Tips on planning your thesis

At an early stage you should:

  • Prepare a detailed work plan for your research in consultation with your supervisor.
  • Build some flexibility into your plan. It is difficult to give general advice about the allocation of time on theory‑oriented projects, because the nature of these is so variable. In the case of experiment‑based research projects, you should normally allow up to six months to write a DPhil thesis, or three to four months for a corresponding MSc by Research thesis.
  • Consider attending available skills training courses, for example  Thesis and Report Writing .

It is not advisable to leave all the writing to the end, for several reasons:

  • You will need practice at writing over a period of time in order to develop a good style.
  • There will inevitably be hold‑ups in experimental work and it is better to use that time to work on part of your thesis, rather than to waste it. If you do some writing earlier the final completion of your thesis will not seem such a daunting task.
  • Approaching your submission date will become more stressful than necessary.

About your thesis

The best way to find out what is required for a successful thesis in your subject area is to look at some written in recent years. You should obviously look particularly closely at theses written by previous members of your own research group, which are available in the University library.

The formal requirements for obtaining your degree are set out in detail in the ‘ Examination Regulations ’. The standard required for success in the DPhil examination is defined as follows: that the student present a significant and substantial piece of research, of a kind which might reasonably be expected of a capable and diligent student after three or at most four years of full‑time study in the case of a full-time student, or eight years in the case of a part-time student. For the MSc by Research the standard required is that the candidate should have made a worthwhile contribution to knowledge or understanding of the relevant field of learning after a minimum of one year or two years of full-time study.

Thesis structure - Integrated Thesis

Subject to approval, students registered on research programmes (DPhil, MSc (Res) and CDTs) in the following departments may submit an integrated thesis rather than a conventional thesis: Biology, Chemistry, Earth Sciences, Engineering Science and Statistics. Where a student is admitted to an interdisciplinary doctoral training programme (CDT/DTP), the regulations for the department that the student is hosted in will therefore determine whether an integrated thesis may be applied for.

An integrated thesis may either be a hybrid of conventional chapters and high-quality scientific papers, or be fully paper-based. Regardless of the format, the content of the thesis should reflect the amount, originality and level of work expected for a conventional thesis. It should not be assumed that the act of publication (in whatever form) means the work is of suitable academic quality and content for inclusion in a thesis, and students should discuss all papers in detail with their supervisor before including. It would be anticipated that the candidate would be a lead contributor, rather than a minor author, on at least some of the papers in order to consider this format. There is no minimum, or maximum, number of papers a candidate is expected/allowed to include as part of such a thesis and it will remain a matter for the examiners to conclude whether the contributions are equivalent to that which would be expected of a standard DPhil.

Any papers utilised must concern a common subject, constitute a continuous theme and conform to the following guidelines:

 (i) If a candidate for the Degree of Doctor of Philosophy wishes to be examined through an integrated thesis (in the departments listed above), they should apply for permission to be examined in this way when they apply for confirmation of status, as detailed in the relevant departmental handbook. A candidate for the Degree of Master of Science by Research should normally apply to the DGS for permission to be examined in this way six months before submitting their papers for examination. To revert to being examined by a conventional thesis rather than an integrated thesis, the candidate must inform their department of the change as detailed in the relevant departmental handbook.

(ii) Work can be included regardless of its acceptance status for publication but candidates may be questioned on the publication status of their work by the examiners.

(iii) Any submitted/published papers should relate directly to the candidate’s approved field of study, and should have been written whilst holding the status of PRS or a student for the MSc (by Research), or DPhil.

(iv) The collection of papers must include a separate introduction, a full literature review, discussion and a conclusion, so that the integrated thesis can be read as a single, coherent document.

(v) The candidate must ensure all matters of copyright are addressed before a paper’s inclusion. A pre-print version of any published papers should be included as standard.

(vi) Joint/multi-authored papers are common in science based subjects and thus acceptable if the candidate can both defend the paper in full and provide a written statement of authorship, agreed by all authors, that certifies the extent of the candidate’s own contribution. In all departments, if some part of the thesis is not solely your work or has been carried out in collaboration with one or more persons, you should also submit a clear statement of the extent of your contribution.

Thesis page and word limits

Several departments place a word limit or page limit on theses. Details can be found in the  Examination Regulations  or  GSO.20a Notes of Guidance for Research Examinations .

Permission to exceed the page and word limits

Should you need to exceed your word/page limit you must seek approval from the Director of Graduate Studies in your department. You and your supervisor must submit a letter/email requesting approval, giving reasons why it is necessary to exceed the limit. This must be sent to the MPLS Graduate Office ( [email protected] ).

Proof-reading

It is your responsibility to ensure your thesis has been adequately proof-read before it is submitted.  Your supervisor may alert you if they feel further proof-reading is needed, but it is not their job to do the proof-reading for you.  You should proof-read your own work, as this is an essential skill in the academic writing process. However, for longer pieces of work it is considered acceptable for students to seek the help of a third party for proof-reading. Such third parties can be professional proof-readers, fellow students, friends or family members (students should bear in mind the terms of any agreements with an outside body or sponsor governing supply of confidential material or the disclosure of research results described in the thesis).   Proof-reading assistance may also be provided as a reasonable adjustment for disability.    Your thesis may be rejected by the examiners if it has not been adequately proof-read.

Examiners and Submission Dates

You are strongly advised to apply for the appointment of examiners at least four to six weeks before you submit your thesis.

Appointing examiners for your thesis

Approval of the proposed names of examiners rests with the Director of Graduate Studies. Two examiners are normally appointed. It is usual for one of the examiners to be a senior member of Oxford University (the ‘internal examiner’) and the other to be from another research organisation (the ‘external examiner’). The divisional board will not normally appoint as examiners individuals previously closely associated with the candidate or their work, representatives of any organisation sponsoring the candidate’s research, or former colleagues of a candidate. Your supervisor will make suggestions regarding the names of possible examiners. Before doing so, your supervisor must consult with you, in order to find out if you have any special views on the appointment of particular examiners. Your supervisor is also allowed to consult informally with the potential examiners before making formal suggestions. Such informal consultation is usually desirable, and is intended to determine whether the people concerned are willing in principle to act, and if so, whether they could carry out the examination within a reasonable period of time. (For example, there may be constraints if you have to return to your home country, or take up employment on a specific date).

What forms do I need to complete?

You will need to complete the online  GSO.3 form. Supervisors complete the section indicating names of the proposed examiners, and they should provide alternatives in case the preferred examiners decline to act.

Timing for appointment of examiners

You are advised to submit your appointment of examiners form in advance of submitting your thesis to avoid delays with your examination process. Ideally you should apply for the appointment of examiners at least 4-6 weeks before you expect to submit your thesis for examination.

There are currently no University regulations requiring examination to take place within a certain time limit after thesis submission. However, your examiners would normally be expected to hold your viva within 3 months. If you need to have your examination sooner than this, you may apply for an early viva , by completing the 'Application for a time specific examination' section on the appointment of examiners form, this section must be endorsed by your supervisor and DGS in addition to their approval in the main body of the form. The request must be made at the time of completing and submitting the appointment of examiners form, it cannot be done after this.

Please bear in mind that the examination date requested must not be earlier than one calendar month after the date on which the thesis has been received by the Research Degrees Team or after the date on which the examiners have formally agreed to act, whichever is the latest. The actual date of the examination will depend primarily on the availability of both examiners. In the Long Vacation, a longer time is normally required. It is therefore essential that you leave sufficient time for your forms to be formally approved, and for your examiners to be formally invited.  If sufficient time has not be given this could impact on your early examination request .

If, for any reason, examiners wish to hold a viva within four weeks of receiving their copy of the thesis, permission must be sought from the Director of Graduate Studies. The internal examiner will need to give details of the proposed arrangement and the reasons for the request. Under no circumstances will a viva be permitted to take place within 14 days of receipt of the thesis by the examiners.

Special considerations

Your supervisor is permitted to indicate to the Director of Graduate Studies if there are any special factors which should be taken into account in the conduct of your examination. For example, a scientific paper may have been produced by another researcher which affects the content of your thesis, but which was published too late for you to take into account. The Director of Graduate Studies will also need to be told of any special circumstances you may require or need to inform your examiners of which may affect your performance in an oral examination, or if any part of your work must be regarded as confidential. The Director of Graduate Studies will then forward (via the Graduate Office), any appropriate information that they think should be provided to the examiners. The Graduate Office will also seek approval from the Proctors Office if required.

