastly” and “slimy” is an ironic reframing of similar natural elements as those that brought him to Walden Pond in the first place. Thoreau’s choice of terminology to describe something results in the shifting of his attention and priorities.

To think about how I’m structuring this body paragraph, let’s break it down into its constituent parts:

  • Topic sentence : As I argued above, Thoreau is burdened by the implications of his animal appetites, of the intrinsic sensuality of living in the material world. This is what the paragraph will be about–Thoreau’s burdens–and I’m telling the reader in one quick phrase how this connects to another part of the essay.
  • Paragraph’s Main Claim: However, Thoreau’s own language may be creating a heavier burden than he realizes.  This is the main claim I’m making to my reader and is what the rest of the paragraph needs to focus on supporting with evidence and my own analysis. Each paragraph should generally only have one main claim so the reader can stay focused on the argument at hand.
  • The Evidence: In  Philosophy of Literary Form , Kenneth Burke writes: “. . .if you look for a man’s burden , you will find the principle that reveals the structure of his unburdening; or, in attenuated form, if you look for his problem, you find the lead that explains the structure of his solution” (92, emphasis his). Whether a direct quote or a paraphrase or both, there should be evidence of some sort in all of your body paragraphs (and sometimes in your intro and conclusion, too). It should clearly support the main claim and be cited, whether a quote or a paraphrase. Note that this evidence has the “I” and the “C” of ICE. The next step has the “E.”
  • The Explanation: As this quote suggests, Burke believes that the answer to the problem often lies in the way that the problem is presented by the author or poet. His description of life as “beastly” and “slimy” is an ironic reframing of similar natural elements as those that brought him to Walden Pond in the first place.  As mentioned above, this is arguably the most critical part of the paragraph. Depending on the evidence and your audience, your explanation might need to summarize the quote in your own words (if it’s complex), but it absolutely needs to analyze the evidence (quote or paraphrase) and explain its relevance or connection to the main claim of the paragraph. It may take one sentence, it may take several. 
  • The Concluding Sentence: Thoreau’s choice of terminology to describe something results in the shifting of his attention and priorities. Like a conclusion paragraph, this final sentence summarizes the main take-away for the reader of that paragraph its located within.

These parts of the paragraph should be present in any standard body paragraph, but besides the topic and concluding sentences, the other elements can actually be re-ordered (evidence can come before the main claim, if it’s clear which is which!). Use signal phrases and transitions to help guide the reader so they know the purpose of each of your sentences.

A Note on Direct Quotes and Syntax

Quotes (and this can be tricky!) have to be integrated into the correct syntax of your sentences , which may occasionally mean adding a word or clarifying a pronoun. Syntax refers to the ordering of words and expressions within a sentence.  Brackets [ ] are useful for maintaining a smooth flow in the syntax of a sentence while integrating a quotation. Brackets are a signal to the reader that you are inserting a word or phrase into into a quotation for the purposes of clarity and correct syntax.

Example : Buell claims that “[Thoreau’s] point was not that we should turn our backs on nature but that we must imagine the ulterior benefits of the original turn to nature in the spirit of economy, both fiscal and ethical” (392).

Pro Tip : Here is what happens to your reader’s attention and understanding of your argument when you don’t match a direct quote’s syntax with the rest of the sentence that you’re placing it into:

22 Using Quotes, Paraphrases, and Summaries

This chapter will discuss using and integrating sources into your essay to support your ideas. This is one of the most important parts of the writing process, because the sources “support” and “prove” your claims. Remember the 80% rule, though–at least 80% of your writing should be your own words!

Integrating Sources

Your goal within a research paper is to integrate other sources smoothly into your paper to support the points you are making. As long as you give proper credit, you can ethically reference anyone else’s work. You should not, however, create a paper that is made up of one reference after another without any of your input. You should also avoid using half-page or whole-page quotations. Make sure to write enough of your material so that your sources are integrated into your work rather than making up the bulk of your paper.

As you look for sources:

  • Main ideas, support, answers to questions, key words
  • Notes in the margins
  • Reduce the piece into a simple outline to see the relationship of ideas.
  • Jot down relevant points.

Think of yourself as a kind of museum docent or tour guide when you are integrating sources into your work. You’ll usually want to take some time to set up your use of a source by placing it in a proper context. That’s why in most cases, before you even launch into quotation, paraphrase, or summary, you will have probably already used what’s called a “signal phrase” that identifies the author of the source, and often the specific publication (whether web or print) from which it is taken. After your use of the source, you’ll need to follow up with analysis and commentary on how you think it fits into the larger context of your argument.

Quotes involve the following:

  • Introducing the quote
  • Taking a source word-for-word, putting it in your paper, and using quotation marks.
  • Citing the source correctly in the documentation style you are using for your paper.
  • Wrapping up the quote with your own words in a way that clearly shows readers how the quote is related to your argument.

Paraphrases and summaries

Paraphrases involve the following:

  • Taking details from a source and putting them in your own words.
  • Must be cited correctly.
  • No page number needed.

Summaries involve the following:

  • Taking the main idea of a source and summarizing it in your own words.

Paraphrased and summarized text is cited within text in the same way that quoted material is cited except that quotations are not used.

Properly Summarizing and Paraphrasing

When you summarize, you should write in your own words and the result should be substantially shorter than the original text. In addition, the sentence structure should be your original format. In other words, you should not take a sentence and replace core words with synonyms.

