Understanding Assignments

What this handout is about.

The first step in any successful college writing venture is reading the assignment. While this sounds like a simple task, it can be a tough one. This handout will help you unravel your assignment and begin to craft an effective response. Much of the following advice will involve translating typical assignment terms and practices into meaningful clues to the type of writing your instructor expects. See our short video for more tips.

Basic beginnings

Regardless of the assignment, department, or instructor, adopting these two habits will serve you well :

  • Read the assignment carefully as soon as you receive it. Do not put this task off—reading the assignment at the beginning will save you time, stress, and problems later. An assignment can look pretty straightforward at first, particularly if the instructor has provided lots of information. That does not mean it will not take time and effort to complete; you may even have to learn a new skill to complete the assignment.
  • Ask the instructor about anything you do not understand. Do not hesitate to approach your instructor. Instructors would prefer to set you straight before you hand the paper in. That’s also when you will find their feedback most useful.

Assignment formats

Many assignments follow a basic format. Assignments often begin with an overview of the topic, include a central verb or verbs that describe the task, and offer some additional suggestions, questions, or prompts to get you started.

An Overview of Some Kind

The instructor might set the stage with some general discussion of the subject of the assignment, introduce the topic, or remind you of something pertinent that you have discussed in class. For example:

“Throughout history, gerbils have played a key role in politics,” or “In the last few weeks of class, we have focused on the evening wear of the housefly …”

The Task of the Assignment

Pay attention; this part tells you what to do when you write the paper. Look for the key verb or verbs in the sentence. Words like analyze, summarize, or compare direct you to think about your topic in a certain way. Also pay attention to words such as how, what, when, where, and why; these words guide your attention toward specific information. (See the section in this handout titled “Key Terms” for more information.)

“Analyze the effect that gerbils had on the Russian Revolution”, or “Suggest an interpretation of housefly undergarments that differs from Darwin’s.”

Additional Material to Think about

Here you will find some questions to use as springboards as you begin to think about the topic. Instructors usually include these questions as suggestions rather than requirements. Do not feel compelled to answer every question unless the instructor asks you to do so. Pay attention to the order of the questions. Sometimes they suggest the thinking process your instructor imagines you will need to follow to begin thinking about the topic.

“You may wish to consider the differing views held by Communist gerbils vs. Monarchist gerbils, or Can there be such a thing as ‘the housefly garment industry’ or is it just a home-based craft?”

These are the instructor’s comments about writing expectations:

“Be concise”, “Write effectively”, or “Argue furiously.”

Technical Details

These instructions usually indicate format rules or guidelines.

“Your paper must be typed in Palatino font on gray paper and must not exceed 600 pages. It is due on the anniversary of Mao Tse-tung’s death.”

The assignment’s parts may not appear in exactly this order, and each part may be very long or really short. Nonetheless, being aware of this standard pattern can help you understand what your instructor wants you to do.

Interpreting the assignment

Ask yourself a few basic questions as you read and jot down the answers on the assignment sheet:

Why did your instructor ask you to do this particular task?

Who is your audience.

  • What kind of evidence do you need to support your ideas?

What kind of writing style is acceptable?

  • What are the absolute rules of the paper?

Try to look at the question from the point of view of the instructor. Recognize that your instructor has a reason for giving you this assignment and for giving it to you at a particular point in the semester. In every assignment, the instructor has a challenge for you. This challenge could be anything from demonstrating an ability to think clearly to demonstrating an ability to use the library. See the assignment not as a vague suggestion of what to do but as an opportunity to show that you can handle the course material as directed. Paper assignments give you more than a topic to discuss—they ask you to do something with the topic. Keep reminding yourself of that. Be careful to avoid the other extreme as well: do not read more into the assignment than what is there.

Of course, your instructor has given you an assignment so that they will be able to assess your understanding of the course material and give you an appropriate grade. But there is more to it than that. Your instructor has tried to design a learning experience of some kind. Your instructor wants you to think about something in a particular way for a particular reason. If you read the course description at the beginning of your syllabus, review the assigned readings, and consider the assignment itself, you may begin to see the plan, purpose, or approach to the subject matter that your instructor has created for you. Given your instructor’s efforts, it helps to answer the question: What is my purpose in completing this assignment? Is it to gather research from a variety of outside sources and present a coherent picture? Is it to take material I have been learning in class and apply it to a new situation? Is it to prove a point one way or another? Key words from the assignment can help you figure this out. Look for key terms in the form of active verbs that tell you what to do.

Key Terms: Finding Those Active Verbs

Here are some common key words and definitions to help you think about assignment terms:

Information words Ask you to demonstrate what you know about the subject, such as who, what, when, where, how, and why.

  • define —give the subject’s meaning (according to someone or something). Sometimes you have to give more than one view on the subject’s meaning
  • describe —provide details about the subject by answering question words (such as who, what, when, where, how, and why); you might also give details related to the five senses (what you see, hear, feel, taste, and smell)
  • explain —give reasons why or examples of how something happened
  • illustrate —give descriptive examples of the subject and show how each is connected with the subject
  • summarize —briefly list the important ideas you learned about the subject
  • trace —outline how something has changed or developed from an earlier time to its current form
  • research —gather material from outside sources about the subject, often with the implication or requirement that you will analyze what you have found

Relation words Ask you to demonstrate how things are connected.

  • compare —show how two or more things are similar (and, sometimes, different)
  • contrast —show how two or more things are dissimilar
  • apply—use details that you’ve been given to demonstrate how an idea, theory, or concept works in a particular situation
  • cause —show how one event or series of events made something else happen
  • relate —show or describe the connections between things

Interpretation words Ask you to defend ideas of your own about the subject. Do not see these words as requesting opinion alone (unless the assignment specifically says so), but as requiring opinion that is supported by concrete evidence. Remember examples, principles, definitions, or concepts from class or research and use them in your interpretation.