Change of thesis title

If during your studies you want to change the title or subject of your thesis, you must obtain the approval of the Director of Graduate Studies using the online form GSO.6 . If you are requesting the change at the time of submitting your thesis, you may do this on the application for appointment of examiners form. A change of title is quite straightforward; it is common for students to begin with a very general title, and then to replace it with a more specific one shortly before submitting their thesis. Providing your supervisor certifies that the new title lies within the original topic, approval will be automatic. A change of the subject of your research requires more detailed consideration, because there may be doubt as to whether you can complete the new project within the original time‑scale.

If following your examination your examiners recommend that your thesis title be changed, you will need to complete a change of thesis title form to ensure that your record is updated accordingly.

From MT19 y ou must submit your digital examiners’ copy of your thesis online, via the Research Thesis Digital Submission (RTDS) portal, no later than the last day of the vacation immediately following the term in which your application for the appointment of examiners was made.   If you fail to submit by this date your application will be cancelled and you will have to reapply for appointment of examiners when you are ready to submit. Y our thesis should not be submitted until your application for confirmation of status has been approved (this applies to DPhil students only) . For MSc by Research students you should ensure that your transfer of status has been completed .

If you are funded on a research council studentship, you will have a recommended end-date before which your thesis must be submitted. If you do not know this date, please consult your supervisor.

Please note that you must not submit copies of your thesis directly to your examiners as this could result in your examinations being declared void and you could be referred to the University Proctors.

The information provided below provides a summary of key regulations applicable to all examinations. It is your responsibility to read and adhere to the  Examination Regulations .

The procedures for the submission and examination of theses are detailed in the  Examination Regulations , as well as the  Notes of Guidance for the Examination of Research Degrees (GSO.20a) .

When to submit a thesis

Students must have the appropriate student status before they are permitted to submit a copy of their thesis: if you are a student for the MSc by Research, MLitt, or MPhil, this means having completed your transfer of status; if you are a student for the DPhil, this means having passed both your transfer and confirmation of status.

You can find the details of your final submission deadline on Student Self Service, at ‘My Student Record’ > ‘Academic Information’. This maximum submission date is different to the expected completion date found on your University Card and Enrolment Certificate, and is the date by which you must have submitted the examination copy of your thesis. If you will not be in a position to submit your thesis by this date you will need to consider submitting an application for an extension.

Appointment of examiners

You should liaise with your supervisor regarding the selection of your proposed examiners. It is usual for supervisors to informally invite the proposed examiners, and confirm their willingness to act, before the submission of the Appointment of Examiners form.

Once you have decided on an appropriate internal and external examiners with your supervisor, you should complete the  Application for Appointment of Examiners (GSO.3) form  in Student Self Service, and read the accompanying Notes of Guidance. Once you have completed and submitted your section, the application will be sent to your supervisor who will propose examiner names to the relevant board, together with details of any special considerations which either yourself or the supervisor wishes to make known about potential examiners.

If you wish to request an early  viva , you will be given the opportunity to do so in the GSO.3 form. This cannot be used to request that a viva happens ‘as soon as possible’, but only where there is a specific date by which the viva must have taken place. If the faculty board accepts your request, your examiners will be invited on the basis that they conduct before a date you specify. You should bear in mind when specifying this date that you should allow your examiners at least four weeks to examine your thesis before the date of the viva, and the submission dates of your application form and thesis should reflect this. 

It is strongly recommended that you submit your section of the GSO.3 form four to six weeks prior to submitting your thesis, since the names of your examiners have to be approved and their acceptance received before your thesis can be provided to them. If you submit your form and thesis together, your thesis will not be provided to the examiners until these preliminaries have been completed.

Detailed guidance on all sections of the Appointment of Examiners form can be found in the GSO.20a .

Maximum number of terms’ extension permitted

The maximum number of terms’ extension permitted for DPhil students is six terms. Applications for extensions within this limit should be made via Student Self Service . Applications for extensions which would take you beyond six terms of extension will not be granted without both the full support of your supervisor(s), college and department/faculty, and in addition, special dispensation from the Examination Regulations agreed by the University Education Committee. Such applications should be made through your  Graduate Studies Assistant .

The maximum number of terms’ extension permitted for Master of Letters and Master of Science by research students is three terms.

Submission of examiners’ copies of your thesis 

The examination copies of all research degrees must be digitally submitted via the Research Theses Digital Submission (RTDS) portal before 11:59pm on the student’s maximum submission date. Submissions made via any other method will not be accepted. Full guidance on the functionality and instructions on how to submit your thesis using RTDS can be found in the  Quick Reference Guide for Students .

You may submit the digital examiners’ copy of your thesis at the same time as applying for the appointment of examiners, but note that your examiners will not be sent a link to download the thesis, until your  Appointment of Examiners form  has been approved and your examiners have formally confirmed their appointment to the Research Degree Team at the Examination Schools.

Presentation of theses and abstracts - style and format

Information on special regulations for specific subject areas and divisional and faculty boards can be found in the relevant Examination Regulations ; you should check the specific requirements for your course of study in the relevant regulations. A set of general advice on the format of the thesis can also be found in the General Regulations Governing Research Degrees, and is replicated in the GSO.20a .

Plagiarism is presenting someone else’s work or ideas as your own, with or without their consent, by incorporating it into your work without full acknowledgement. All published and unpublished material, whether in manuscript, printed or electronic form, is covered under this definition. Plagiarism may be intentional or reckless, or unintentional. Under the regulations for examinations, intentional or reckless plagiarism is a  disciplinary offence  (sections 4 and 5).

There are different  types of plagiarism  and you should familiarise yourself with each of them. You may benefit from taking an  online course  which has been developed to provide a useful overview of the issues surrounding plagiarism and practical ways to avoid it.

If plagiarism is suspected in your thesis, the matter will be referred to the relevant Director of Graduate Studies (DGS). They will thoroughly investigate the claim and may call you for interview. As part of the investigation, text-matching software such as iThenticate or TurnItIn may be used to scan the thesis but the thesis will not be saved to any text-matching software databases. If at this point there is no evidence of a breach of the regulations, no further disciplinary action will be taken although you still may be required to make changes to your thesis. However, if it is concluded that a breach of the regulations may have occurred, the DGS will refer the matter to the Proctors.

Extenuating circumstances

If you have a disability that may affect your thesis, this needs to be considered at the time that you are writing your thesis. There are a number of measures that can be put in place to support you whilst writing your thesis and these can be discussed with the Disability Advisory Service and your department/college disability advisors. These measures could include extensions of time for milestones, assistive technology, use of a proof reader etc.

By the time you submit your thesis no further consideration of the disability for the written work is appropriate, as you will have been given sufficient support so that your thesis can be examined under the same academic criteria as those theses submitted by students without a disability.

The oral examination or viva

It is the responsibility of the internal examiner to make all the arrangements for the viva examination. Your internal examiner should normally contact you to arrange a date for your  viva  within a month of receiving your thesis. If you have not heard from your examiner within a month of your thesis being sent, please contact the Research Degrees Team, who will contact your examiners. You must not contact your examiners yourself, except when you have to agree a date for the viva.

If you wish to ask for an early viva (one to two months following submission), the application setting out the reasons for your request must be made using the ‘request for time specific viva’ section of the GSO.3 (Appointment of Examiners) form. You may not request an early viva to take place within a month of submitting your thesis.

Your thesis will only be available to the examiners once both the completed GSO.3 form and their formal acceptance to act as an examiner have been received. Delays often occur by the GSO.3 not arriving promptly with the Research Degrees Team or a failure to elicit a response from the examiners to their invitation.

The regulations stipulate that examiners must have the thesis a minimum of four weeks before the date of the viva. In exceptional circumstances the board may permit a viva to be held earlier but this is not guaranteed. Please  contact your Graduate Studies Assistant  if you wish to enquire about this.

You must present for a viva in academic dress;  sub fusc  and a gown. The gown should be that of your present status (i.e. Student for the Degree of Doctor of Philosophy), the gown and hood of the degree held from your own university, or, if you are a University of Oxford graduate, the gown and hood of your University of Oxford degree. Special dispensation may be granted in certain circumstances, for example, health reasons, religious orders and members of the armed services. Please contact the Research Degrees Team for further information on how to apply.

Please do not forget to take a copy of your thesis with you to the viva.

Remote vivas

With the permission of the relevant board (given through the Director of Graduate Studies), vivas may be held with any or all of the candidate and examiners attending remotely via video call. A potential reason for this may be that an examiner or the candidate are based outside the UK, and would be travelling to the UK for the sole purpose of attending the viva. All parties must agree to the viva being held in this format, and further guidance can be found in Annex D of the Policy and Guidance on Research Degrees . Where permission is given for a viva to be held remotely, there is no requirement for the candidate or internal examiner to attend in academic dress.