Summary Key Points:

  • Reduce the original passage to about two-thirds.
  • Concentrate on main ideas.
  • Put it in your own words without changing the idea.
  • Don’t add ideas or personal thoughts.
  • Hint: Read it, close it, then tell someone what it was about.
  • Use a citation. (We will discuss this next week)

You should also use your words when you paraphrase. Paraphrasing should also involve your own sentence structure. Paraphrasing might, however, be as long or even longer than the original text. When you paraphrase, you should include, in your words, all the ideas from the original text in the same order as in the original text. You should not insert any of your ideas.

Both summaries and paraphrases should maintain the original author’s intent and slant. Taking details out of context to suit your purposes is not ethical since it does not honor the original author’s ideas.

Study the examples in the following table for clarification between summarizing, paraphrasing, quoting, and plagiarizing.

1. Consider these two sentences:

  • The KOA system is a large camping organization in the United States.
  • KOA campers and staff take part in many public service activities.

       Explain whether each of these statements is common knowledge or proprietary and why.

2. Online, find a source on a topic of interest to you. Copy a paragraph from the source. Then, complete the following:

  • Summarize the paragraph.
  • Paraphrase the paragraph.
  • Write a paragraph about the passage that includes a direct quotation from it.

Integrating Summaries, Paraphrases, and Quotes Within Paragraphs

Below are some examples of the various ways paragraphs can be organized. You’ll see that all paragraphs have a topic sentence. After this you may include summaries, paraphrases, or quotes from your sources, along with your own commentary or analysis on the topic.

1. Look at one specific paragraph in your essay rough draft. Using colored pens, mark what each sentence is (topic sentence, paraphrase, summary, support, argument, etc…). If your paragraph is lacking source support, work on integrating it as demonstrated above.

Correctly Citing Sources

Citing sources is critical since you do not want to be guilty of stealing ideas from others, and using others’ intellectual property without giving them credit is, indeed, a form of stealing. A bonus that comes with citing sources is that aligning others’ ideas with your ideas adds credibility to your ideas and helps establish your ethos. Also, when you address more than one viewpoint, you strengthen your viewpoint.

In order to know exactly how you should cite sources, you need to know the reference style you will be using. Regardless of which citation style you use, you should follow the following general guidelines:

  • Enclose all direct quotations in quotation marks and cite the source within the text, including page number, author, and year (if your style requires all these parts) so it is very clear where you acquired the information.
  • When you summarize or paraphrase text, do not use quotations, but note the author and year (or other required information depending on the citation style) either as part of the sentence or in parentheses following the sentence to clearly note that the ideas belong to someone else.
  • At the end of your paper, include a complete list of references, each properly cited using the required citation style.

What is paraphrasing? Or should I say what is the definition of paraphrasing? If you want to restate something using different words whilst retaining the same meaning, this is paraphrasing.

In this article, we cover what paraphrasing is, why it’s important, and when you should do it. Plus, some benefits and examples.

Paraphrase Definition: What is Paraphrasing?

Paraphrasing is when you restate the information from a source using your own words while maintaining the original meaning. It involves expressing the ideas in a different way, often to clarify or simplify the content, without directly quoting the source.

When you paraphrase, you are not only borrowing, clarifying, or expanding on the information but also ensuring that you do all of these actions without plagiarizing the original content. It’s therefore definitely worth learning how to paraphrase if you want to improve your writing skills.

Why is Paraphrasing Important?

Paraphrasing is a valuable skill that allows you to convey information in your unique writing style while still giving credit to someone else’s ideas. It’s important for several reasons, and it serves various functions in both academic and professional writing.

Here are some key reasons why you should paraphrase:

  • Paraphrasing allows you to present information from sources in your own words, reducing the risk of plagiarism. Proper in-text citation is still necessary, but paraphrasing demonstrates your understanding and interpretation of the material.
  • When you paraphrase, you are required to comprehend the original content fully. You actively engage with the information, helping you better understand complex concepts and ideas. This process of restating the information in your own words showcases your understanding of the subject matter.
  • By paraphrasing, you can clarify complex ideas or technical language and convey information in a clearer, shorter, and simpler form. This makes it more accessible to your audience and ensures they grasp the key points. This is particularly important when communicating with readers who may not be familiar with specialized terminology.
  • Paraphrasing is valuable when synthesizing information from various sources. It enables you to blend ideas cohesively while maintaining a consistent writing style throughout your work.
  • Paraphrasing allows you to inject your unique writing style and voice into the content. It helps you present information in a way that is more aligned with your personal expression and perspective.
  • In certain situations where you need to meet specific length requirements for assignments or publications, paraphrasing allows you to convey information more concisely while still preserving the essential meaning.
  • Paraphrasing helps maintain a smooth flow and cohesiveness in your writing. It allows you to integrate information seamlessly, avoiding abrupt shifts between your own ideas and those from external sources.
  • Depending on your audience, you may need to adapt the language and level of technicality of the information you present. Paraphrasing allows you to tailor the content to suit the needs of your specific readership.

When Should You Paraphrase?

Knowing when to paraphrase is an important skill, especially in academic writing and professional communication. Here are some situations in which you should consider paraphrasing:

  • To Avoid Plagiarism:  Whenever you want to incorporate information from source material into your own work, but don’t want to use a direct quotation, paraphrasing is necessary to present the ideas in your own words while still acknowledging the original source.
  • To Express Understanding:  Paraphrasing demonstrates your understanding of a topic by rephrasing the information in a way that shows you have processed and comprehended the material.
  • To Simplify Complex Information:  If you encounter complex or technical language that may be difficult for your audience to understand, paraphrasing can help you clarify and simplify the information to make it more accessible and digestible.
  • To Integrate Multiple Sources:  When synthesizing information from multiple sources, paraphrasing allows you to blend the ideas cohesively while maintaining your own voice and perspective.
  • To Maintain Consistency in Writing Style:  In academic writing or professional writing, paraphrasing can help you maintain a consistent writing style throughout your work. This helps to ensure that all sections flow smoothly and are coherent.
  • To Meet Specific Requirements:  Some assignments or publications may have specific requirements. This could relate to the number of words or concern the use of direct quotations. In such cases, paraphrasing allows you to meet these requirements while still incorporating relevant information from your sources.