  • assess —summarize your opinion of the subject and measure it against something
  • prove, justify —give reasons or examples to demonstrate how or why something is the truth
  • evaluate, respond —state your opinion of the subject as good, bad, or some combination of the two, with examples and reasons
  • support —give reasons or evidence for something you believe (be sure to state clearly what it is that you believe)
  • synthesize —put two or more things together that have not been put together in class or in your readings before; do not just summarize one and then the other and say that they are similar or different—you must provide a reason for putting them together that runs all the way through the paper
  • analyze —determine how individual parts create or relate to the whole, figure out how something works, what it might mean, or why it is important
  • argue —take a side and defend it with evidence against the other side

More Clues to Your Purpose As you read the assignment, think about what the teacher does in class:

  • What kinds of textbooks or coursepack did your instructor choose for the course—ones that provide background information, explain theories or perspectives, or argue a point of view?
  • In lecture, does your instructor ask your opinion, try to prove their point of view, or use keywords that show up again in the assignment?
  • What kinds of assignments are typical in this discipline? Social science classes often expect more research. Humanities classes thrive on interpretation and analysis.
  • How do the assignments, readings, and lectures work together in the course? Instructors spend time designing courses, sometimes even arguing with their peers about the most effective course materials. Figuring out the overall design to the course will help you understand what each assignment is meant to achieve.

Now, what about your reader? Most undergraduates think of their audience as the instructor. True, your instructor is a good person to keep in mind as you write. But for the purposes of a good paper, think of your audience as someone like your roommate: smart enough to understand a clear, logical argument, but not someone who already knows exactly what is going on in your particular paper. Remember, even if the instructor knows everything there is to know about your paper topic, they still have to read your paper and assess your understanding. In other words, teach the material to your reader.

Aiming a paper at your audience happens in two ways: you make decisions about the tone and the level of information you want to convey.

  • Tone means the “voice” of your paper. Should you be chatty, formal, or objective? Usually you will find some happy medium—you do not want to alienate your reader by sounding condescending or superior, but you do not want to, um, like, totally wig on the man, you know? Eschew ostentatious erudition: some students think the way to sound academic is to use big words. Be careful—you can sound ridiculous, especially if you use the wrong big words.
  • The level of information you use depends on who you think your audience is. If you imagine your audience as your instructor and they already know everything you have to say, you may find yourself leaving out key information that can cause your argument to be unconvincing and illogical. But you do not have to explain every single word or issue. If you are telling your roommate what happened on your favorite science fiction TV show last night, you do not say, “First a dark-haired white man of average height, wearing a suit and carrying a flashlight, walked into the room. Then a purple alien with fifteen arms and at least three eyes turned around. Then the man smiled slightly. In the background, you could hear a clock ticking. The room was fairly dark and had at least two windows that I saw.” You also do not say, “This guy found some aliens. The end.” Find some balance of useful details that support your main point.

The Grim Truth

With a few exceptions (including some lab and ethnography reports), you are probably being asked to make an argument. You must convince your audience. It is easy to forget this aim when you are researching and writing; as you become involved in your subject matter, you may become enmeshed in the details and focus on learning or simply telling the information you have found. You need to do more than just repeat what you have read. Your writing should have a point, and you should be able to say it in a sentence. Sometimes instructors call this sentence a “thesis” or a “claim.”

So, if your instructor tells you to write about some aspect of oral hygiene, you do not want to just list: “First, you brush your teeth with a soft brush and some peanut butter. Then, you floss with unwaxed, bologna-flavored string. Finally, gargle with bourbon.” Instead, you could say, “Of all the oral cleaning methods, sandblasting removes the most plaque. Therefore it should be recommended by the American Dental Association.” Or, “From an aesthetic perspective, moldy teeth can be quite charming. However, their joys are short-lived.”

Convincing the reader of your argument is the goal of academic writing. It doesn’t have to say “argument” anywhere in the assignment for you to need one. Look at the assignment and think about what kind of argument you could make about it instead of just seeing it as a checklist of information you have to present. What kind of evidence do you need?

There are many kinds of evidence, and what type of evidence will work for your assignment can depend on several factors–the discipline, the parameters of the assignment, and your instructor’s preference. Should you use statistics? Historical examples? Do you need to conduct your own experiment? Can you rely on personal experience? See our handout on evidence for suggestions on how to use evidence appropriately.

Make sure you are clear about this part of the assignment, because your use of evidence will be crucial in writing a successful paper. You are not just learning how to argue; you are learning how to argue with specific types of materials and ideas. Ask your instructor what counts as acceptable evidence. You can also ask a librarian for help. No matter what kind of evidence you use, be sure to cite it correctly—see the UNC Libraries citation tutorial .

You cannot always tell from the assignment just what sort of writing style your instructor expects. The instructor may be really laid back in class but still expect you to sound formal in writing. Or the instructor may be fairly formal in class and ask you to write a reflection paper where you need to use “I” and speak from your own experience.

Try to avoid false associations of a particular field with a style (“art historians like wacky creativity,” or “political scientists are boring and just give facts”) and look instead to the types of readings you have been given in class. No one expects you to write like Plato—just use the readings as a guide for what is standard or preferable to your instructor. When in doubt, ask your instructor about the level of formality they expect.

No matter what field you are writing for or what facts you are including, if you do not write so that your reader can understand your main idea, you have wasted your time. So make clarity your main goal. For specific help with style, see our handout on style .

Technical details about the assignment

The technical information you are given in an assignment always seems like the easy part. This section can actually give you lots of little hints about approaching the task. Find out if elements such as page length and citation format (see the UNC Libraries citation tutorial ) are negotiable. Some professors do not have strong preferences as long as you are consistent and fully answer the assignment. Some professors are very specific and will deduct big points for deviations.

Usually, the page length tells you something important: The instructor thinks the size of the paper is appropriate to the assignment’s parameters. In plain English, your instructor is telling you how many pages it should take for you to answer the question as fully as you are expected to. So if an assignment is two pages long, you cannot pad your paper with examples or reword your main idea several times. Hit your one point early, defend it with the clearest example, and finish quickly. If an assignment is ten pages long, you can be more complex in your main points and examples—and if you can only produce five pages for that assignment, you need to see someone for help—as soon as possible.

Tricks that don’t work

Your instructors are not fooled when you:

  • spend more time on the cover page than the essay —graphics, cool binders, and cute titles are no replacement for a well-written paper.
  • use huge fonts, wide margins, or extra spacing to pad the page length —these tricks are immediately obvious to the eye. Most instructors use the same word processor you do. They know what’s possible. Such tactics are especially damning when the instructor has a stack of 60 papers to grade and yours is the only one that low-flying airplane pilots could read.
  • use a paper from another class that covered “sort of similar” material . Again, the instructor has a particular task for you to fulfill in the assignment that usually relates to course material and lectures. Your other paper may not cover this material, and turning in the same paper for more than one course may constitute an Honor Code violation . Ask the instructor—it can’t hurt.
  • get all wacky and “creative” before you answer the question . Showing that you are able to think beyond the boundaries of a simple assignment can be good, but you must do what the assignment calls for first. Again, check with your instructor. A humorous tone can be refreshing for someone grading a stack of papers, but it will not get you a good grade if you have not fulfilled the task.