Viva adjustments

If you wish to make the examiners aware of any illness, disability, or personal circumstance which may affect your performance in the viva, you can make an application for Adjustments to Assessment Arrangements using form  GSO.19 , outlining the requested adjustments and reasons. Adjustments can be requested at any point from offer of a place to submission, at the point of applying for Transfer of Status, at the point of applying for Confirmation of Status or at the point of applying for final viva/appointment of examiners.  The form and related guidance can be found here . Please contact your GSA or departmental graduate administrator if you require more information.

Minor corrections

Your examiners may recommend that you complete minor corrections before they recommend award of the degree. Your examiners will provide you with a list of the required corrections. If you have not received the list of corrections within two weeks of the viva, then you should contact the  Graduate Studies Assistant  for your subject area.

The University expects that these minor corrections will be completed to the satisfaction of your internal examiner within one month of being issued. If, for exceptional reasons, additional time is needed you may apply for an additional one month by submitting a copy of form  GSO.18 . Extension of Time for Completion of Minor or Major Corrections. If you fail to complete your corrections within the time allowed your name will be removed from the Graduate Register and a reinstatement application will be required.

Major corrections and referral 

A ‘major corrections’ option for DPhil examination outcomes give the examiners of research degrees an outcome option midway between minor corrections and referral. Corrections must be made and submitted within six months of the letter confirming the major corrections, although Examination Boards may grant an extension of up to three months on receipt of a GSO.18 form. Where a candidate is required to revise and re-submit their thesis, the revised thesis and, where required, a report indicating the specific changes made must also be submitted via the Research Thesis Digital Submission (RTDS) application.  It is not permitted for a thesis to be submitted directly to the examiners .

Candidates whose thesis is referred will be required to provide at resubmission a separate report indicating the specific changes made to the revised thesis. For students in the Humanities, Medical Sciences and Social Sciences Divisions and the Department for Continuing Education, the word limit for the accompanying report is 1000 words; for students in the Mathematical, Physical and Life Sciences Division, the word limit is 2000 words. The report will act as a guide to how the candidate has addressed examiners’ comments, and will direct examiners to the appropriate sections.

In all cases, the time limit applies from the date you receive the list of corrections/revisions required.

Examiners do not have the option of recommending an outcome of outright fail on the first attempt for MLitt/MSc(Res) examinations. Students not passing the examination at the first attempt will be entitled to a second attempt.

Re-submitting a thesis

If you are re-submitting your thesis, you are required to pay the re-submission fee (the current fee amounts can be found  here ) when you apply for the appointment of examiners. This fee does not apply to students submitting their thesis for the Review of Major Corrections. The re-submission fee should be paid via the Research Degrees section of the University's  online shop ; this will need to be received before the Research Degrees Team is able to officially log your submission and send your thesis to your examiners.

The revised thesis, and the required report indicating the specific changes made, must be submitted via the Research Thesis Digital Submission (RTDS) application. For students in the Humanities, Medical Sciences and Social Sciences Divisions and the Department for Continuing Education, the word limit for the accompanying report is 1000 words; for students in the Mathematical, Physical and Life Sciences Division, the word limit is 2000 words. The report will act as a guide to how the candidate has addressed examiners’ comments, and will direct examiners to the appropriate sections.

A fresh Appointment of Examiners form is also required for any resubmission. The report on the first examination will automatically be sent to the examiners of the re-submitted thesis. This is to ensure that the examiners are aware of the background to the revisions that you have made. If you wish to make a case for this not to happen, permission must be sought from the Proctors. You will need to apply in writing via your  Graduate Studies Assistant , stating your reasons, before or at the same time as re-applying for the appointment of examiners.

Deposit of a Library Copy of the Thesis

Students granted leave to supplicate will no longer need to submit a hardbound copy of their thesis to the Examination Schools in order to graduate. This includes any students granted leave to supplicate in previous academic years who have not yet submitted a hard copy of their thesis.

All candidates for the degrees of DPhil, MLitt, MSc by Research and DClinPsych must submit an electronic version of their finalised thesis, as approved by the examiners, to the Oxford University Research Archive (ORA)  following being granted to leave to supplicate. Students for theses degrees must do so a minimum of five working days prior to their graduation date, and will not be able to attend a degree ceremony (even in absentia) without doing so.

Information   regarding this process can be found on the  Oxford Research Archive website  and will be sent with your result letter. Deposit of a copy with the archive is optional for candidates for the degrees of MPhil, Master of Studies in Legal Research (MSt) or Bachelor of Philosophy (BPhil) in Philosophy.

If submissions remain outstanding, shortly before your degree ceremony you will receive emails reminding you to complete these submissions at least five days in advance of your ceremony. If these submissions are not completed by this time, your name may be removed from the ceremony list.

Dispensation from Consultation of Thesis

Where there are concerns about the thesis being made publicly available online, candidates can apply for dispensation from consultation for part or all of their thesis using form  GSO.3c . Information on this process, and on likely reasons for applying, can be found on the Bodleian website .

Candidates who are granted Dispensation from Consultation on the whole thesis, and on a permanent basis, should, in addition to the finalised copy of the thesis submitted to the Oxford Research Archive, submit a finalised hardbound copy of their thesis for deposit in the relevant university library. This applies to students who have already been granted Dispensation from Consultation, and who have not yet had the opportunity to submit a hard copy of their thesis.

Students whose thesis (or part of the thesis) is in a non-standard format which cannot be submitted electronically (e.g. a 3D artwork, or artefact) should also submit a physical copy for deposit.

Finding UK theses

The Bodleian Libraries hold copies of some UK theses. These are listed on SOLO  and may be ordered for delivery to a reading room. 

These theses are not all catalogued in a uniform way. Adding the word 'thesis' as a keyword in SOLO may help, but this is unlikely to find all theses, and may find published works based upon theses as well as unpublished theses.

Card catalogue  

Some early theses accepted for higher degrees and published before 1973 are held in the Bodleian Libraries but are not yet catalogued on SOLO. These holdings can be found in the Foreign Dissertations Catalogue card index.

Proquest dissertations & theses.

You can use ProQuest Dissertations & Theses Global  to locate theses accepted for higher degrees at universities in the UK and Ireland since 1716. The service also provides abstracts of these theses.

Library Hub Discover

You can use Library Hub Discover to search the online catalogues of some of the UK’s largest university research libraries to see if a thesis is held by another UK library.

EThOS is the UK’s national thesis service, managed by the British Library. It aims to provide a national aggregated record of all doctoral theses awarded by UK higher education institutions, with free access to the full text of many theses. It has around 500,000 records for theses awarded by over 120 institutions.

UTREES - University Theses in Russian, Soviet, and East European Studies 1907–

UTREES is a bibliographical database of research in the British Isles. The database has been continuously extended from the printed volume, most recently with 202 recent theses added in 2021. The database lists details of over 6,000 doctoral and selected masters’ theses from British and Irish universities. It covers research relating to Eastern and Central Europe, Russia and the area of the former USSR, including Central Asia, the Caucasus and Siberia.

You can also go to individual UK universities' sites for their online theses repositories.

You can purchase copies of Cambridge University theses through the Cambridge University Library's online order form . There is a standard charge of £75 (plus VAT and postage). White Rose ETheses Online is an online repository of doctoral theses from the Universities of Leeds, Sheffield and York. It is part of a national and international network of open access online databases which promote access to research outputs. Many theses have been digitised by the British Library as part of the EThOS. However, there have been instances where theses are available via WhiteRose eTheses Online before they reach EThOS.  

Ordering UK theses

Many theses from other UK universities are available from the British Library's EThOS service.  Unfortunately, this service is currently unavailable due to a cyber attack on the British Library.  

You can also request theses from other UK universities as an inter-library request .

Please note that it may not be possible to obtain some theses due to restrictions on lending placed by the author of the thesis or the institution at which it is held.

DPhil in Philosophy

The Doctor of Philosophy (DPhil) in Philosophy is a three- to four-year research programme in which a candidate undertakes a doctoral level research project under the guidance of a supervisor. The doctoral work culminates in a 75,000-word thesis that is defended in the form of a viva voce examination ( oral defence). Satisfactory progress through the DPhil is checked in the form of a mini- viva voce examination taking place at the end of the first and second year of study.