What Are the Benefits of Paraphrasing?

Rewriting information in a clearer, shorter, and simpler form is called paraphrasing, so one of the benefits of paraphrasing is already clear! However, it can also be a useful exercise for other reasons, which are outlined below:

Avoiding Plagiarism

One of the main benefits of paraphrasing is mastering the ability to present information from external sources in a way that is entirely your own. By restructuring the content and expressing it using your words, you create a distinct piece of writing that reflects your comprehension and interpretation of the original material. This not only showcases your academic or professional integrity but also safeguards against unintentional plagiarism.

Paraphrasing is a fundamental skill in academic and professional settings, where originality and proper attribution are highly valued. This is especially true when it comes to writing research papers, where you’ll often need to reference someone else’s ideas with appropriate citations.

When you paraphrase effectively, you communicate to your audience that you respect the intellectual property of others while contributing your unique insights. This ethical approach to information usage enhances your credibility as a writer or researcher and reinforces the integrity of your work.

  • Paraphrased:  “The impact of deforestation represents a substantial danger to ecosystems and the diversity of life on a global scale.”
  • Original:  “Effective time management is essential for achieving productivity in both professional and personal spheres.”
  • Paraphrased:  “Efficient management of time is crucial for attaining productivity in both professional and personal aspects of life.”
  • Original:  “The restaurant offers a diverse selection of culinary choices, ranging from traditional dishes to modern fusion cuisine.”
  • Paraphrased:  “The restaurant provides a variety of food options, including both traditional and modern fusion dishes.”
  • Original:  “The novel explores the complexities of human relationships in a rapidly changing society.”
  • Paraphrased:  “The book delves into the challenges of human connections in a fast-changing world.”
  • Original:  “Regular exercise is crucial for maintaining optimal physical health and preventing various health issues.”
  • Paraphrased:  “Exercising regularly is important for keeping your body healthy and avoiding health problems.”

In these examples, you can observe the use of different wording, sentence structure, and synonyms while preserving the core meaning of the original sentences. This is the essence of paraphrasing.

What Are the Differences Between Paraphrasing, Quoting, and Summarizing?

So, we’ve established that successful paraphrasing is a way of rewriting someone else’s words whilst retaining their meaning and still giving credit to the original author’s ideas. But how is this different from quoting and summarizing?

While paraphrasing, quoting, and summarizing are all ways of incorporating information from source material into your own writing, there are key differences between them:

Paraphrasing

  • Definition:  Paraphrasing involves rephrasing someone else’s ideas or information in your own words while retaining the original meaning.
  • Usage:  You use paraphrasing when you want to present the information in a way that suits your writing style or when you need to clarify complex ideas.
  • Example:  Original: “The study found a significant correlation between sleep deprivation and decreased cognitive performance.” Paraphrased: “The research indicated a notable link between lack of sleep and a decline in cognitive function.”
  • Definition:  Quoting involves directly using the exact words from a source and enclosing them in quotation marks.
  • Usage:  You use quoting when the original wording is essential, either because of its precision or uniqueness, or when you want to highlight a specific phrase or concept.
  • Example:  Original: “The author argues, ‘In the absence of clear guidelines, individual judgment becomes paramount in decision-making.'”

The use of quotation marks is vital when quoting.

Summarizing

  • Definition:  Summarizing involves condensing the main ideas of a source or original passage in your own words, focusing on the most crucial points.
  • Usage:  You use summarizing when you need to provide a concise overview of a longer piece of text or when you want to capture the key points without including all the details.
  • Example:  Original: A lengthy article discussing various factors influencing climate change. Summary: “The article outlines key factors contributing to climate change, including human activities and natural processes.”

In summary, paraphrasing is about expressing someone else’s ideas in your own words, quoting involves directly using the original words, and summarizing is about condensing the main points of a source.

Each technique serves different purposes in writing and should be used based on your specific goals and the nature of the information you are incorporating. If you want to level up your writing skills you need to be able to do all three of these.

An essential skill in writing is the ability to ethically and accurately share the ideas of others. Quotations, paraphrases and summaries are all methods of including research in your writing or presentations. Here is a quick overview of the difference between quoting, paraphrasing and summarizing:

  • What it is: Using the exact words of your source; must be placed within quotation marks.
  • When to use it: Specific terminology, powerful phrases.
  • Example: McMillan Cottom explains that “Reading around a subject is about going beyond the object of study to unpack, examine, or pick apart what the person or the object of study represents” (1).

PARAPHRASING

  • What it is: Putting another’s ideas into your own words.
  • When to use it: To clarify a passage, to avoid over-quoting.
  • Example: McMillan Cottom contends that, in addition to reading about a subject itself, we also need to read about the ideas and concepts that are ingrained in a subject in order to truly understand its deeper meaning (1).

SUMMARIZING

  • What it is: Putting a larger main idea into your words.
  • When to use it: Overview of a topic, main point/idea.
  • Example: In McMillan Cottom’s article, “Sleep Around Before You Marry an Argument,” she describes the process of preparing to write about a subject and develop an argument. For her, the first and most important stage in this process is reading; however, she isn’t focused on simply reading everything ever written on a topic, but “reading around a subject.” In her view, the end goal is not just to compile facts, but to develop a thorough, but interesting final product that will connect with your audience. The guidelines and examples below will help you determine when and how to appropriately incorporate research into your writing.