Critical reading of assignments leads to skills in other types of reading and writing. If you get good at figuring out what the real goals of assignments are, you are going to be better at understanding the goals of all of your classes and fields of study.

A well-planned assignment is going to be better organised than an assignment that is not planned at all - at least some planning is always a good idea and can only add to the quality of your final submission. While it is important not to overdo it, the longer you spend planning and thinking about your written assignment, the better your final draft will be.

The writing element is just one part of academic writing, planning should be a crucial part of your overall approach to doing an assignment. It is one of the most important parts of assignment writing which is ultimately led by your reading of relevant academic sources and an assignment will often look for you to present your point of view on a topic through the analysis and discussion of these sources.

Creating a good plan also makes the process of assignment writing easier - it can be difficult and confusing if you are trying to structure and write your assignment at the same time. By planning your assignments thoroughly, you ensure that your work has a consistent, balanced structure and your arguments follow a logical flow with respect to the assignment question – this can help you develop your argument even before you begin writing up the assignment.

There may be a temptation to skip the planning stage, especially when deadlines are approaching and you are keen to get on with researching but planning has multiple benefits.

 

 

 

 

 

Once you have a clear idea of what is required for your assignment, you can start planning your research and gathering evidence. Before you start reading or writing, try to come up with an outline or plan based on your existing knowledge of the topic and understanding of the question. Your aim is to develop an argument through your assignment; this means planning in some detail how the assignment will flow from one idea to the next.

For your initial plan and outline, use material and slides posted by your lecturer on your Moodle page and match that with any brainstorming you have already done on the topic. While you might be able to make a rough plan at the beginning, this will change as you do more reading and research. 

During the writing process, you may realise some ideas need to be further developed, or others removed so be prepared to update and change your plan as you write. But once you have an initial plan, it is much easier to adapt it and see where new things fit if your thinking does change. This is a back and forth process – the research will inform your plan, and your plan will inform your research.

  • Make a rough outline plan - the plan begins with your own interpretation of the question; this initial plan helps you order your ideas and focus your reading
  • If you really know nothing at all about the topic, some initial skimming and browsing through recommended readings or your lecturer’s course material can provide a few ideas.
  • Once you have an initial plan, further familiarise yourself with all relevant module content and sources posted on your Moodle page. These resources have been specifically chosen by your lecturer to help you with your coursework so using these will help you refine your plan and make writing your assignment easier.
In planning your writing, it is helpful for you to think where you are heading before you set out, so that everything you write can have that end-point in mind, the main message that your assignment is working towards. What is the main point you want to argue or put across in this assignment? You need to work out what to include, and what can be left out. It is impossible to cover everything in an assignment, and your lecturers will be looking for evidence of your ability to choose material and put it in a logical order. It is better to discuss fewer things in more depth than try and cover too many things in brief. Always keep in mind the original assignment task. Keep referring back to it and check that your arguments/examples are relevant to it.

Before you start searching the library for resources or information, you need to have some idea of what you are looking for - note down all the questions you can think of that might relate to your assignment title and criteria and list some keywords around the topic you need to research. By taking time to properly understand the assignment title or question and brainstorming for initial ideas, it can help you make informed decisions about what you need to read for a particular assignment.

In this way, you can decide what information you need and then start gathering it. If left unplanned, the reading stage can swallow up huge amounts of time. Making intelligent decisions, based on your initial planning, about which sources to target, can help you to avoid spending time reading less relevant, inappropriate, or even completely irrelevant material. You will be much more efficient in your reading and your research if you have some idea of where your argument is headed. You can then search for evidence for the points in your tentative plan while you are reading and researching

This template is designed to assist you with the collection and organisation of information into your notes and to plan the structure of your work before you start writing your first draft. The Assignment Planning - Guidelines has four stages:

Use the collecting information sheets to insert paraphrases from your sources and information you find for your assignment.
Using the Theme/Subtheme labels from Stage #1, use the organising your research sheets to help you organise and connect the information you have paraphrased into separate sections that relate to the key aspects of your assignment.
Take the information gathered in Stage #2 and organise it into the assignment framework chart to finalise your structure.
Go through the assignment checklist to check that you have included everything that is required for each section.

24 Create an Assignment Plan

Now that you have a clear idea of what you need to do, the next step is to break down the assignment into manageable “chunks”. The idea of completing a major research paper may seem overwhelming, but if you can divide the task into achievable steps you will be on your way to success.

Use the chart below to break your assignment into smaller steps. You will want to create steps that can be done easily in one day, and preferably in a single work period. Consider the following example breakdown for a research paper.

In the above example, the assignment is divided into smaller pieces, with a manageable amount to complete each day. It is also clear when each task has been completed.  A daily work goal like “work on research paper” is not well-defined, and can seem overwhelming.  This can make it easy to procrastinate.  By choosing specific and achievable goals, you may become more motivated to get started, and you will be able to measure your progress each day.  Remember to reward yourself for meeting your goals along the way.

If you have ever thought about how to write an assignment for university , the chances are high that you have already worked with a plan or even had to submit one. Here are solid reasons why it helps:

  • You focus on the list of helpful sources. It basically works as the annotated bibliography that you include as you write.

Step 2: Researching Your Subject. Once you have chosen something that works for you, consider moving to the stage of finding good sources and collecting statistical data. It is also where you should take notes that will be helpful as you cite something or come up with strong arguments.

Step 3: Working With a Draft/Outline. Do not be afraid of this assignment planner part even though it may sound frightening. Start with a basic outline where you present an introduction, your thesis statement, research arguments (objectives), and the list of topic sentences with your literature list. Depending on your subject, it may be either for your eyes only or serve as the professionally done draft (proposal).

Step 4: Editing & Revising. This is where you should eliminate all the weak parts by editing your assignment the way you would like. It is actually what helps to work in a relaxed environment and bring things to perfection.

Step 5: Proofreading. Unlike editing, you should not change your sentences at this stage . Look for formatting, grammar, style, syntax, and spelling errors. It also helps a lot if you read it aloud.