The aim of the Faculty’s DPhil in Philosophy is to prepare you for an academic career in philosophy.

The Philosophy Graduate Studies Committee recommends progression from Oxford's BPhil in Philosophy to the DPhil programme in view of the opportunity it offers to students to study a wide range of philosophical topics as well as to focus on a narrower field of research interest. Students proceeding to the DPhil programme via the BPhil will normally write a DPhil thesis which is an expansion of their BPhil thesis, although this is not a formal requirement. Indeed, sometimes, the BPhil thesis topic is not suitable for expansion into a DPhil thesis, or a student may wish to write their DPhil thesis on a different topic.

Each year, some students are admitted to the DPhil in Philosophy from programmes other than the BPhil in Philosophy. These students enter the DPhil initially as Probationary Research Students (“PRS”) from appropriate programmes at Oxford or elsewhere. Typically, these students will have already completed substantial graduate work in philosophy, usually equivalent to that required for the BPhil. Students may also progress from one of the Faculty of Philosophy's specialist MSt programmes - the MSt in Philosophy of Physics , the MSt in Ancient Philosophy  and the MSt in Practical Ethics .

In the third term after enrolment onto the DPhil, you are required to complete a transfer of status from PRS to full DPhil status. Two appointed examiners will interview you both on your two-page thesis outline, which explains in outline the intended line of argument or contribution to the subject, and on a piece of written work of approximately 5,000 words in the area and philosophical style of the proposed thesis which is typically, though not necessarily, a draft chapter of the thesis.

Students who progressed from the MSt in Philosophy of Physics course are required to write a 20,000-word thesis during their year as a PRS, as their MSt does not have a thesis element. Students who progress from the BPhil will enter the DPhil without being required to pass a year as a PRS and as a result will only have another six terms (instead of the usual nine terms) of fee liability for their DPhil.

At the end of the second year, you will be required to apply for confirmation of DPhil status. This entails an interview by one or two appointed examiners on your two-page thesis outline, which goes into some detail and comprises a reasoned statement of the nature of the proposed thesis together with a provisional table of contents, and a piece of written work of approximately 5,000 words.

You should have regular one-on-one tuition sessions with your supervisor(s). These will normally happen twice per term but in some terms, especially at the start of the degree and during the final stages of the thesis, the number of sessions may be increased. You are not required to attend any taught graduate classes as part of your DPhil degree, but you are encouraged to participate in lectures, classes, seminars and other educational opportunities offered throughout the university as relevant to your topic of study.

The course has no fieldwork, industrial placement or year abroad element, but you may decide to attend conferences, workshops or research training elsewhere.

  • DPhil Seminar

The DPhil Seminar at Oxford University provides a forum for graduate students to present and discuss thesis chapters, and workshop papers that are to be submitted for publication.  

Speaker Series:  DPhil students present a part of their dissertation to a faculty member and fellow students. The format is approximately 45 minutes for presentation, 15 minutes for faculty commentary, and 30 minutes for Q&A

Publishing Workshop:  DPhil students receive targeted feedback on papers they intend to submit for publication relatively soon. Each term participants are placed in groups of 3-4, according to topic. During each of the 3-4 workshops (per topic group) the paper of one group member is discussed. Participants will be expected to attend the workshops of their fellow group members and to have read each of the other papers in advance of the relevant sessions. The format will be approximately 10 minutes for author introduction, 30 minutes for faculty commentary, and 50 minutes for discussion. Other faculty members and students are very welcome, but are encouraged to read the paper in advance.

The Faculty expects that DPhil students will present their work in the DPhil seminar at some point during their studies: most likely in their second or third year. The seminar provides an excellent opportunity for presentation experience, as well as feedback from peers and at least one faculty member other than their thesis supervisor(s). All graduate students and faculty are encouraged to attend, and all students are welcome to present but advantage is given to those who have not yet presented a paper.

This section is for researchers who would like to find and read theses from Oxford Brookes or other universities.

Oxford Brookes theses

A copy of every Oxford Brookes PhD and MPhil thesis is deposited with the Library in print format (also known as a 'hardcopy'), online format (also known as 'electronic' theses or eTheses), or in both print and online formats. Oxford Brookes theses submitted from 2021 onwards are only available from the Library in online (or 'electronic') format.

To find print and online Oxford Brookes theses you can search LibrarySearch  by author, title, keyword, while for only the online theses you can browse or search  our repository RADAR .

Locating theses from other institutions

  • ProQuest Dissertations & Theses provides access to multi-disciplinary dissertations and theses from around the world, offering over 5 million citations and 3 million full-text works from thousands of universities.
  • EBSCO Open Dissertations : enables you to search for thousands of open access dissertations
  • British Library’s EThOS project : a theses digitisation project. You can search across 500,000+ theses for free and download / order full text where available. You will need to register and log in if you want to download a thesis or to order digitisation of a thesis.
  • CORE : CORE (COnnecting REpositories) is an aggregation of open access content from UK and worldwide repositories and open access journals. It includes access to theses.

This section is for postgraduate researcher students who will be submitting an online PhD thesis as part of their doctorate degree.

What is 'third party content'?

Many theses will include text, images, or other materials that were originally created by other people - this is known as 'third party content'. Material that might be in your thesis and which could be considered third party content includes:

  • Lengthy quotations and extracts from publications such as books or journals even if you have attributed them correctly.
  • Patented material
  • Models/diagrams copied as found from books, even if attributed correctly
  • Maps, such as Ordinance Survey photocopies, or taken from books, even if attributed correctly
  • Photocopies/scans of paintings and other artworks, or manuscripts and historical documents.

Sometimes students believe they can reproduce third party material in their thesis if they provide a reference to the original - but this is not the case. See the next section for more details.

Using third party content in your online thesis

Third part content is the intellectual property of other people, which means you may need the permission of the copyright holders before including the material in the version of your thesis that will be publicly available on the institutional repository of Oxford Brookes. Here are some conditions under which you can use third party content in your online thesis:

  • The third party content has been given a licence (e.g. a Creative Commons licence) which allows you to use the material in your online thesis without contacting the copyright holder.
  • A formal legal exception to copyright law means you can include the third party content in your online thesis without the permission of the copyright holder.
  • The work is 'out of copyright', meaning that the duration of copyright protection has expired.

You have contacted the copyright owner of the third party material and they have given you permission to include the material in your online thesis. To request permission first establish who the copyright holders are (there may be more than one), try to contact them ( here is a template letter  that you can adapt), and keep records of all communications (separately from your Oxford Brookes email).

If none of the above conditions apply then you must remove the third party content from your the version of your thesis that will be publicly available before you upload it to RADAR. This can be done individually or in bulk:

  • Individually: remove each item of third party content that you do not have permission to use in your online thesis but leave a similar amount of blank space so that the pagination is unchanged.
  • In bulk: when writing your thesis put all the third party content that you do not have permission to use in the publicly available version of your thesis within a single section of your thesis (e.g. an appendix), then remove that particular section before uploading that version of the thesis to RADAR. For example, Thompson's thesis The furrowed face originally had an Illustrations section (see the Contents List) that is not actually included in this online version of the thesis (though the bibliographic details of the sources are included in the List of Illustrations).

Whichever way you remove the third party content, please remember these two key points:

  • Remember to include the bibliographic details of all the third party content in the main body of the text and/or in a separate section so that the readers of your online thesis can easily find the original sources for themselves. Ideally this will also include an electronic hyperlink to each resource (preferably a persistent link, e.g. a DOI).
  • For any third party content that you do have permission to use in your online thesis, ensure you state this clearly directly underneath the third party content (e.g. 'Used with permission of the author / publisher /photographer / author /creator' or 'Used under the terms of the licence...', etc.).

  • Creative Commons licences are often used by publishers and authors to state how online materials can be reused by other people

Personal data and issues of confidentiality

Personal data and confidentiality are usually separate issues from copyright and third party content, but the involvement of human participants in your research (or the inclusion of material that identifies individuals in your thesis) also requires special consideration when submitting the electronic version of your thesis.

LaTeX and similar tools follow a “what you see is what you mean” model, unlike Microsoft Word, which is “what you see is what you get”. When you’re starting a new section in a LaTeX document, you don’t click bold and increase the font size. Instead, you type \section , and the engine automatically assigns a section number and format, updates the table of contents, and even adds within-document links. This all sounds complicated, but if you’ve written HTML, you know the idea. (Word power-users will reply that Word has similar tricks up its sleeve. This is true, but LaTeX explicitly separates text from layout, preventing a lot of the “gremlins” that creep into Word documents.)

