Case Study: Wedding Planner. UI Design Concept
New practical case study by tubik studio on ui/ux design presenting the creative solutions for a simple and helpful wedding planner application..
Perhaps, everyone, who once tried to organize any public event, knows that this sort of job is no joke. Remember Mary Fiore, the main character of the well-known romantic comedy “The Wedding Planner”? She had to plan plenty of things and organize a crowd of people to make everything work like a clock and result in a perfect wedding. No wonder, people pay so much attention to this sacramental day: it marks one of the most important life decisions and events. Still, the organization of this event is surely a big pain, especially for those who don’t know what to expect and how many aspects should be considered.
Obviously, technology taking over at least a part of the effort could be a great help. After organizing her own wedding and moving through all the paths, Tubik designer Olga Popova decided to think over the interface solutions for the Wedding Planner app, a virtual assistant for those who would like to have a perfectly organized wedding. Having felt all the problems and wishes of the target audience for this sort of digital product, she didn’t want to waste the experience and transformed it into a simple and functional UI concept.

Organizing such a big and important event as a wedding, the participants of the process know that they should be ruled by a cold and focused mind instead of a romantic flare and butterflies in the stomach. Forgetting little details or planning the time wrongly can spoil the celebration. That is the core idea behind the app user interface: its main aim is to enable users to plan tasks and mark them easily and quickly. Moreover, the designer had to consider that the app could be used by people of different ages, physical abilities, and tech literacy, so the functionality and operability had to be based on simple and clear solutions.
As the content of the app is mostly presented with short copy blocks and readability is the core factor, the light background was chosen as a basis. Colored sections also were accomplished in a color palette using tender pastel colors and hues as well as applying gradients. This choice of color combinations set the appropriate mood for the general wedding theme, usually associated with delicacy, softness, and sophistication. Moreover, such a general palette enabled the designer to add prominent and easily visible contrast for call-to-action elements: this is particularly important as the approach supports the fast visual perception of the core elements for the apps, which are often used on the go.
The aspect of readability also determined the choice of a clear and simple font instead of highly decorated and complex fonts that present a huge seduction for adding more romance. Still, looking proper and stylish on wedding cards or invitations, it could serve a dirty trick on the users of the app: the screens would perhaps look stylish and romantic, but copy blocks would transform into an unreadable mess which is intolerable for a task manager. This was the case when simplicity had the edge over sophistication and decoration.
Let’s check out the basic screens of the app. Here you see the main screen of the task manager. It presents the tasks and plans organized by days in chronological order. Having finished the task, users can mark them as complete by a tick or put a negative mark if the task wasn’t accomplished. If the date already passed, the app marks the undone tasks by itself so that the user could easily see them scrolling down the list. In the top right corner of the screen, users can see the easily recognized button that allows adding a new task to the list.
As you can see, time and date are not the only markers to organize the tasks along. Another important feature that makes this app different from general to-do lists and sets its link to the specific nature of planning weddings is the set of categories to classify the tasks and plans. Tapping the plus button to add a new position, the user is offered to choose the category to which it sticks. Every category is marked with an icon , so reviewing the main screen with the list of tasks, a user can quickly scan what aspects they have to deal with that day, be it meeting a photographer, ordering flowers, making a menu, etc. This approach enhances usability and sets the basis for a positive user experience.
Setting the new task, users can add all the necessary details: locations, telephone numbers, special notes, and simple memos. Then, after reviewing the tasks, they can tap the icons and see the chronological schedule of all the positions planned for this particular category.
If the task includes involving responsible people, adding the contact, a user gets the ability to call or text this contact right from the task position in the planner. It helps to speed up the experience making all the needed operation without the necessity to move to other apps or contact list on the mobile phone.
Therefore, this clear and simple app can be a real cure and a reliable helping hand for wedding organizers. Its usability is based on the non-distracting color palette, readable copy blocks, quick classification of the tasks, and instant access to contacting people responsible for their accomplishment.