General Guidelines

While you are still gaining experience and confidence in writing, there is often a temptation to rely heavily on the words and ideas of others. You might think, “How can I possibly say it as well as the expert?” or “How will anyone believe me unless I add in exhaustive research?” However, having confidence in your own ideas is one of the hallmarks of a more experienced writer, and this means that when incorporating the ideas of others, we should not allow them to “take over” our own ideas.

In addition, sometimes it is better to paraphrase or summarize an idea to keep it brief, rather than having an excessively long quotation. (See below for more info on both paraphrasing and summarizing ideas.)

That said, there are a number of reasons why we might want to quote the ideas of others. Here are some of the most common:

  • When wording is very distinctive so you cannot paraphrase it adequately;
  • When you are using a definition or explaining something very technical;
  • When it is important for debaters of an issue to explain their positions in their own words (especially if you have a differing viewpoint);
  • When the words of an authority will lend weight to your argument;
  • When the language of a source is the topic of your discussion (as in an interpretation).

Trying to balance your ideas and those of your sources takes a bit of skill and finesse. The goal is to make the ideas (both yours and those of your sources) feel and look like a conversation—a mutual exchange of voices and ideas that helps you and your audience work out your reasoning on a topic. (You can read more about this idea of academic conversations here.) Sometimes, in the process of trying to incorporate the ideas of others, things fall a bit short of the ideal. Here are some common missteps that can lead to your writing seeming less polished:

  • Over-using one source : If you find yourself repeatedly citing the same source again and again in your writing, it will begin to seem as if you are merely repackaging the other author’s ideas, rather than presenting your own. It also gives the appearance that your ideas are one-sided, due to the lack of a diversity of voices in the conversation.
  • Having more source material than your own original ideas *: Try color-coding your writing. Highlight each instance where you are quoting, paraphrasing or summarizing a source. What’s left? Is your essay a rainbow of colors, with little else? Or are the majority of ideas/sentences yours, with a few well-chosen instances of source material? Aim for the latter; otherwise, it will seem like you are just “reporting out” on all the research you have gathered, rather than developing your own thinking on a subject.
  • Does every aspect of this passage relate to my own paragraph ideas?
  • Can I cut out a section of this quotation to emphasize the points that are most relevant? (If yes, see below on proper formatting when you eliminate a portion of the quoted material.)
  • Would it be easier/better/more concise to paraphrase this idea? (If yes, see below on how to correctly and incorrectly paraphrase.)
  • Dropping in a random quote or source reference : Ideas without context are always confusing, whether they are yours or someone else’s. Make sure you provide adequate context and make connections between your ideas and those of your sources.
  • Signal phrase (a few words that introduce the author of the source; this might also include credentials of the author and/or title of work);
  • Quoted, paraphrased or summarized material, followed by a parenthetical citation;
  • Your own thinking that expands upon the ideas from the source material, and connects it back to your larger point.

*NOTE : This goal is more applicable to some writing situations than others. In a lab report or literature review, for example, the majority of your discussion might include restating/sharing research. Always confirm with your instructor if you are not sure what the appropriate balance of source material should be for your specific writing situation.

When quoting material from a source, wording and punctuation should be reproduced exactly as it is in the original. If you need to alter the quotation in any way, you must indicate this through punctuation or added material. Otherwise, you will be misrepresenting the ideas of others.

When paraphrasing or summarizing source info, you should still use quotation marks and cite any distinctive wording that you kept from the original.

For examples of how to correctly alter a quotation, see the “quoting material with alternate spellings or errors,” “omitting part of a quotation,” and “adding to or changing material in a quotation” sections below.

In certain instances, you do not need to cite information. Some examples include “common knowledge,” “passing mentions,” allusions, or epigraphs. Direct Quotation of Sources

A. Quotations that are fewer than four lines should be included in the text and enclosed in quotation marks. If you introduce the quotation in a signal phrase with the author’s full name (or source title, if the author’s name is not provided), include the page number in parentheses after the end of the quotation and before the period. It is not necessary to repeat the name in the parenthetical citation:

On the efficacy and importance of religion, David Hume asserts , “The life of man is of no greater importance to the universe than that of an oyster” (319) .

B. If you do not introduce the quotation with the author’s full name (or source title, if the author’s name is not provided), include the author’s last name and page number in parentheses after the end of the quotation and before the period:

When considering the efficacy and importance of religion, one must understand that “the life of man is of no greater importance to the universe than that of an oyster” (Hume 319) .

C. If the quotation appears mid-sentence , end the passage with any applicable punctuation and a closing quotation mark, finish the sentence, and then cite the source in parentheses at the end of the sentence :

Based on the findings, Sommerfeldt argued that “the normative role of public relations in democracy is best perceived as creating the social capital that facilitates access to spheres of public discussion,” challenging dominant notions of democratic discourse (664).

(An exception to the mid-sentence example above would be if you have more than one source cited in the same sentence. In that case, include the parenthetical citation directly after each quotation in the sentence.)

Quotations that are more than four lines should be displayed in block quotation format . This is an indented passage that does not require quotation marks (the indent serves in place of quotation marks):

The question of voters’ reasons for picking a specific candidate or side in an issue is a complicated one.