Of course, this paradigm creates a significant disconnect between the text you type and the beautiful PDF document that results. This is where a good template comes in. It defines everything from how the title page is laid out to what the page header looks like in the bibliography. For a LaTeX user (and anyone writing a document as long as a thesis should be), a good template is everything. I was lucky enough to find a template that Sam Evans adapted for social sciences use based on the original maths template by Keith Gillow . I wound up making my own modifications, and re-packaged the template for posterity.

Some of the features of this template are:

Fantastic chapter pages. The template retains Sam Evans’s use of the quotchap and minitoc packages to (optionally) include an epigraph and brief table of contents at the beginning of each chapter. I found this a great way to inject a bit of personality into the thesis (via the epigraph) and ensure that my reader wasn’t getting lost (table of contents). My modifications cleaned up some of the spacing, ensuring single-spaced tables and slightly more compact chapter headings.

Table of Contents refinements. Careful attention was paid to spacing and page headings in the table of contents as well as other heading sections. This can get tricky in documents using lots of packages. This template also inserts an “Appendices” page (and ToC entry) between chapters and appendices.

Table of abbreviations. Many science and engineering theses use lots of abbreviations. Humanities and social sciences theses often need glossaries. While there are some dedicated LaTeX classes that meet these needs in complex cases, I decided to create a simple list environment to handle the routine cases.

Highlighted corrections. Most Oxford theses go through a round of corrections, as time-honored a tradition as the viva itself. Minor corrections generally just involve sending a PDF of your revised thesis to your internal examiner. (Major corrections often require a more exacting process.) This class allows you to designate text (or figures, etc) as a correction. You can then toggle between generating a document in which these corrections are highlighted in blue (ideal for sending to your examiner for a quick read-through) and just printing them without any adornment (for generating your final copy).

Page layout, draft, and spacing options. In a few keystrokes, you can switch between a double-spaced, single-sided, binding-margin document (ideal for submission), a 1.5-spaced, double-sided document (for your parents’ copy), or a version with equal left and right margins (for submitting as a PDF). An optional draft notice (with date) can be included in the footer — just remember to turn it off before submitting!

Master’s thesis title page. Some masters’ degrees require title pages with a candidate number and word count rather than a name and college, to ensure anonymity for the examinees. They also require a statement of authenticity / originality on the title page. This template has a quick option to switch to this master’s submission format. And, just as importantly, it can be turned off when you want to print a version for yourself.

Hi Anne, So unfortunately left-aligning chapter titles isn’t an option that the quotchap package (which my class uses to format chapter titles) contains by default. Which doesn’t mean what you’re asking for is impossible, just that it’s a little clumsy.

Probably the easiest way is to insert the following block of code in Oxford_Thesis.tex just above the line that says %%%%% THE ACTUAL DOCUMENT STARTS HERE (ie on line 97).

This should redefine the chapter-heading command to move both the grey number and the chapter title to the left side of the page. Hope it helps!

Interesting… Is the figures/beltcrest.pdf file in the directory with the rest of your thesis? If you just download the thesis file, unzip it, and compile it, does the logo appear? I’m afraid this is one of those problems that’s probably specific to how the files are laid out on your computer, so you might be better off bribing a technically-minded friend to figure it out. I can’t debug it well without being at your computer…

Hi William, Apologies for the late reply! There are no doubt more “correct” answers to this question in terms of modifying the chapter headings entirely, but the simplest answer to your question is to insert the following line:

into Oxford_Thesis.tex just above the line that reads THE ACTUAL DOCUMENT STARTS HERE (ie on line 97 in the template version). You can adjust the “-80pt” to your heart’s content. For your reference, setting it to (+) 40pt will match how the template already is. Setting it to 0 will leave a generous top margin that you might find looks appropriate even without a quote. But do play with it!

Hello John, thanks for the template. How do I add my bibtex database i.e the reference list to my document?

I’m afraid there are so many different ways to configure BibTeX and other reference managers for LaTeX that I’m not able to provide help on any in particular. It also tends to involve pretty individual help depending on your setup. This template should work with whatever your preferred LaTeX referencing setup is, so I suggest getting in-person help from someone at your uni who has done it before.

Apologies for the late reply! Assuming you are writing a DPhil thesis, add a line to ociamthesis.cls after line 217 ( \begin{center} ) that adds a negative vertical space. Try: \vspace*{-3cm} . That section of the file would then look like:

1. I didn’t use Examples myself; can you show me what your command is to start an example? That will help me answer this question.

2. Yes, raggedbottom will fix this, at the expense of not having the bottoms of your pages line up neatly. Instead of adding it to the preamble, change line 193 of Oxford_Thesis.tex (just before chapters are included) from \flushbottom to \raggedbottom .

You are of course absolutely right; without a clear license it is very difficult to confidently make and distribute changes. I have had personal communication with Keith Gillow (author of the original maths template) who said “From my perspective you are very welcome to use and adjust this as the others have done before you, and also feel free to put it on github etc.” and Sam Evans (who modified it for social sciences use) who said “I’m also totally fine for this code to be as open as possible and live freely on the net.”

With that permission, Diego Vitali has adapted the same to suit the Roehampton University standard, which he published under a GNU license. Danny Price has developed a LyX version which is on Github with a statement stating “use responsibly” without specifying a license.

Given Keith Gillow and Sam Evans’ statements, I feel comfortable releasing this under an MIT license, and will update the files accordingly. Will also take this opportunity to upload to Github so that people can suggest updates and pull requests more easily.

This template is currently designed to use biber, since it is growing in popularity and is easier to make custom changes to without learning a whole new language. Of course, if you prefer natbib (the older / more traditional way of doing things) feel free to modify the template as necessary, particularly around lines 47-57.

Hi John, is the template still working? I installed TexWorks today and most of the template works apart from the bibliography/references – this is when trying to compile leaving everything unchanged from when it was unzipped.

The log shows: I found no \citation commands—while reading file Oxford_Thesis.aux I found no \bibdata command—while reading file Oxford_Thesis.aux I found no \bibstyle command—while reading file Oxford_Thesis.aux

…and all the citations are undefined. Not sure what’s going on here.

Update: I fixed the referencing problem using the following. You need to select Biber instead of Bibtex. From stackexchange:

“I’m a TeXstudio user and whenever I receive this error message, it’s because I’ve changed the default bibliography tool from biber to bibtex.

To change it back, I have to do Options > Configure TeXstudio > Build > Default Bibliography Tool and the process works again.

Even if this answer never helps anyone else ever, it’ll at least be good for me to have this here as a aide memoire next times this happens!”

Masters are page count constrained so everyone counts!

I believe the “empty page that occurs before each new chapter” is added automatically to make sure each new chapter starts on the right-hand page in double-sided page layouts. So it will only be added if the new chapter would otherwise start on a left-facing page. In Oxford_Thesis.tex, look at lines 25-30. Specifically, you should probably add a percent sign at the beginning of line 26 and remove the one at the beginning of line 28 to change to one-sided binding, like so:

If you do want two-sided binding, but with chapters allowed to start on either side, change line 26 to:

I am mostly using \parencite and \textcite for my citations. I am wondering when using multiple citations within the same parentheses, can I tell latex to order them? I would want them to be ordered, starting with the oldest publication.

Hi, sorting of citations, and especially sorting them differently in the bibliography vs the in-text citations, is a big rabbit hole that you can dive down here if your resolve is firm.

Probably / hopefully the easiest solution (if you are using biblatex/biber for your bibliography, which is currently the default in the template) is:

  • look at whichever of line 55 or 59 in Oxford_Thesis.tex, beginning with \usepackage[style= , that does not have a % starting it
  • find the list of arguments between square brackets
  • you’ll notice either sorting=none or sorting=nyt or some other option controls how the bibliography is sorted. (‘nyt’ means first by author Name, then by Year, then by Title. ‘none’ means in order of appearance in your text.)
  • add the option (with a comma between options) sortcites=false . This will continue sorting the bibliography as described above, but will order the in-text multiple citation groups in whatever order you type them in the latex file.

The advantage of this solution is that it’s simple enough to type out here. The disadvantage is that it doesn’t really sort your in-text citations by year, it just doesn’t sort them, so whatever order you type is what you get.

I have tinkered around and modified some things to my needs, but I am struggeling with one modification: I want a “List of Symbols” in my thesis. You already provided a list of abbrevations with two rows. For my List of Symbols I want an additional row, i.e. Symbol, Description, Unit. It should look like this:

Is there a way to modify the existing mclistof environment to achieve that, i.e. just add a row to the right?