Case Study: Wedding Planner Discovers the Power of Optimization

This wedding planner is a long-time Marketing 360® client. A period comparison between 2018 and 2019 shows how we dropped their cost per conversion (CPC).
At Marketing 360®, there is nothing we love to see more than a long term trend of lower cost per conversion.
A lowered CPC is a performance indicator that shows a lot of things are going well. It shows we’re reaching the right people with the right message, that we’re persuading them to act, and that we’re doing these things without spending more.
Here’s what we mean. This is their data comparing January-May 2019 (period 1) to the same time frame in 2018 (period 2)
- CPC dropped 60.99% ($12.35 down from $31.66)
- Conversions are up 168.1%
- Fuel spend is roughly the same
Their paid search (Top Placement Ads®) is the tactic that saw the biggest gains:
- CPC down 69.78%
- Conversions are up 227.04%
- Ad spend down 2%
So they spent 2% less on their paid advertising this year compared to last but got 121 more conversions.
They had similar success with Retargeting Ads®
- CPC down 57.06%
- Conversions up 236.36%
- Retargeting ad spend down 44.44%
They also had big gains in impressions from Facebook and in brand channel conversions, which come from direct website traffic and referrals.

Starting a wedding planning business is hard work, especially if you have no idea where to begin your journey. Over the years I have had the opportunity to train many wedding planners wanting to understand the business side of owning a wedding planning business. It is so necessary, but often overlooked. Because of this, I created the course: Launch Your Wedding Planner Biz Masterclass . Actions speak louder than words, I know this, and that is why I have enlisted a few students to journal their experience through my course. Follow along and see if their needs and solutions are what you’re seeking too. Today I’m introducing Sam. She is an aspiring wedding planner with her heart set on starting a business very soon.
Starting a Wedding Planning Business
I had been pondering the idea of starting my own product-based business for a year or so, starting a few ventures but not loving them or feeling ultra-motivated. Then I realized that I was craving some one-on-one client relationship or really any client interaction for that matter. With wedding planning, you get to know your client on a more personal level helping to understand their thoughts and their wedding vision, as you do spend six months to a year or more with this client. Much like graphic design, you begin with an idea and bring it through conceptualization all the way to fruition. Directing this journey for a bride or groom and bringing their vision to life will be such a rewarding career!
On a more personal note, my fiance and I plan to start having children in a few years and I’d love to be a stay-at-home mom but also contribute to our household. I would love to have a wedding planning business established and possibly a small team together by that time to be able to do so!
My name is Sam, I’m 26-years-old and I live in Northern Virginia with my fiance Matt and our (pretty fat) black cat Storm. I currently work in a corporate marketing role full-time in a city outside of Washington D.C. Actually, Matt and I work at the same company! Though, contrary to how it may appear, that is not how we met. We started dating freshman year of college, after growing up in the same hometown in Ohio and attending the same high school. Other than my “9-5”, I truly enjoy all things creative. I graduated with a Bachelor’s in Visual Communication Design (a.k.a Graphic Design) and creating beautiful and functional things is my passion! Otherwise, in my spare time I love working out, spin class, being outside, coffee and crafting! Recently, my time has been filled with planning and designing my own September 2020 wedding.
Why I want to become a wedding planner
This leads me to my next point. How did I make the jump from graphic design all the way to wedding planning? Back in my undergrad days I joined a sorority, absolutely the best decision of my college career! During this time, I took on many roles that pushed me to grow as an individual. One of them was Recruitment Director, I organized, designed and planned our 5-day Formal Recruitment event.
I remember going to the florist to order flowers for Preference Round and she asked me if it was for a wedding and I responded with “It might as well be!” and friends, this is how I came to love event planning! From there, I became the Chair Head for Formal Committee and Date Party Committee, dipping my toes in the vendor research, coordination and budget tracking pool and learning all about what it takes to plan a large event.
Unfortunately, it was too late in my undergrad to change my major, so I continued on with graphic design. Now four and a half years later, I’ve had the entrepreneurial itch for two years. It recently dawned on me that I have always loved event planning, I have an amazing eye for design and I’m loving planning my own wedding! So I asked myself, “Why don’t I change careers and start my own business?,” well of course that’s the answer. I felt so silly for not thinking of it sooner!
The Struggles of Starting a Wedding Planner Business
Starting my own wedding planning business doesn’t come without some fears or hesitations. Will I be able to get my business off the ground? Will I be able to make enough money to help support my family? How do I even begin to get started? While my fiance is nothing but supportive, I can’t help but think that I have minimal experience and my first real wedding is my own. Though at the same time, planning my own wedding, even with COVID-19, hasn’t been that hard or stressful for me and has definitely been enjoyable. Even though I have these fears, I am more excited to get started than anything else!
Enrolling in the Wedding Business Builder
I am so grateful to have been given this opportunity by Valerie to enroll in the Wedding Business Builder! I’m looking forward to this course giving me the base set of skills I need to start a wedding planning business. Anything from the legal side of starting my business, creating and pricing packages, creating relationships with clients and vendors and how to have a productive consultation with a client just to name a few things. For me, this is much more than just starting a business, it’s truly the next big step in my life and I am beyond excited to begin with the help of Valerie’s course. I can’t wait to share my journey with ya’ll and hopefully inspire some other budding planners out there to take the leap!