Voters should have good grounds for thinking that they are voting for policies or candidates that will promote the common good. In general, there are three ways that voters will violate this norm. Bad voters might vote out of 1) ignorance, 2) irrational beliefs, or 3) immoral beliefs. In contrast, good voters not only know what policies candidates will try to implement, but also know whether those policies would tend to promote or harm the common good. Voters should aim to promote the common good rather than narrow self-interest. (Brennan 37)

Given that voters often don’t vote with the common good in mind, what steps can the community take to help change that?

Note that the period at the end of the block quotation is placed at the end of the sentence, rather than after the parenthetical citation. After the quotation is completed, continue your paragraph on the left margin (i.e., don’t indent as if it were a new paragraph).

If the quotation includes an alternate spelling (i.e., British English) or an error in grammar, punctuation, or spelling, write the word “sic” in brackets directly after the alternate spelling or error inside the quotation:

“VCU is well known for it’s [sic] diversity” (Jones 43). 

This lets the reader know that it is the original writer’s spelling or error.

It is often useful to omit material when you do not need all words or sentences included in the passage you are citing. If you omit material, use three spaced periods (. . .) within a sentence (the three periods are called an ellipsis) to indicate that you have omitted material from the original source:

Ariel Levy notes that “in the decades since the McKennas’ odyssey, the drug . . . has become increasingly popular in the United States” (34).

If you omit material after the end of a sentence, use four spaced periods (. . . .) . This is a period, followed by an ellipsis.

A. Though direct quotations must be accurate, the first letter of the first word in the quotation may be changed either as uppercase or lowercase to match the flow of your sentence. Additionally, the punctuation mark ending a sentence may also be changed if necessary for appropriate syntax.

B. It is sometimes important to insert material when it will help the reader understand a quotation. When inserting material, enclose it in brackets :

Original quotation : “By programming a variety of Twitter bots to respond to racist abuse against black users, he showed that a simple one-tweet rebuke can actually reduce online racism” (Yong 45).

Revised quotation with inserted material for clarity : “By programming a variety of Twitter bots to respond to racist abuse against black users, he [Kevin Munger] showed that a simple one-tweet rebuke can actually reduce online racism” (Yong 45).

C. If you decide to italicize part or all of a quotation to emphasize a point you’re trying to make, add “emphasis added” in the parenthetical citation directly after the quotation :

The Dalai Lama has said, “Whether you call it Buddhism or another religion, self-discipline, that’s important. Self-discipline with awareness of consequences” (1, emphasis added) .

Note : If words were already italicized in the quoted material, you do not need to include the “emphasis added” designation. It is assumed that all formatting is original to the quotation unless you indicate otherwise.

Paraphrasing source material

When a writer uses another person’s idea but puts it in their own words, the writer is paraphrasing . We use paraphrasing when we wish to preserve the original ideas in their entirety (as opposed to summarizing the main points). Some reasons a writer might choose to do this include preserving the flow of their writing, or if quoting the material directly would take up too much space.

It is important to remember that just as with quotations, paraphrased material requires an in-text citation to give credit to the original author.

When paraphrasing or referencing an idea from another source, make sure that you provide enough information for the reader to easily locate the passage from the source you reference (for example, the page number or the paragraph number).

Example paraphrase : Original passage : “Reading around a subject is about going beyond the object of study to unpack, examine, or pick apart what the person or the object of study represents” (McMillan Cottom).

Unacceptable paraphrase : It’s important to read around the subject that we are studying by examining what that subject represents.

  • Issue 1: Certain words from the original are simply moved around.
  • Issue 2: Certain words are only replaced with synonyms or similar words.
  • Issue 3: The sentence structure has remained the same.
  • Issue 4: The source citation is missing.

Acceptable Paraphrase : McMillan Cottom contends that, in addition to reading about a subject itself, we also need to read about the ideas and concepts that are ingrained in a subject in order to truly understand its deeper meaning (1).

Many writers are reluctant to paraphrase because they worry about making mistakes and unintentionally plagiarizing ideas in their writing. This is a valid concern, but with practice this skill can be developed just like any other. Learning to paraphrase effectively can demonstrate a deeper understanding and command of the ideas you are discussing, and aid in the flow of ideas in your essay or presentation. That said, there are some common mistakes that should be avoided:

  • When paraphrasing, make sure that you don’t copy the same pattern of wording as the original sentence or passage . This sometimes happens when a writer tries to just swap out a few words, but keeps the structure of the sentence the same or very similar.
  • Likewise, avoid using the same or very similar wording as the original . If your paraphrase includes a word or phrase borrowed from the original, make sure to put that portion in quotation marks.
  • As noted above, paraphrases require citations, just like direct quotations. Always include a signal phrase and parenthetical citation to indicate that the info you are sharing is not your own. This is especially important in paraphrasing to make a clear distinction between the writer’s own ideas and the source info. Also, citing your source makes sure that you provide enough information for the reader to easily locate the passage from the source you reference.

To make sure that you don’t fall prey to the above mistakes, read the passage you wish to paraphrase and then put it aside. Without looking at it, try to think about how you can say it in your own words, and write it down. Make sure you aren’t including your own ideas—just try to capture the essence of the original in as clear and straightforward a manner as possible.

Summarizing source material

As explained at the top of this page, a summary is when a writer wants to provide a brief overview of a larger idea. This is distinct from a paraphrase, which usually focuses on a single sentence or paragraph. A writer can summarize an entire essay, a section of an article, or the overall main idea of a composition. While summarizing is perhaps not used as frequently as quoting or paraphrasing in academic writing, it can be an effective critical thinking and reading tool. In fact, your instructor may ask you to do a summary as part of your reading and research gathering to demonstrate your understanding of the material. In most academic writing, summaries should be used sparingly, but can be an efficient way to provide additional context to the intended audience.