Once again, the purpose of a good assignment plan is to help you come up with strong arguments and structure your assignment correctly as you estimate what parts must go to each relevant section.

As a rule, your assignment plan will always differ, depending on your subject and assignment type, yet the most common assignment plan example will include the following seven paragraphs:

  • Project’s Name: start date, end date, completed.
  • Research Objectives: up to 150-300 words. It should speak about the importance of your assignment and things you would like to achieve. Write an assignment brief as it should always be to the point.
  • Ideas and Sketches. Write down the basic ideas that you have for a paper (it can be as much as you would like).
  • Resources Used. The list of your sources with citation information and page numbers where applicable.
  • Thesis Statement. The most important part of your work – your main argument or a moral take.
  • Topic Sentences. These should represent your key arguments and appear at the start of each body paragraph in the final paper. The golden rule is to have one idea per body paragraph.
  • Conclusion. This part is another important section of your assignment plan as it should talk about what you wanted to achieve and what has helped (or hasn’t) to do it.

22 Develop an Assignment Plan

Now that you have a clear idea of what you need to do, the next step is to break down the assignment into manageable “chunks”.  The idea of completing a major research paper may seem overwhelming, but if you can divide the task into achievable steps you will be on your way to success.

Use the chart below to break your assignment into smaller steps.  You will want to create steps that can be done easily in one day, and preferably in a single work period.  Consider the following example breakdown for a research paper.

In the above example, the assignment is divided into smaller pieces, with a manageable amount to complete each day. It is also clear when each task has been completed.  A daily work goal like “work on research paper” is not well-defined, and can seem overwhelming.  This can make it easy to procrastinate.  By choosing specific and achievable goals, you may become more motivated to get started, and you will be able to measure your progress each day.  Remember to reward yourself for meeting your goals along the way.

Planning is an essential part of writing a successful assignment and ensuring you reach your full potential. Key benefits to a clear plan are that it:

  • Helps you to manage and make efficient use of your time
  • Ensures that you understand and appropriately fulfil the assignment criteria
  • Makes the writing process easier and helps you to produce a coherent and well-structured assignment.  

At the start of writing your assignments, it is helpful to create a schedule to help organise your time and break the assignment process up into manageable chunks. Your schedule should include:

  • Analysing the question
  • Research, reading and note taking
  • Planning your answer
  • Writing the first draft
  • Time to meet with your tutor or module lead (if needed)
  • 1 st edit, further research, amendments
  • Proofing and formatting

What type of assignment is it?

It’s crucial to understand what type of assignment you are being asked to produce – is it an essay, a literature review, a report, annotated bibliography, or a piece of reflective writing? Each type of assignment has different conventions and will have different requirements to be successful.

Understanding the title

Break down your question to make sure you understand what is being asked of you and what your focus should be.

Questions can usually be split into three sections:

  • Instruction words – these will guide/instruct you in how you should approach addressing the question . A list of definitions for commonly used instruction verbs can be downloaded at the bottom of this box.
  • Topic words – these will tell you the primary subject of the assignment and may draw your attention to an aspect of the subject that should be given consideration in your response.
  • Limiting words – these function as restrictions that help narrow the scope of the question and focus your response.

Let’s look at an example:

The green topic words give us our focus – these can be used as key search terms in Library Search as a way of kickstarting your research on the topic. The red term acts as a restriction – if we started to write about how Batman’s actions had impacted crimes in neighbouring cities, or on a national scale, this would fall outside of the boundaries of the question, and therefore would not gain any marks in this particular assignment.

Question the question

Once you understand the assignment type and have analysed the question, there are a few more questions you should ask:

  • Are there key concepts/theories that you will need to define?
  • Are there particular aspects of the topic that you want to emphasise?
  • If you are required to make a judgement, or give a verdict on something, how will you make this decision?
  • Are you going to impose any of your own limiting factors? (This can be a helpful way of focusing a very broad question topic. You can impose your own limiting factors by including them in the introduction of your essay)

Practical considerations

Finally, there are a few practical considerations before you start your essay plan:

  • What’s the word count?
  • What’s the referencing style? For help with APA referencing look here [insert hyperlink]
  • How am I being asked to present my work? Can I include subheadings? What are the requirements for font and size?

It’s useful to know these from the start to save time making changes later in the process.

Prior knowledge and resources

As you start to plan your answer, the first step should be to consider what you already know about the topic. Think about what has been covered in your lectures/seminar/labs/reading – you may already have quite a lot of relevant information to help you. Likewise, check to see if there are any online reading lists available as these are a very useful starting point.

From here you should have a good idea of what aspects of the question you will need to research in greater detail and where to focus your reading.

When you are reading, your note taking should be an active process. This means engaging with the text rather than just being a passive reader mindlessly highlighting large chunks of text. Here are some key tips to make sure you are an active reader/note-taker:

  • Keep your notes selective and concise
  • Write notes in your own words as this will help your understanding of the topic
  • If you do want to use any direct quotations, keep them short and purposeful. Also, remember to note down the page number straight away so you don’t struggle to find it later!
  • Look out for links between what you are reading and what you’ve previously read - do authors agree/disagree? Are theories/models well supported/poorly supported? Are there key challenges?
  • Use sub-headings to organise your notes as this well help when you come to write your essay plan.
  • Don’t be afraid of making your notes memorable – use colours, underlining and highlighting to draw attention to important information.

Throughout this process you should try to reflect on your position in relation to the question and start thinking about what your conclusion might be. This is especially important for questions that are looking for you to give your verdict or opinion on a topic/debate. To help support this it can be useful to try and sum up your argument in one or two short sentences; this helps to ensure that your argument is clear and will help keep your response well-structured and coherent once you start writing.

Now that you’ve completed your reading, it’s time to structure your writing:

  • Establish links between different parts of your reading through mind-mapping or identifying common themes.
  • Create headings to organise your links – these will become the basis for your paragraphs.
  • Start to structure these headings into a logical order and consider how you will order and use these examples to construct and support your response to the assignment.
  • There are several different ways you can structure your response, and this might be dependant on what your assignment is asking you to do. For example, if your assignment is organised around themes it might be structured something like this:

(about 10% of the total word count)

(about 30% of the word count)
(about 30% of the word count)
(about 20% of the word count)
(about 10% of the word count)

Alternatively, if you were contrasting two theories it might look like this:

 (about 10% of the word count)

(about 30% of the word count)

(about 30% of the word count)

Synthesis section comparing relative strengths and weaknesses of both theories (about 20% of the word count)

Of course, these aren’t the only ways to structure your writing and it’s likely that you will need to adapt your plan for each assignment depending on what is required. However, remember that a plan should always help to organise your content so that your response is clear, coherent and well-structured. 