How We Paid for Our Wedding: A Case Study

Starting Our Wedding Fund
We got engaged in January 2016 and soon after our engagement high, we came back to reality and talked about how we would pay for the wedding.
We considered funds that we could potentially use to fund our wedding:
- Financial support from family : We crossed this off of our list immediately because we were planning to pay for the entire wedding ourselves, so this resource wasn’t available (though my mom ended up paying for half of my dress, and his mom ended up purchasing the wedding favors)
- Credit card rewards: I had been using a travel rewards credit card and I had a pretty large accumulation of points. So we agreed to use that towards our honeymoon. We also agreed to pay as much of our wedding expenses with my credit card to earn even more points for the honeymoon.
- Savings: We each had some savings, and we committed to contribute $1,500 each toward the wedding – so we started out with $3,000 total.
Our First Joint Bank Account
Soon after we decided how much to contribute towards the wedding, we decided to open up our first joint bank account – which we used specifically to pool our wedding funds. When we opened up our wedding bank account, our initial deposits were $1,500 each and we continued to fund the account each month with funds from regular monthly paychecks.
Monthly Contributions: How Much?
This is the fun part! Most of our wedding was funded by consistent contributions from our monthly cash flow. So we each had to take a look at our monthly budgets and figure out how much we could contribute consistently each month. After reviewing everything, we each agreed to contribute $500/month. In total between the two of us, that was a total of $1,000/month.
Monthly Contributions: For How Long?
Next, we had to figure out how many months we were we willing to make these monthly contributions. I said I didn’t feel like making these monthly contributions for more than 24 months * and Luis agreed. That was easy! So we committed to making our monthly wedding contributions for exactly 24 months.
* How Did I Come Up With 24 Months?
The simple answer to this question is that I just didn’t feel like spending more than two years of our lives paying for a one-day event; two years was my absolute maximum. And I know two years still sounds like a long time to pay for a wedding, but here’s what I figured:
- We could save up for one year BEFORE the wedding – because most weddings take about one year of planning
- We could continue making contributions for one year AFTER the wedding – if we took on some debt , we could pay it off within a year of our wedding day. That sounded like a realistic goal that wouldn’t feel so burdensome, so the idea of wedding debt didn’t sound so bad after all.
And by the way, the main reason we agreed to incur wedding debt was because I just didn’t want to wait two whole years to get married! I didn’t want to put our wedding on hold if we didn’t have to. And thanks to my zero-interest balance transfer, we didn’t have to postpone our wedding!
Putting It All Together: Our Wedding Budget
At this point, we had enough information to come up with our wedding budget (i.e. how much wedding we could afford). We knew how much we could contribute each month ($1000/month) and how long we planned to contribute that amount (24 months). We did some simple math ($1000/month * 24 months) and we found that our (shared) wedding budget was set at a total of $24,000 .
This ended up being our shared wedding budget, which means there were a few items that we chose to pay for with our own separate money. I started that trend when I mentioned to Luis that I would pay for my wedding dress out of my own pocket because I didn’t want my wedding dress price to be restricted by our shared wedding budget. Luis shared my logic and he decided to pay for his attire on his own too.
Things Don’t Always Go According to Plan
If you can’t already tell, I’m a planner when it comes to personal finances. I always like to have a plan in place, but I know that things can change – and that’s ok! I think it’s important to be open to changes, and make adjustments as necessary to keep moving forward.
For example, Our initial plan to contribute $1000/month quickly turned. Luis and I initially agreed to contribute $500/month each. But a few months in, Luis realized that this wasn’t sustainable for him after all. So he reduced his monthly contribution down to $400/month. But the cash we contributed upfront ended up covering the loss of $100/month – phew! Luckily, Luis’ reduced monthly contribution didn’t set us back on our goals; we were still on track with our original budget of $24,000.
Wedding Debt
As I’ve mentioned before, we incurred some wedding debt . I know wedding debt gets a bad rap – but for us, it made total sense and everything turned out fine .
We got engaged in January 2016 and we get married in March 2017. By the time we got married, we had saved up $15,000 in the bank, and we only needed to borrow $9,000 to fund our $24,000 budget.
Even though we could have easily borrowed well over $9,000, we decided to stick to our budget and our plan. We didn’t borrow a penny more than we needed – because we already had a debt payoff plan in place. It took a lot of discipline, but I’m glad we stuck to our original plan.
Staying Motivated to Pay Off the Debt
Luis and I planed to make our monthly contributions for 24 months straight. And that’s what we did. After the wedding – instead of depositing our contributions in the bank, we paid those contributions towards the wedding debt. So even though our minimum payment on the debt was around $25/month – we paid more more than the minimum. This helped us stay on track to meet our goal.
Another strategy that helped us payoff the debt quickly was our zero-interest balance transfer. We didn’t pay a dime of interest on our $9,000 balance because we took advantage of a balance transfer offer.