It is important to remember that just as with quotations and paraphrases, summarized material requires an in-text citation to give credit to the original author.

When summarizing an idea from another source, make sure that you provide enough information for the reader to easily locate the passage from the source you reference (for example, the page number or the paragraph number).

Example summary :

The following summary focuses on an online article written by Tressie McMillan Cottom, which you can read in full here .

There are some common mistakes that should be avoided when summarizing a source:

  • Providing too much detail : While a summary is by its nature longer than a paraphrase, too much detail means that you are getting a bit “in the weeds” with your writing. A summary should be focused on the big ideas of a piece of writing, rather than the individual sections or minor points. A good summary should be much shorter than the original; in most cases, a full paragraph will be more than enough.
  • Using the same or very similar wording for part of the summary : Just as with paraphrasing, you want to avoid words, phrases, or patterns of wording from the original source. Stick to your own wording/ideas; if your summary does include a word or phrase borrowed from the original, make sure to put that portion in quotation marks.
  • Not providing a citation : As with paraphrases and quotations, summaries also require citations. Always include a signal phrase and parenthetical citation to indicate that the ideas you are summarizing are not your own. This is especially important in summarizing to make a clear distinction between your own ideas and the source info. Also, citing your source makes sure that you provide enough information for the reader to easily locate the source you reference.

To make sure that you don’t fall prey to the above mistakes, read the item you wish to summarize and then put it aside. Without looking at it, try to think about how you would explain the main ideas from the source to someone else in your own words, and write that down. Make sure you don’t add your own analysis or opinion—just try to capture the essence of the original in as clear and straightforward a manner as possible.

13.4: Using Source Text: Quoting, Paraphrasing, and Summarizing

Once you have a collection of credible sources as part of a formal secondary research project such as a report, your next step is to build that report around those sources, using them as anchors of evidence around your own arguments. If you began with an hypothesis and you’re using the sources as evidence to support it, or if you realize that your hypothesis is wrong because all the credible sources you  have found poked holes in it, you should at this point be able to draft a thesis—your whole point in a nutshell. From there, you can arrange your sources in an order that follows a logical sequence such as general to specific or advantages versus disadvantages.

You essentially have four ways of using source material available to you, three of them involving text (we have discussed them briefly in the previous chapter), and one media:

  • Quoting text: copying the source’s exact words and marking them off with quotation marks
  • Paraphrasing text: representing the source’s ideas in your own words (without quotation marks)
  • Summarizing text: representing the source’s main ideas in your own words (without quotation marks)
  • Reproducing media: embedding pictures, videos, audio, graphic elements, etc. into your document

In each case, acknowledging your source with a citation at the point of use and follow-up bibliographical reference at the end of your document (see §13.5 ) is essential to avoid a charge of plagiarism. Let’s now look at each of these in turn.

Chapter Sections

13.4.1: quoting sources, 13.4.2: paraphrasing sources, 13.4.3: summarizing sources.

Quoting is the easiest way to use sources in a research document, but it also requires care in using it properly so that you don’t accidentally plagiarize, misquote, or overquote. At its simplest, quoting takes source text exactly as it is and puts quotation marks (“ ”) around that text to set it off from your own words. The following points represent conventions and best practices when quoting:

  • You may have seen single quotation marks and think that they’re also acceptable to use, but that’s only true in the UK and some other Commonwealth countries, not in Canada; some European countries use « » to set off quotations instead.
  • Also use double quotation marks for putting a single word or two in “scare quotes” when you are drawing attention to the way people use certain words and phrases—again, not single quotation marks since there is no such thing as quotation marks “lite.”
  • Use single quotation marks only for reported speech when you have a quotation within a quotation, as in, “The minister responded to say, ‘No comment at this time’ regarding the allegations of wrongdoing.”
  • If no parenthetical citation follows immediately after the closing quotation marks, the sentence-ending period falls to the left of those closing quotation marks (between the final letter and the “99”); a common mistake is to place the period to the right of the closing quotation marks ( . . . wrongdoing”.).
  • According to researchers Tblisky and Darion (2003), “. . .”
  • As Vice President of Operations Rhonda Rendell has noted, “. . .”