In the same way that essays have a clear structure (introduction, main body, conclusion), the paragraphs within your essay should also follow a pattern. Considering how you structure your paragraphs is important as it helps to improve the clarity of your writing by presenting your chosen evidence and subsequent critical response in a clear and effective way.

Paragraphs should be TIED together:

  • Topic sentence – The first sentence of your paragraph should introduce the main topic, theme or next step of your argument. It should summarise what the reader can expect from your paragraph. If the paragraph links directly to the question or assessment criteria you’ve been set, think about what key words make this clear to the reader.  
  • Introduce evidence - Before discussing your evidence, it is helpful to signpost to the reader what aspect of the literature you will talk about in more detail. This can be achieved by drawing their attention to something interesting or contextually important that will be relevant in the following section of the paragraph.  
  • Evidence – This is where you introduce references and highlight how these support your argument. You could also include counterpoints to your position within this section (and why these challenges are not upheld) or you could have this as a separate paragraph – the choice is up to you!  
  • Discussion – Your paragraph should end with your interpretation of the evidence and how this links back to the assignment topic. Let’s look at this in an example:

"As noted by Alexander (2017), talk has always been an essential component of teaching, and, consequently, learning. Evidence has demonstrated that talking about prose can enhance written responses to texts through increasing student confidence about qualities such as character, theme, and motifs ( Coultas , 2006). Despite this however, the most recent version of the National Curriculum has hugely decreased the role of speaking and listening; this includes even going so far as to remove speaking and listening from formal assessment in GCSE specifications. Furthermore, as noted by Yandell (2013), this has included moving the focus of talk as a collaborative experience to only being on the speaker, thus relegating listening as a key skill. Parallel to this, the types of talk discussed within the classroom has considerably narrowed, to the extent that what students now understand as spoken English, is little more than public speaking. Consequently, teachers are now faced with the responsibility of instilling the foundational skills of speaking and listening in students at an earlier age, to ensure that they have the necessary skills to navigate the complex social world.

Linking your ideas

Signposting language is also a key part of academic writing. Signposts are words or phrases that show a link between two ideas and can also be used to signal transition in your writing. This helps to make your writing more coherent and avoids any jarring changes of topic that leave your reader struggling to understand the connection between two paragraphs. Likewise, you can use signposting to develop your argument by identifying ideas that support or contrast one another, or ideas/findings that have built upon the outcomes of prior work. Ultimately, signposting helps to show the reader the structure of your argument and the direction of your response.

In terms of your planning and structuring, you should think carefully about to use signposting language to link the ideas between your paragraphs, signal key transitions develop your argument. Some examples are included below:

To reference other parts of your essay

  • As noted above
  • As previously stated,
  • Given the evidence outlined earlier in the essay

To introduce a supporting point

  • In the same way,

To introduce a contrasting point

  • Against this,
  • A clear challenge for

Advice for Senior Students

Planning and tackling a research assignment.

You’ve probably had the experience of several assignments across different subjects being due in the same week. Here’s how to plan your time to meet all deadlines without rushing to the finish line.

Undertaking individual research is a key feature in many school subject areas. Having a systematic approach to this research can help to make the best use of your time. Most schools provide students with a study planner or homework diary to help with dates and organisation.

The following seven-point guide provides a format to follow when planning your assignment work. Breaking the research task into manageable steps is the starting point. You can then allocate a certain amount of time for each step, so that you are on track to meet submission deadlines.

1. Define the task

Read through the task details several times so that you understand exactly what the question or requirements are asking you to do. It seems logical, but precisely understanding the task will make sure you are focused on the end product. Ensure you are also familiar with assessment criteria provided.

2.  Locate information

Undertake some preliminary research and reading to gain an overview of the topic and to see what sources are available for you to use.  Remember to consider utilising your school library’s resources in addition to your own online research.

3.  Select resources

Draw upon the information sources you decide are most useful and reliable. Over time, you’ll find that you hone your skills in locating and evaluating resources.

4. Organise notes

Take notes as you extract information from each of your sources.  Organise this information as you go. Having a good set of notes will make the actual writing process much easier and quicker.

5.  Present the ideas

Plan out the main points you want to make in your assignment and then decide how you want to express and convey them. Write your submission in a clear and succinct fashion. Keep referring to the task requirements and the assessment criteria to make sure you’re covering the essential points.

6.  Evaluate your work

Once you’ve written the final word in your assignment, don’t be tempted to submit it immediately. Build in some time to carefully check over everything. Proof-read it to rectify any basic errors.  Reading work back aloud to yourself can be an effective way to do this. Again, check it against the task instructions and criteria.

7. Submission

If you’ve planned your time efficiently, aim to submit your assignment ahead of the deadline to make an allowance for any last-minute problems. It’s a great feeling to finally submit an assignment you have been working on over an extended period. It’s an even better feeling if you are happy that you’ve done your best to address the requirements of the task.

Introduction

Assignments are a common method of assessment at university and require careful planning and good quality research. Developing critical thinking and writing skills are also necessary to demonstrate your ability to understand and apply information about your topic.  It is not uncommon to be unsure about the processes of writing assignments at university.

  • You may be returning to study after a break
  • You may have come from an exam based assessment system and never written an assignment before
  • Maybe you have written assignments but would like to improve your processes and strategies

This chapter has a collection of resources that will provide you with the skills and strategies to understand assignment requirements and effectively plan, research, write and edit your assignments.  It begins with an explanation of how to analyse an assignment task and start putting your ideas together.  It continues by breaking down the components of academic writing and exploring the elements you will need to master in your written assignments. This is followed by a discussion of paraphrasing and synthesis, and how you can use these strategies to create a strong, written argument. The chapter concludes with useful checklists for editing and proofreading to help you get the best possible mark for your work.

Task Analysis and Deconstructing an Assignment

It is important that before you begin researching and writing your assignments you spend sufficient time understanding all the requirements. This will help make your research process more efficient and effective. Check your subject information such as task sheets, criteria sheets and any additional information that may be in your subject portal online. Seek clarification from your lecturer or tutor if you are still unsure about how to begin your assignments.