Yes, that is possible, but I don’t have any special knowledge on it. Assuming you are using biblatex (the default bibliography formatter used in the template), there are examples of many pre-defined styles here .

Basic ideas about customizing styles in more detail (which can get pretty complicated) are here , with one example here . If you decide to go this route, this cheatsheet might help.

The blank pages between chapters are there to make sure that chapters open on right-hand facing pages when printing a two-sided thesis. If you want to remove them entirely, you can change “openright” on line 19 of ociamthesis.cls to “openany” (best if you are doing two-sided printing but want to be able to start a chapter on either side of the book), or switch to one of the one-sided binding options around line 25-30 of Oxford_Thesis.tex.

If you want the blank pages to be there, but want them to be truly blank, insert the following code to Oxford_Thesis.tex. I suggest adding it right after \begin{document} (around line 106):

Hi John – thank you for the template! I have an issue with some very long captions which run off the bottom boundary of the page. I would like to split them onto the next page (ideally on the page facing the figure, but overleaf would be fine too). I have tried putting the caption in a separate float but this doesn’t always appear immediately after the figure and it disrupts the figure numbering. Any suggestions would be great – thanks in advance!

There are a few different types of solution to this problem; I assume you’ve done a bit of googling already. The two I would suggest trying are:

Option 1, adapted from here , is to forego the float environment entirely and just do everything inline. The caption package (which Oxford_Thesis already includes) provides the \captionof command to facilitate this. The disadvantage is that without a float environment, you’ll have to put the figure exactly where you want it in text, so if you change the text around the figure, or change page layout or line spacing, you may have to move the picture manually to put it in the correct place on the page. Code to insert a figure would look like this:

Option 2, adapted from here , is to split the image/caption across two floats like you’ve been trying to do. I think that by using the [h] , [t] , and/or [b] options to the float environment judiciously you would be able to get good luck at where things appear. Try this to place your image:

If you want to be super fancy, you can throw this into Oxford_Thesis.tex , ideally just before \begin{document} :

Is there any experience using the glossaries or acronym package together with this template?

Adding to oriamthesis.cls:

\usepackage[acronym,]{glossaries}

and to Oxford_Thesis.tex:

\makeglossaries \loadglsentries{text/frontmatter/glossary}

, then implementing glossary items in the chapters seems to break the PDFLateX compilation process. It gives a ” File ended while scanning use of \field.” error.

I don’t personally have any experience using these packages, but usually that error means that either you are missing a closing brace } somewhere, or that you have a percent sign % in your text, possibly hiding in a bibliography file. Remember that in LaTeX, a percent sign begins a comment, so if you have a line like:

\newglossaryentry{spec}{name={specificity},description={a measure of false positive rate, expressed in %}}

The % sign will prevent LaTeX from seeing the closing braces (as they will be a comment). You need to “escape” the percent sign by using \% instead.

I am trying to remove hyphenation from my section and sub-section titles. Nearly all the titles longer than one line are hyphenated, often very awkwardly.

I tried adding \usepackage[raggedright]{titlesec} to the preamble. This works but it breaks the chapter pages: instead of the nice grey number, it outputs eg., “Chapter 1”. I guess this is something to do with quotchap.

Is there a way to make section and subsection left flush (or at least change the tolerance) without affecting the chapter pages?

Thanks; sorry I misread your original post and thought it was chapter titles, rather than section titles, that were being hyphenated.

You’re right both in that \usepackage[raggedright]{titlesec} fixes the problem, and breaks the quotchap package. The easiest solution is to add this not in the preamble, but to ociamthesis.cls at line 403 (immediately before \usepackage[grey,utopia]{quotchap} ). That way quotchap will override titlesec for chapters only.

It seems to work for me in brief testing; let me know if you encounter any issues!

For some reason, my minitoc is double-spaced, and I’m not quite sure why this is happening. I tried forcing it with single-spacing which seems okay. But in either case the minitoc spans across two pages when really it seems in your version the chapter title page is quite compact with even text beginning directly after. Any help would be so greatly appreciated.

Interesting. The version of this template that I modified had the minitoc double spaced, and one of my changes was to single space it. My biggest suggestion is that maybe your first paragraph just after the minitoc is a length that the system thinks would look bad without that extra spacing.

LaTeX does this weird thing where it judges the “badness” of different layouts — leaving one line of a paragraph dangling on a page, vs increasing line spacing in other places, vs overflowing a line beyond the margin, etc. If your (single spaced) minitoc would end in a place where the next paragraph would fall in a very odd place (ie with only one line on the page, or one line dangling off the next), LaTeX might have decided that it “knows best” and to fix the “issue” instead increased spacing on your minitoc.

One way to test this is to add \raggedbottom before that chapter, and see if that changes anything. Another way would be to compile the thesis with the example text that came with the template and see if that is single or double spaced.

If all of this doesn’t seem like the problem, feel free to email me your thesis and I’ll take a look.

Hi John, thanks very much for your input. I am very sorry, but it doesn’t seem to work. I toyed around with the following in the cls file

\renewcommand{\chapterheadstartvskip}{\vspace*{-30pt}} \renewcommand{\chapterheadendvskip}{\vspace{30pt}}

which seems to pull the chapter title pages up, so that the text starts immediately after the minitoc (which I ended up having to force into single with \setstretch) but what I didn’t realize was that changing this messed with the toc, list of figures, and list of tables. Basically all of these start way at the top of the page (including one of the chapters).

I think the easiest thing might be to make a copy of your whole thesis directory, remove all but one chapter and all figures, compile it to make sure it still has the problem, and then and email the directory to me ([email protected]) as a zip file. I’m happy to take a look. Unfortunately trying to debug something like this that depends on changes to multiple files is too hard to do on this kind of forum.

Hopefully a quick question for you here – I’m trying to change the section level numbering in the minitocs to reflect what it is in the main toc. The maintoc section level is set in the main text fairly straightforwardly but i’m finding it hard to figure out what to amend to make the minitoc depth match it? Main TOC successfully shows numbers to subsubsection but minitoc stops at subsection. Thanks very much in advance!

This is surprisingly a more complicated question than it should be. For a first try, add to Oxford_Thesis.tex just before \begin{document} (around line 104) the command \renewcommand{\rmdefault}{phv} where “phv” is replaced by the code for the font you want. A list of codes is here , but a short list is: ptm for Times, ppl for Palatino, pbk for Bookman, phv for Helvetica, pcr for Courier.

If that doesn’t work for whatever font you’d like, my next step would be to add, just before that line, a \usepackage{helvet} to make sure the font is loaded. The list of font packages (in the same order as above) is mathptmx, palatino, bookman, helvet, courier.

You will get a few errors on compiling about “Undefined color ‘chaptergrey'” but that is expected and it should still compile fine.

Hi John, To create a glossary the template uses \item to produce a list. Most of my terms are very long. It is possible to make the item automatically set a new line in their own space for glossary in the mclistof environment?

My little glossary area was designed to be a relatively quick-and-easy template for my minimal glossary. For a more “full-featured” glossary, look into the official glossary package in LaTeX. I’ll also take a look at how to modify my template to do what you’re asking, but it might take me a couple of days. What exactly do you mean by “make the item automatically set a new line in their own space”? Have the term on one line and the definition below?

I looked at most of the glossary style, there are mainly two ways to do for the long terms. First, the terms are combined with the definition lines but separated with a spacing ( https://www.dickimaw-books.com/gallery/index.php?label=long-descriptions ). The other one is like you said, term on one line and definition below. I am happy with either one. But I think I prefer the first one with an adjustment which is when a term longer than a certain length the definition start a new line below.

Hi Al, I’m not sure exactly what is causing this issue, but I’ve verified that if you delete lines 384 – 394 (the part renewing the savequote environment) in ociamthesis.cls, it will compile under XeLaTeX. My only modifications (if I remember correctly) to the original quotchap package was to make the spacing for multi-line quotes a little more pleasant, so you might find you don’t notice a difference. If you decide to make further modifications yourself, it might help to refer to the source code for quotchap .

Hi John, it is possible to put the footnote at the bottom of the page? I want to put a footnote for the chapter heading. I tried to used direct \footnote{} but a lot of errors appeared. Do you have any idea?

For vaguely annoying reasons having to do with the internal ways LaTeX moves text around to the Table of Contents, if you are putting a \footnote{} inside a chapter or section title, you need to “protect” it with \protect . So your line would look like:

Notice that, in addition to the \protect\footnote{} and the \label{} tags, there is also an optional argument [Introduction] at the beginning of the chapter definition. This is the title as it will appear in the Table of Contents. You can leave that part out if you want, but then the footnote mark will appear in the ToC.