  • Quote purposefully: Quote only when the original wording is important. When we quote famous thinkers like Albert Einstein or Marshall McLuhan, we use their exact words because no one could say it better or more interestingly than they did. Also quote when you want your audience to see wording exactly as it appeared in the source text or as it was said in speech so that they can be sure that you are not distorting the words, as you might if you paraphrased instead. But if there is nothing special about the original wording, then it is better to paraphrase properly (see §13.4.2 below) than to quote.
  • Block-quote sparingly if at all: In rare circumstances, you may want to quote a few sentences or even a paragraph at length, if it is important to represent every single word. If so, the convention is to tab the passage in on the left, not use quotation marks at all, set up the quotation with a signal phrase or sentence ending with a colon, and place the in-text citation following the final period of the block quotation. Here is an example:
  • Don’t overquote: As the above source says, a good rule of thumb is that your completed document should contain no more than 10% quoted material. Much above that will look lazy, as if you are getting your sources to write your document for you. Quote no more than a sentence or two at a time if you quote at all.
  • To avoid introducing spelling mistakes or other transcription errors, best practice (if your source is electronic) is to highlight the text you want to quote, copy it (ctrl. + c), and paste it (ctrl. + v) into your document so that it matches the formatting of the rest of your document (i.e., with the same font type, size, etc.). To match the formatting, use the Paste Options drop-down menu that appears beside pasted text as soon as you drop it in and disappears as soon as you perform any operation other than clicking on the drop-down menu.
  • Though many people mistakenly refer to parentheses ( ) as “brackets”, brackets are squared [ ] and are used mainly to indicate changes to quoted words, whereas parentheses follow the quotation and mark off the citation. If you were to clarify and streamline the final sentence of the block quotation a few points above, for instance, you could say something like: Lester (1976) recommended “limit[ing] the amount of exact transcribing . . . while taking notes” (p. 47). Here, the verb “limit” in the source text needs to be converted into its participle form (having an -ing ending) to follow the past-tense verb in the sentence framing the quotation grammatically. Sneakily adding the “ing” to “limit” without using brackets would be an example of misquotation because “limiting” appears nowhere in the original.
  • Notice that the ellipsis above is three spaced periods (not three stuck together, as in “…”) and that one doesn’t appear at the beginning of the quotation to represent the words in the original prior to “limit” nor at the end to represent source text following the quoted words (“… limit …”). Use the ellipsis only to show that you are skipping over unnecessary words within a quotation.
  • Be careful not to use brackets and ellipses in a way that distorts or obscures the meaning of the original text. For instance, omitting “Probably” and changing “should” to “[can]” in the Lester quotation above will turn his soft guideline into a hard rule, which would change the meaning of the original.
  • When you said in the class discussion forum, “No one cares about grammer, [ sic ] it doesnt [ sic ] really matter,” you undermined your credibility on the topic with poor spelling and a comma splice.
  • Capitalize as in the original, even if it seems strange to start a quotation with a capital (because it was the first word in the original) though it’s no longer the first word because it follows a signal phrase in your sentence. See the example in the point above, for instance.
  • Quotation is a powerful tool in the arsenal of any writer needing to support a point with evidence. Capturing the source’s words exactly as they were written or spoken is an honest way of presenting research. As previously defined, paraphrasing is putting source text in your own words and altering the sentence structure to restate the original text in a different way. It does not involve using quotation marks, but it still has to be accompanied by an in-text parenthetical reference, and it should still (ideally) start with a signal phrase.

Paraphrasing is the preferred way of using a source when the original wording isn’t important. This way, you can make the phrasing of the source’s ideas stylistically consistent with the rest of your document, and thus better tailored to the needs of your audience (presuming the original was tailored for a different audience with different needs). Also, paraphrasing a source into your own words proves your advanced understanding of the source text.

A paraphrase must faithfully represent the source text by containing the same ideas as in the original. As a matter of good writing, however, you should try to streamline your paraphrase so that it tallies fewer words than the source passage while still preserving the original meaning. An accurate paraphrase of the Lester (1976) passage block-quoted in the section above, for instance, can reduce a five-line passage to three lines without losing or distorting any of the original points:

Notice that using a few isolated words from the original (“research,” “students,” “10%”) is fine, but also that this paraphrase doesn’t repeat any two-word sequence from the original because it changes the sentence structure along with most of the words. Properly paraphrasing without distorting, slanting, adding to, or deleting ideas from the source passage takes skill. The stylistic versatility required to paraphrase can be especially challenging to EAL learners and native English users whose general writing skills are still developing.

A common mistake that students make when paraphrasing is to go only part way towards paraphrasing by substituting major words (nouns, verbs, and adjectives) here and there while leaving the source passage’s basic sentence structure intact. This inevitably leaves strings of words from the original untouched in the “paraphrased” version, which can be dangerous because including such direct quotation without quotation marks will be caught by any plagiarism checking software typically used by educational institutions (Fanshawe College uses Turnitin). Consider, for instance, the following botched attempt at a paraphrase of the Lester (1976) passage that substitutes words selectively (lazily):

Let’s look at the same attempt, but bold the unchanged words to see how unsuccessful the paraphraser was in rephrasing the original:

As you can see, several strings of words from the original are left untouched because the writer didn’t change the sentence structure of the original. The Originality Report from plagiarism-catching software such as Turnitin would indicate that the passage is 64% plagiarized because it retains 25 of the original words (out of 39 in this “paraphrase”) but without quotation marks around them. Correcting this by simply adding quotation marks around passages like “when taking notes, and” would be unacceptable because those words are not important enough on their own to warrant direct quotation. The only way to paraphrase properly is to change the words and the sentence structure , as shown in the paraphrase a few paragraphs above.

How do we do that? Here is a more detailed version of the steps discussed in the previous chapters:

The Paraphrasing Process

  • Read and re-read the source-text passage so that you thoroughly understand each point it makes. If it’s a long passage, you might want to break it up into digestible chunks. Look up any words you don’t know (look them up in a dictionary or just type the word into the Google search bar, hit Enter , and a definition will appear, along with results of other online dictionary pages that define the same word.
  • Without looking back at the source text, repeat its main points as you understood them —not from memorizing the exact words, but as you would explain the same ideas in different words out loud to a friend.
  • Still without looking back at the source text, jot down that spoken wording and tailor the language so that it’s stylistically appropriate for your audience ; edit and proofread your written version to make it grammatically correct in a way that perhaps your spoken-word version wasn’t.
  • Deleting any of the original points
  • Adding any points of your own
  • Distorting any of the ideas so they mean something substantially different from those in the original/ take on a different character because, say, your words put a positive spin on something neutral or negative in the original
  • Repeating any sequence of two or three words from the original in a row
  • When you enter a word into a thesaurus, it gives you a list of synonyms, which are different words that mean the same thing as the word you enter into it. Be careful, however; many of those words will mean the same thing in certain contexts but not in others , especially if you enter a homonym, which is a word that may have more than one meaning. For instance, the noun party can mean a group that is involved in something serious (e.g., a third-party software company in a data-collection process) or a fun celebration — and then there is the verb “to party,” the adjective, as in “party trick,” etc. There would be a separate series of (partial) synonyms in the thesaurus for all these different meanings, and you could easily pick one that doesn’t fit in your context.
  • Whenever you see synonymous words listed in a thesaurus and they look like something you want to use but you don’t know what they mean exactly, always look them up to ensure that they mean what you think they mean. Doing this can save your reader the confusion and you the embarrassment of obvious thesaurus-driven diction problems (poor word choices).
  • Still, for paraphrases, remember that replacing words with (partial) synonyms is not an acceptable way to paraphrase. In fact, it may look like an attempt to mask plagiarism (especially if you do not provide accurate parenthetical references and signal phrases).
  • Cite your source. Again, we do not use quotation marks for paraphrases, but we still need toprovide signal phrases and parenthetical references in-text, as well as a full bibliographical entry at the end of the document. For more on citing, see §13.5.2 ).