The task sheet typically provides key information about an assessment including the assignment question. It can be helpful to scan this document for topic, task and limiting words to ensure that you fully understand the concepts you are required to research, how to approach the assignment, and the scope of the task you have been set. These words can typically be found in your assignment question and are outlined in more detail in the two tables below (see Table 19.1 and Table 19.2 ).

Table 19.1 Parts of an Assignment Question

Topic words These are words and concepts you have to research and write about.
Task words These will tell you how to approach the assignment and structure the information you find in your research (e.g., discuss, analyse).
Limiting words These words define the scope of the assignment, e.g., Australian perspectives, relevant codes or standards or a specific timeframe.

Make sure you have a clear understanding of what the task word requires you to address.

Table 19.2 Task words

Give reasons for or explain something has occurred. This task directs you to consider contributing factors to a certain situation or event. You are expected to make a decision about why these occurred, not just describe the events. the factors that led to the global financial crisis.
Consider the different elements of a concept, statement or situation. Show the different components and show how they connect or relate. Your structure and argument should be logical and methodical. the political, social and economic impacts of climate change.
Make a judgement on a topic or idea. Consider its reliability, truth and usefulness. In your judgement, consider both the strengths and weaknesses of the opposing arguments to determine your topic’s worth (similar to evaluate). the efficacy of cogitative behavioural therapy (CBT) for the treatment of depression.
Divide your topic into categories or sub-topics logically (could possibly be part of a more complex task). the artists studied this semester according to the artistic periods they best represent. Then choose one artist and evaluate their impact on future artists.
State your opinion on an issue or idea. You may explain the issue or idea in more detail. Be objective and support your opinion with reliable evidence. the government’s proposal to legalise safe injecting rooms.
Show the similarities and differences between two or more ideas, theories, systems, arguments or events. You are expected to provide a balanced response, highlighting similarities and differences. the efficiency of wind and solar power generation for a construction site.
Point out only the differences between two or more ideas, theories, systems, arguments or events. virtue ethics and utilitarianism as models for ethical decision making.
(this is often used with another task word, e.g. critically evaluate, critically analyse, critically discuss) It does not mean to criticise, instead you are required to give a balanced account, highlighting strengths and weaknesses about the topic. Your overall judgment must be supported by reliable evidence and your interpretation of that evidence. analyse the impacts of mental health on recidivism within youth justice.
Provide a precise meaning of a concept. You may need to include the limits or scope of the concept within a given context. digital disruption as it relates to productivity.
Provide a thorough description, emphasising the most important points. Use words to show appearance, function, process, events or systems. You are not required to make judgements. the pathophysiology of Asthma.
Highlight the differences between two (possibly confusing) items. between exothermic and endothermic reactions.
Provide an analysis of a topic. Use evidence to support your argument. Be logical and include different perspectives on the topic (This requires more than a description). how Brofenbrenner’s ecological system’s theory applies to adolescence.
Review both positive and negative aspects of a topic. You may need to provide an overall judgement regarding the value or usefulness of the topic. Evidence (referencing) must be included to support your writing. the impact of inclusive early childhood education programs on subsequent high school completion rates for First Nations students.

The criteria sheet , also known as the marking sheet or rubric, is another important document to look at before you begin your assignment. The criteria sheet outlines how your assignment will be marked and should be used as a checklist to make sure you have included all the information required.

The task or criteria sheet will also include the:

  • Word limit (or word count)
  • Referencing style and research expectations
  • Formatting requirements

What is academic writing?

Academic writing tone and style.

Many of the assessment pieces you prepare will require an academic writing style.  This is sometimes called ‘academic tone’ or ‘academic voice’.  This section will help you to identify what is required when you are writing academically (see Table 19.3 ). The best way to understand what academic writing looks like, is to read broadly in your discipline area.  Look at how your course readings, or scholarly sources, are written. This will help you identify the language of your discipline field, as well as how other writers structure their work.

Thesis statements

Essays are a common form of assessment that you will likely encounter during your university studies. You should apply an academic tone and style when writing an essay, just as you would in in your other assessment pieces. One of the most important steps in writing an essay is constructing your thesis statement.  A thesis statement tells the reader the purpose, argument or direction you will take to answer your assignment question. A thesis statement may not be relevant for some questions, if you are unsure check with your lecturer. The thesis statement:

  • Directly  relates to the task .  Your thesis statement may even contain some of the key words or synonyms from the task description.
  • Does more than restate the question.
  • Is specific and uses precise language.
  • Let’s your reader know your position or the main argument that you will support with evidence throughout your assignment.
  • The subject is the key content area you will be covering.
  • The contention is the position you are taking in relation to the chosen content.

Your thesis statement helps you to structure your essay.  It plays a part in each key section: introduction, body and conclusion.

Planning your assignment structure

When planning and drafting assignments, it is important to consider the structure of your writing. Academic writing should have clear and logical structure and incorporate academic research to support your ideas.  It can be hard to get started and at first you may feel nervous about the size of the task, this is normal. If you break your assignment into smaller pieces, it will seem more manageable as you can approach the task in sections. Refer to your brainstorm or plan. These ideas should guide your research and will also inform what you write in your draft. It is sometimes easier to draft your assignment using the 2-3-1 approach, that is, write the body paragraphs first followed by the conclusion and finally the introduction.

Writing introductions and conclusions

Clear and purposeful introductions and conclusions in assignments are fundamental to effective academic writing. Your introduction should tell the reader what is going to be covered and how you intend to approach this. Your conclusion should summarise your argument or discussion and signal to the reader that you have come to a conclusion with a final statement.  These tips below are based on the requirements usually needed for an essay assignment, however, they can be applied to other assignment types.

Writing introductions

Most writing at university will require a strong and logically structured introduction. An effective introduction should provide some background or context for your assignment, clearly state your thesis and include the key points you will cover in the body of the essay in order to prove your thesis.

Usually, your introduction is approximately 10% of your total assignment word count. It is much easier to write your introduction once you have drafted your body paragraphs and conclusion, as you know what your assignment is going to be about. An effective introduction needs to inform your reader by establishing what the paper is about and provide four basic things:

  • A brief background or overview of your assignment topic
  • A thesis statement (see section above)
  • An outline of your essay structure
  • An indication of any parameters or scope that will/ will not be covered, e.g. From an Australian perspective.