A good thing to try first is to add the following lines to your Oxford_Thesis.tex file, just before \begin{document} , e.g. at line 102:

Replace \bfseries with whatever font command you are using; it will be used in the chapter titles.

Glad the template is helping! Believe it or not, the bibliography font size is already a little smaller in the default template. But you can fiddle with it more. Look at Oxford_Thesis.tex line 63:

You can replace \small with any of the standard LaTeX font size commands, which from largest to smallest are: \Huge, \huge, \LARGE, \Large, \large, \normalsize (same as thesis text), \small, \footnotesize, \scriptsize, and \tiny. You could theoretically do something fancier (like the last thing described here ) to get an exact font size if you needed it, but you can probably get satisfactory results sticking with those pre-made options.

Hi Virginia,

The same package, quotchap , does both the big chapter numbering and the quotes (epigraphs) at the beginning of each chapter. To turn this package off, open ociamthesis.cls and comment out (by putting a percent sign % at the beginning of each line): 1. Line 375 – which loads the quotchap package, 2. Lines 385-394 – which clean up chapter epigraph formatting, and 3. Lines 442-443 – which adjusts chapter heading spacing.

After that, you’ll just have to go through all of your chapter files, and the bibliography area of the main Oxford_Thesis.tex , and remove all savequote blocks. Can we insert figures with eps not only png?

If you want to insert EPS figures, add the line: \usepackage{epstopdf}

You can add it to Oxford_Thesis.tex anywhere before the \begin{document} , which is line 104. (The easiest would be to add it directly before that line.)

When you include images, do not include the .eps extension in the tex file; just use something like: \includegraphics{path/to/file_name_without_extension}

Try adding refsection=chapter to line 55 of Oxford_Thesis.tex , which loads the biblatex package. The line should now look like:

You would then need to use \printbibliography at the end of each chapter file. There is a lot more you can customize about how exactly this behaves, which is explained in gritty detail in the biblatex documentation .

Hello John, I would love to use your template. but I am having trouble getting it to work. I am not yet a pro at using LateX…. I saved the folder on my PC and just hit “Build an view” to see what happens. However, I get the message “Unfortunately, the package cbfonts-fd could not be installed.” and more errors are spit out. Hi Frances, What application are you using to compile the template? It seems like this error sometimes comes up when the program (based on a google search, maybe TexStudio and MiKTeX more than others) can’t find the LaTeX package repository to get all of the fonts installed. I wonder if the guidance at this Q&A page would help? If not, let me know what program you’re using and I’ll try to think of other answers. Thanks, John

Just a quick question for you. I want to display a minitoc, minilof and minilot for each appendix. The mini table of contents works fine, but the mini list of figures/tables appears in the wrong appendix (i.e. the ones from appendix B are listed in appendix A, and so on). John, thanks so much for a magnificent template. I am trying to update the beltcrest to the newer logo but struggling to figure out a way to acheive this so that it retains the same size. I tried to screenshot the new logo, save as jpg and convert to pdf as the same name, but the pdf is now considered an entire A4 page so it looks terrible. Any advice on this? Do you perhaps have access to a similarly-formatted beltcrest that is the newer version?

Embarking on a PhD is “probably the most challenging task that a young scholar attempts to do”, write Mark Stephan Felix and Ian Smith in their practical guide to dissertation and thesis writing. After years of reading and research to answer a specific question or proposition, the candidate will submit about 80,000 words that explain their methods and results and demonstrate their unique contribution to knowledge. Here are the answers to frequently asked questions about writing a doctoral thesis or dissertation.

What’s the difference between a dissertation and a thesis?

Whatever the genre of the doctorate, a PhD must offer an original contribution to knowledge. The terms “dissertation” and “thesis” both refer to the long-form piece of work produced at the end of a research project and are often used interchangeably. Which one is used might depend on the country, discipline or university. In the UK, “thesis” is generally used for the work done for a PhD, while a “dissertation” is written for a master’s degree. The US did the same until the 1960s, says Oxbridge Essays, when the convention switched, and references appeared to a “master’s thesis” and “doctoral dissertation”. To complicate matters further, undergraduate long essays are also sometimes referred to as a thesis or dissertation.

The Oxford English Dictionary defines “thesis” as “a dissertation, especially by a candidate for a degree” and “dissertation” as “a detailed discourse on a subject, especially one submitted in partial fulfilment of the requirements of a degree or diploma”.

The title “doctor of philosophy”, incidentally, comes from the degree’s origins, write Dr Felix, an associate professor at Mahidol University in Thailand, and Dr Smith, retired associate professor of education at the University of Sydney , whose co-authored guide focuses on the social sciences. The PhD was first awarded in the 19th century by the philosophy departments of German universities, which at that time taught science, social science and liberal arts.

How long should a PhD thesis be?

A PhD thesis (or dissertation) is typically 60,000 to 120,000 words ( 100 to 300 pages in length ) organised into chapters, divisions and subdivisions (with roughly 10,000 words per chapter) – from introduction (with clear aims and objectives) to conclusion.

The structure of a dissertation will vary depending on discipline (humanities, social sciences and STEM all have their own conventions), location and institution. Examples and guides to structure proliferate online. The University of Salford , for example, lists: title page, declaration, acknowledgements, abstract, table of contents, lists of figures, tables and abbreviations (where needed), chapters, appendices and references.

A scientific-style thesis will likely need: introduction, literature review, materials and methods, results, discussion, bibliography and references.

As well as checking the overall criteria and expectations of your institution for your research, consult your school handbook for the required length and format (font, layout conventions and so on) for your dissertation.

A PhD takes three to four years to complete; this might extend to six to eight years for a part-time doctorate.

What are the steps for completing a PhD?

Before you get started in earnest , you’ll likely have found a potential supervisor, who will guide your PhD journey, and done a research proposal (which outlines what you plan to research and how) as part of your application, as well as a literature review of existing scholarship in the field, which may form part of your final submission.

In the UK, PhD candidates undertake original research and write the results in a thesis or dissertation, says author and vlogger Simon Clark , who posted videos to YouTube throughout his own PhD journey . Then they submit the thesis in hard copy and attend the viva voce (which is Latin for “living voice” and is also called an oral defence or doctoral defence) to convince the examiners that their work is original, understood and all their own. Afterwards, if necessary, they make changes and resubmit. If the changes are approved, the degree is awarded.

The steps are similar in Australia , although candidates are mostly assessed on their thesis only; some universities may include taught courses, and some use a viva voce. A PhD in Australia usually takes three years full time.

In the US, the PhD process begins with taught classes (similar to a taught master’s) and a comprehensive exam (called a “field exam” or “dissertation qualifying exam”) before the candidate embarks on their original research. The whole journey takes four to six years.

A PhD candidate will need three skills and attitudes to get through their doctoral studies, says Tara Brabazon , professor of cultural studies at Flinders University in Australia who has written extensively about the PhD journey :

  • master the academic foundational skills (research, writing, ability to navigate different modalities)
  • time-management skills and the ability to focus on reading and writing
  • determined motivation to do a PhD.

How do I choose the topic for my PhD dissertation or thesis?

It’s important to find a topic that will sustain your interest for the years it will take to complete a PhD. “Finding a sustainable topic is the most important thing you [as a PhD student] would do,” says Dr Brabazon in a video for Times Higher Education . “Write down on a big piece of paper all the topics, all the ideas, all the questions that really interest you, and start to cross out all the ones that might just be a passing interest.” Also, she says, impose the “Who cares? Who gives a damn?” question to decide if the topic will be useful in a future academic career.

The availability of funding and scholarships is also often an important factor in this decision, says veteran PhD supervisor Richard Godwin, from Harper Adams University .

Define a gap in knowledge – and one that can be questioned, explored, researched and written about in the time available to you, says Gina Wisker, head of the Centre for Learning and Teaching at the University of Brighton. “Set some boundaries,” she advises. “Don’t try to ask everything related to your topic in every way.”

James Hartley, research professor in psychology at Keele University, says it can also be useful to think about topics that spark general interest. If you do pick something that taps into the zeitgeist, your findings are more likely to be noticed.

You also need to find someone else who is interested in it, too. For STEM candidates , this will probably be a case of joining a team of people working in a similar area where, ideally, scholarship funding is available. A centre for doctoral training (CDT) or doctoral training partnership (DTP) will advertise research projects. For those in the liberal arts and social sciences, it will be a matter of identifying a suitable supervisor .