Summarizing is one of the most important skills in communications because professionals of every kind must explain to non-expert customers, managers, and even co-workers the complex concepts on which they are experts, but in a way that those non-experts can understand. Adapting the message to such audiences requires brevity but also translating jargon-heavy technical details into plain, accessible language.

As already defined in previous chapters, summarizing consists of paraphrasing only the highlights of a source text or speech. Like paraphrasing, a summary re-casts the source in your own words; unlike a paraphrase, however, a summary is a fraction of the source length—anywhere from less than 1% to a quarter depending on the source length and length of the summary. A summary can reduce a whole novel or film to a single-sentence blurb, for instance, or it could reduce a 50-word paragraph to a 15-word sentence. It can be as casual as a spoken run-down of a meeting your colleague was absent from, so he can find out what he missed, or an elevator pitch selling a project idea to a manager. It can also be as formal as a report on a conference you attended on behalf of your organization so your coworkers can learn in a few minutes of reading the highlights of what you learned in a few days of attending the conference, saving them time and money.

The Summarizing Process

  • Determine how big your summary should be (according to your audience’s needs) so that you have a sense of how much material you should collect from the source.
  • Read and re-read the source text so that you thoroughly understand it.
  • Disregard detail such as supporting evidence and examples.
  • If you have an electronic copy of the source, copy and paste the main points into your notes; for a print source that you can mark up, use a highlighter then transcribe those main points into your electronic notes.
  • How many points you collect depends on how big your summary should be (according to audience needs).
  • Paraphrase those main points following the procedure for paraphrasing outlined in §13.4.2 above.
  • Edit your draft to make it coherent, clear, and especially concise.
  • Ensure that your summary meets the needs of your audience and that your source is cited. Again, not having quotation marks around words doesn’t mean that you don’t have to clearly document your source(s).

Once you have a series of summarized, paraphrased, and quoted passages from research sources, building your document around them requires good organizational skills; this process involves arranging your integrated research material in a coherent fashion, with main points up front and supporting points below, proceeding in a logical sequence towards a convincing conclusion. Throughout this chapter, however, we’ve frequently encountered the requirement to document sources by citing and referencing, as in the last steps of both summarizing and paraphrasing indicated above. After reinforcing our quoting, paraphrasing, and summarizing skills, we can turn our focus on how to document sources. In the following, we will, again, build on our preliminary discussion of these skills in the previous chapters.

Have you ever heard, “the best way to learn something is to teach it to someone else”?

Writing a summary of a source is a very similar process to teaching someone the content—but in this case, the student you’re teaching is yourself.

Summarizing , or condensing someone else’s ideas and putting it into your own shortened form, allows you to be sure that you’ve accurately captured the main idea of the text you’re reading. When reading, summarizing is helpful for checking your understanding of a longer text and remembering the author’s main ideas. When writing, summarizing is critical when reviewing, writing an abstract, preparing notes for a study guide, creating an annotated bibliography, answering essay questions, recording results of an experiment, describing the plot of a fictional work or film, or writing a research paper.

How to Write Summary Statements

Use these processes to help you write summary statements:

  • Underline important information and write keywords in the margin.
  • Record ideas using a two-column note-taking system. Record questions you have about the text concepts in the left column and answers you find in the reading in the right column.
  • Identify how concepts relate to what you already know.
  • Add examples and details

For retaining key ideas as you read, write a summary statement at the end of each paragraph or section. For capturing the major ideas of the entire work, write a summary paragraph (or more) that describes the entire text.

Tips for Summary

For longer, overall summary projects that capture an entire reading, consider these guidelines for writing a summary:

  • A summary should contain the main thesis or standpoint of the text, restated in your own words. (To do this, first find the thesis statement in the original text.)
  • A summary is written in your own words. It contains few or no quotes.
  • A summary is always shorter than the original text, often about 1/3 as long as the original. It is the ultimate fat-free writing. An article or paper may be summarized in a few sentences or a couple of paragraphs. A book may be summarized in an article or a short paper. A very large book may be summarized in a smaller book.
  • A summary should contain all the major points of the original text , and should ignore most of the fine details, examples, illustrations or explanations.
  • The backbone of any summary is formed by crucial details (key names, dates, events, words and numbers). A summary must never rely on vague generalities.
  • If you quote anything from the original text, even an unusual word or a catchy phrase, you need to put whatever you quote in quotation marks (” “).
  • A summary must contain only the ideas of the original text. Do not insert any of your own opinions, interpretations, deductions or comments into a summary.

When writing, paraphrasing is an important skill to have when constructing a research paper and incorporating the ideas of others alongside your own.