The below example demonstrates the four different elements of an introductory paragraph.

1) Information technology is having significant effects on the communication of individuals and organisations in different professions. 2) This essay will discuss the impact of information technology on the communication of health professionals.   3)  First, the provision of information technology for the educational needs of nurses will be discussed.  4)  This will be followed by an explanation of the significant effects that information technology can have on the role of general practitioner in the area of public health.  5)  Considerations will then be made regarding the lack of knowledge about the potential of computers among hospital administrators and nursing executives.  6)   The final section will explore how information technology assists health professionals in the delivery of services in rural areas .  7)  It will be argued that information technology has significant potential to improve health care and medical education, but health professionals are reluctant to use it.

Writing conclusions

You should aim to end your assignments with a strong conclusion. Your conclusion should restate your thesis and summarise the key points you have used to prove this thesis. Finish with a key point as a final impactful statement.  Similar to your introduction, your conclusion should be approximately 10% of the total assignment word length. If your assessment task asks you to make recommendations, you may need to allocate more words to the conclusion or add a separate recommendations section before the conclusion. Use the checklist below to check your conclusion is doing the right job.

Conclusion checklist 

  • Have you referred to the assignment question and restated your argument (or thesis statement), as outlined in the introduction?
  • Have you pulled together all the threads of your essay into a logical ending and given it a sense of unity?
  • Have you presented implications or recommendations in your conclusion? (if required by your task).
  • Have you added to the overall quality and impact of your essay? This is your final statement about this topic; thus, a key take-away point can make a great impact on the reader.
  • Remember, do not add any new material or direct quotes in your conclusion.

This below example demonstrates the different elements of a concluding paragraph.

1) It is evident, therefore, that not only do employees need to be trained for working in the Australian multicultural workplace, but managers also need to be trained.  2)  Managers must ensure that effective in-house training programs are provided for migrant workers, so that they become more familiar with the English language, Australian communication norms and the Australian work culture.  3)  In addition, Australian native English speakers need to be made aware of the differing cultural values of their workmates; particularly the different forms of non-verbal communication used by other cultures.  4)  Furthermore, all employees must be provided with clear and detailed guidelines about company expectations.  5)  Above all, in order to minimise communication problems and to maintain an atmosphere of tolerance, understanding and cooperation in the multicultural workplace, managers need to have an effective knowledge about their employees. This will help employers understand how their employee’s social conditioning affects their beliefs about work. It will develop their communication skills to develop confidence and self-esteem among diverse work groups. 6) The culturally diverse Australian workplace may never be completely free of communication problems, however,   further studies to identify potential problems and solutions, as well as better training in cross cultural communication for managers and employees,   should result in a much more understanding and cooperative environment.

Writing paragraphs

Paragraph writing is a key skill that enables you to incorporate your academic research into your written work.  Each paragraph should have its own clearly identified topic sentence or main idea which relates to the argument or point (thesis) you are developing.  This idea should then be explained by additional sentences which you have paraphrased from good quality sources and referenced according to the recommended guidelines of your subject (see the chapter Working with Information ). Paragraphs are characterised by increasing specificity; that is, they move from the general to the specific, increasingly refining the reader’s understanding. A common structure for paragraphs in academic writing is as follows.

Topic Sentence 

This is the main idea of the paragraph and should relate to the overall issue or purpose of your assignment is addressing. Often it will be expressed as an assertion or claim which supports the overall argument or purpose of your writing.

Explanation/ Elaboration

The main idea must have its meaning explained and elaborated upon. Think critically, do not just describe the idea.

These explanations must include evidence to support your main idea. This information should be paraphrased and referenced according to the appropriate referencing style of your course.

Concluding sentence (critical thinking)

This should explain why the topic of the paragraph is relevant to the assignment question and link to the following paragraph.

Use the checklist below to check your paragraphs are clear and well formed.

Paragraph checklist

  • Does your paragraph have a clear main idea?
  • Is everything in the paragraph related to this main idea?
  • Is the main idea adequately developed and explained?
  • Do your sentences run together smoothly?
  • Have you included evidence to support your ideas?
  • Have you concluded the paragraph by connecting it to your overall topic?

Writing sentences

Make sure all the sentences in your paragraphs make sense. Each sentence must contain a verb to be a complete sentence. Avoid sentence fragments . These are incomplete sentences or ideas that are unfinished and create confusion for your reader. Avoid also run on sentences . This happens when you join two ideas or clauses without using the appropriate punctuation. This also confuses your meaning (See the chapter English Language Foundations for examples and further explanation).

Use transitions (linking words and phrases) to connect your ideas between paragraphs and make your writing flow. The order that you structure the ideas in your assignment should reflect the structure you have outlined in your introduction. Refer to transition words table in the chapter English Language Foundations.

Paraphrasing and Synthesising

Paraphrasing and synthesising are powerful tools that you can use to support the main idea of a paragraph. It is likely that you will regularly use these skills at university to incorporate evidence into explanatory sentences and strengthen your essay. It is important to paraphrase and synthesise because:

  • Paraphrasing is regarded more highly at university than direct quoting.
  • Paraphrasing can also help you better understand the material.
  • Paraphrasing and synthesising demonstrate you have understood what you have read through your ability to summarise and combine arguments from the literature using your own words.

What is paraphrasing?

Paraphrasing is changing the writing of another author into your words while retaining the original meaning. You must acknowledge the original author as the source of the information in your citation. Follow the steps in this table to help you build your skills in paraphrasing (see Table 19.4 ).

1 Make sure you understand what you are reading. Look up keywords to understand their meanings.
2 Record the details of the source so you will be able to cite it correctly in text and in your reference list.
3 Identify words that you can change to synonyms (but do not change the key/topic words).
4 Change the type of word in a sentence (for example change a noun to a verb or vice versa).
5 Eliminate unnecessary words or phrases from the original that you don’t need in your paraphrase.
6 Change the sentence structure (for example change a long sentence to several shorter ones or combine shorter sentences to form a longer sentence).

Original text

Health care professionals   assist people often when they are at their most  vulnerable . To provide the best care and understand their needs, workers must demonstrate good communication skills .  They must develop patient trust and provide empathy   to effectively work with patients who are experiencing a variety of situations including those who may be suffering from trauma or violence, physical or mental illness or substance abuse (French & Saunders, 2018).