Avoid topics that are too broad (hunger across a whole country, for example) or too narrow (hunger in a single street) to yield useful solutions of academic significance, write Mark Stephan Felix and Ian Smith. And ensure that you’re not repeating previous research or trying to solve a problem that has already been answered. A PhD thesis must be original.

What is a thesis proposal?

After you have read widely to refine your topic and ensure that it and your research methods are original, and discussed your project with a (potential) supervisor, you’re ready to write a thesis proposal , a document of 1,500 to 3,000 words that sets out the proposed direction of your research. In the UK, a research proposal is usually part of the application process for admission to a research degree. As with the final dissertation itself, format varies among disciplines, institutions and countries but will usually contain title page, aims, literature review, methodology, timetable and bibliography. Examples of research proposals are available online.

How to write an abstract for a dissertation or thesis

The abstract presents your thesis to the wider world – and as such may be its most important element , says the NUI Galway writing guide. It outlines the why, how, what and so what of the thesis . Unlike the introduction, which provides background but not research findings, the abstract summarises all sections of the dissertation in a concise, thorough, focused way and demonstrates how well the writer understands their material. Check word-length limits with your university – and stick to them. About 300 to 500 words is a rough guide ­– but it can be up to 1,000 words.

The abstract is also important for selection and indexing of your thesis, according to the University of Melbourne guide , so be sure to include searchable keywords.

It is the first thing to be read but the last element you should write. However, Pat Thomson , professor of education at the University of Nottingham , advises that it is not something to be tackled at the last minute.

How to write a stellar conclusion

As well as chapter conclusions, a thesis often has an overall conclusion to draw together the key points covered and to reflect on the unique contribution to knowledge. It can comment on future implications of the research and open up new ideas emanating from the work. It is shorter and more general than the discussion chapter , says online editing site Scribbr, and reiterates how the work answers the main question posed at the beginning of the thesis. The conclusion chapter also often discusses the limitations of the research (time, scope, word limit, access) in a constructive manner.

It can be useful to keep a collection of ideas as you go – in the online forum DoctoralWriting SIG , academic developer Claire Aitchison, of the University of South Australia , suggests using a “conclusions bank” for themes and inspirations, and using free-writing to keep this final section fresh. (Just when you feel you’ve run out of steam.) Avoid aggrandising or exaggerating the impact of your work. It should remind the reader what has been done, and why it matters.

How to format a bibliography (or where to find a reliable model)

Most universities use a preferred style of references , writes THE associate editor Ingrid Curl. Make sure you know what this is and follow it. “One of the most common errors in academic writing is to cite papers in the text that do not then appear in the bibliography. All references in your thesis need to be cross-checked with the bibliography before submission. Using a database during your research can save a great deal of time in the writing-up process.”

A bibliography contains not only works cited explicitly but also those that have informed or contributed to the research – and as such illustrates its scope; works are not limited to written publications but include sources such as film or visual art.

Examiners can start marking from the back of the script, writes Dr Brabazon. “Just as cooks are judged by their ingredients and implements, we judge doctoral students by the calibre of their sources,” she advises. She also says that candidates should be prepared to speak in an oral examination of the PhD about any texts included in their bibliography, especially if there is a disconnect between the thesis and the texts listed.

Can I use informal language in my PhD?

Don’t write like a stereotypical academic , say Kevin Haggerty, professor of sociology at the University of Alberta , and Aaron Doyle, associate professor in sociology at Carleton University , in their tongue-in-cheek guide to the PhD journey. “If you cannot write clearly and persuasively, everything about PhD study becomes harder.” Avoid jargon, exotic words, passive voice and long, convoluted sentences – and work on it consistently. “Writing is like playing guitar; it can improve only through consistent, concerted effort.”

Be deliberate and take care with your writing . “Write your first draft, leave it and then come back to it with a critical eye. Look objectively at the writing and read it closely for style and sense,” advises THE ’s Ms Curl. “Look out for common errors such as dangling modifiers, subject-verb disagreement and inconsistency. If you are too involved with the text to be able to take a step back and do this, then ask a friend or colleague to read it with a critical eye. Remember Hemingway’s advice: ‘Prose is architecture, not interior decoration.’ Clarity is key.”

How often should a PhD candidate meet with their supervisor?

Since the PhD supervisor provides a range of support and advice – including on research techniques, planning and submission – regular formal supervisions are essential, as is establishing a line of contact such as email if the candidate needs help or advice outside arranged times. The frequency varies according to university, discipline and individual scholars.

Once a week is ideal, says Dr Brabazon. She also advocates a two-hour initial meeting to establish the foundations of the candidate-supervisor relationship .

The University of Edinburgh guide to writing a thesis suggests that creating a timetable of supervisor meetings right at the beginning of the research process will allow candidates to ensure that their work stays on track throughout. The meetings are also the place to get regular feedback on draft chapters.

“A clear structure and a solid framework are vital for research,” writes Dr Godwin on THE Campus . Use your supervisor to establish this and provide a realistic view of what can be achieved. “It is vital to help students identify the true scientific merit, the practical significance of their work and its value to society.”

How to proofread your dissertation (what to look for)

Proofreading is the final step before printing and submission. Give yourself time to ensure that your work is the best it can be . Don’t leave proofreading to the last minute; ideally, break it up into a few close-reading sessions. Find a quiet place without distractions. A checklist can help ensure that all aspects are covered.

Proofing is often helped by a change of format – so it can be easier to read a printout rather than working off the screen – or by reading sections out of order. Fresh eyes are better at spotting typographical errors and inconsistencies, so leave time between writing and proofreading. Check with your university’s policies before asking another person to proofread your thesis for you.

As well as close details such as spelling and grammar, check that all sections are complete, all required elements are included , and nothing is repeated or redundant. Don’t forget to check headings and subheadings. Does the text flow from one section to another? Is the structure clear? Is the work a coherent whole with a clear line throughout?

Ensure consistency in, for example, UK v US spellings, capitalisation, format, numbers (digits or words, commas, units of measurement), contractions, italics and hyphenation. Spellchecks and online plagiarism checkers are also your friend.

How do you manage your time to complete a PhD dissertation?

Treat your PhD like a full-time job, that is, with an eight-hour working day. Within that, you’ll need to plan your time in a way that gives a sense of progress . Setbacks and periods where it feels as if you are treading water are all but inevitable, so keeping track of small wins is important, writes A Happy PhD blogger Luis P. Prieto.

Be specific with your goals – use the SMART acronym (specific, measurable, attainable, relevant and timely).

And it’s never too soon to start writing – even if early drafts are overwritten and discarded.

“ Write little and write often . Many of us make the mistake of taking to writing as one would take to a sprint, in other words, with relatively short bursts of intense activity. Whilst this can prove productive, generally speaking it is not sustainable…In addition to sustaining your activity, writing little bits on a frequent basis ensures that you progress with your thinking. The comfort of remaining in abstract thought is common; writing forces us to concretise our thinking,” says Christian Gilliam, AHSS researcher developer at the University of Cambridge ’s Centre for Teaching and Learning.

Make time to write. “If you are more alert early in the day, find times that suit you in the morning; if you are a ‘night person’, block out some writing sessions in the evenings,” advises NUI Galway’s Dermot Burns, a lecturer in English and creative arts. Set targets, keep daily notes of experiment details that you will need in your thesis, don’t confuse writing with editing or revising – and always back up your work.

What work-life balance tips should I follow to complete my dissertation?

During your PhD programme, you may have opportunities to take part in professional development activities, such as teaching, attending academic conferences and publishing your work. Your research may include residencies, field trips or archive visits. This will require time-management skills as well as prioritising where you devote your energy and factoring in rest and relaxation. Organise your routine to suit your needs , and plan for steady and regular progress.

How to deal with setbacks while writing a thesis or dissertation

Have a contingency plan for delays or roadblocks such as unexpected results.

Accept that writing is messy, first drafts are imperfect, and writer’s block is inevitable, says Dr Burns. His tips for breaking it include relaxation to free your mind from clutter, writing a plan and drawing a mind map of key points for clarity. He also advises feedback, reflection and revision: “Progressing from a rough version of your thoughts to a superior and workable text takes time, effort, different perspectives and some expertise.”

“Academia can be a relentlessly brutal merry-go-round of rejection, rebuttal and failure,” writes Lorraine Hope , professor of applied cognitive psychology at the University of Portsmouth, on THE Campus. Resilience is important. Ensure that you and your supervisor have a relationship that supports open, frank, judgement-free communication.