Case Study: Firing the Best Friend
With business on the rocks, susan southerland was cutting back on everything. could she really fire her best pal.
One sunny morning in January 2009, Susan Southerland walked into her Orlando bank. Sales at her wedding-planning business, Just Marry, were plummeting, and she was at the bank to transfer another $10,000 from a home-equity line of credit into her business account. Standing at Southerland's side was Michele Butler, her closest friend—and Just Marry's only employee.
Southerland turned to her friend and promised that everything was going to work out. The business would survive. Then they both agreed that neither of them wanted to work without the other.
Over the next few weeks, Southerland found herself haunted by that promise. She woke up at night with anxiety and went to work each day with knots in her stomach. After a decade of 20 percent annual growth, Just Marry was in a free fall, a victim of the recession. Butler's salary and benefits constituted one of the company's biggest expenses. The logical thing was to let Butler go. But could Southerland really fire her best friend?
Up until then, Southerland, 41, had enjoyed a fairly smooth ride as a business owner. The Pennsylvania native started Just Marry in 1992, at 21, after graduating from the University of Florida. In 1998, she hired her first employee. Michele Butler was a stay-at-home mother who joined Just Marry as an office assistant to help with paperwork and filing. Butler, now 40, proved to be an asset, setting up systems to organize contracts, vendor information, and other paperwork. Outgoing and bubbly, she soon grew as adept as Southerland at connecting with clients. "We were more like the bride's friends rather than dictators of etiquette," says Southerland.
Over the years, Just Marry expanded to four full-timers and 10 independent contractors doing some 300 events a year at some of Orlando's finest hotels. Butler became a key part of the business, going on sales calls and planning events on her own. And she and Southerland became good friends. They would work together for eight or 10 hours and then talk on the phone at night. Southerland especially appreciated Butler's high spirits and love of life. "I had always been very serious and studious," Southerland says. "I never went out dancing and hung out at bars. Michele made me feel 10 years younger than I was." And it wasn't just fun and games. The two women also leaned on each other following the birth of children, the deaths of parents, and romantic breakups. "Michele was her right arm," says Lee Forrest, an Orlando florist and friend of both of them. "When you didn't see Susan's face at an event, you would see Michele's."