Poor quality paraphrase example

This is a poor example of paraphrasing. Some synonyms have been used and the order of a few words changed within the sentences however the colours of the sentences indicate that the paragraph follows the same structure as the original text.

Health care sector workers are often responsible for vulnerable  patients.   To understand patients and deliver good service , they need to be excellent communicators .  They must establish patient rapport and show empathy if they are to successfully care for patients from a variety of backgrounds  and with different medical, psychological and social needs (French & Saunders, 2018).

A good quality paraphrase example

This example demonstrates a better quality paraphrase. The author has demonstrated more understanding of the overall concept in the text by using the keywords as the basis to reconstruct the paragraph. Note how the blocks of colour have been broken up to see how much the structure has changed from the original text.

Empathetic   communication is a vital skill for health care workers.   Professionals in these fields   are often responsible for patients with complex medical, psychological and social needs. Empathetic   communication assists in building rapport and gaining the necessary trust   to assist these vulnerable patients  by providing appropriate supportive care (French & Saunders, 2018).

What is synthesising?

Synthesising means to bring together more than one source of information to strengthen your argument. Once you have learnt how to paraphrase the ideas of one source at a time, you can consider adding additional sources to support your argument. Synthesis demonstrates your understanding and ability to show connections between multiple pieces of evidence to support your ideas and is a more advanced academic thinking and writing skill.

Follow the steps in this table to improve your synthesis techniques (see Table 19.5 ).

1 Check your referencing guide to learn how to correctly reference more than one author at a time in your paper.
2 While taking notes for your research, try organising your notes into themes. This way you can keep similar ideas from different authors together.
3 Identify similar language and tone used by authors so that you can group similar ideas together.
4 Synthesis can not only be about grouping ideas together that are similar, but also those that are different. See how you can contrast authors in your writing to also strengthen your argument.

Example of synthesis

There is a relationship between academic procrastination and mental health outcomes.  Procrastination has been found to have a negative effect on students’ well-being (Balkis, & Duru, 2016). Yerdelen, McCaffrey, and Klassens’ (2016) research results suggested that there was a positive association between procrastination and anxiety. This was corroborated by Custer’s (2018) findings which indicated that students with higher levels of procrastination also reported greater levels of the anxiety. Therefore, it could be argued that procrastination is an ineffective learning strategy that leads to increased levels of distress.

This example demonstrates a simple synthesis. The author has developed a paragraph with one central theme and included explanatory sentences complete with in-text citations from multiple sources. Note how the blocks of colour have been used to illustrate the paragraph structure and synthesis (i.e., statements using paraphrased evidence from several sources). A more complex synthesis may include more than one citation per sentence.

Creating an argument

What does this mean.

Throughout your university studies, you may be asked to ‘argue’ a particular point or position in your writing. You may already be familiar with the idea of an argument, which in general terms means to have a disagreement with someone. Similarly, in academic writing, if you are asked to create an argument, this means you are asked to have a position on a particular topic, and then justify your position using evidence.

What skills do you need to create an argument?

In order to create a good and effective argument, you need to be able to:

  • Read critically to find evidence
  • Plan your argument
  • Think and write critically throughout your paper to enhance your argument

What does an argument look like?

As can be seen from the figure above, including evidence is a key element of a good argument. While this may seem like a straightforward task, it can be difficult to think of wording to express your argument. The table below provides examples of how you can illustrate your argument in academic writing (see Table 19.6 ).

Editing and proofreading (reviewing)

Once you have finished writing your first draft it is recommended that you spend time revising your work.  Proofreading and editing are two different stages of the revision process.

  • Editing considers the overall focus or bigger picture of the assignment
  • Proofreading considers the finer details

As can be seen in the figure above there are four main areas that you should review during the editing phase of the revision process. The main things to consider when editing include content, structure, style, and sources. It is important to check that all the content relates to the assignment task, the structure is appropriate for the purposes of the assignment, the writing is academic in style, and that sources have been adequately acknowledged. Use the checklist below when editing your work.

Editing checklist

  • Have I answered the question accurately?
  • Do I have enough credible, scholarly supporting evidence?
  • Is my writing tone objective and formal enough or have I used emotive and informal language?
  • Have I written in the third person not the first person?
  • Do I have appropriate in-text citations for all my information?
  • Have I included the full details for all my in-text citations in my reference list?

There are also several key things to look out for during the proofreading phase of the revision process. In this stage it is important to check your work for word choice, grammar and spelling, punctuation and referencing errors. It can be easy to mis-type words like ‘from’ and ‘form’ or mix up words like ‘trail’ and ‘trial’ when writing about research, apply American rather than Australian spelling, include unnecessary commas or incorrectly format your references list. The checklist below is a useful guide that you can use when proofreading your work.

Proofreading checklist

  • Is my spelling and grammar accurate?
  •  Are they complete?
  • Do they all make sense?
  • Do they only contain only one idea?
  • Do the different elements (subject, verb, nouns, pronouns) within my sentences agree?
  • Are my sentences too long and complicated?
  • Do they contain only one idea per sentence?
  • Is my writing concise? Take out words that do not add meaning to your sentences.
  • Have I used appropriate discipline specific language but avoided words I don’t know or understand that could possibly be out of context?
  • Have I avoided discriminatory language and colloquial expressions (slang)?
  • Is my referencing formatted correctly according to my assignment guidelines? (for more information on referencing refer to the Managing Assessment feedback section).

This chapter has examined the experience of writing assignments.  It began by focusing on how to read and break down an assignment question, then highlighted the key components of essays. Next, it examined some techniques for paraphrasing and summarising, and how to build an argument. It concluded with a discussion on planning and structuring your assignment and giving it that essential polish with editing and proof-reading. Combining these skills and practising them, can greatly improve your success with this very common form of assessment.

  • Academic writing requires clear and logical structure, critical thinking and the use of credible scholarly sources.
  • A thesis statement is important as it tells the reader the position or argument you have adopted in your assignment. Not all assignments will require a thesis statement.

Writing your assignment

The Writing your assignment resource is designed and monitored by Learning Advisers and Academic Librarians at UniSA.

Part of writing an assignment is creating a plan, and in some courses, you may be tasked with creating a plan as part of your assignment.  A plan should build on your original brainstorming session and be informed by your research. A good place to start is the marking criteria. Use the marking criteria, in conjunction with the assessment instructions, to help you with establishing your plan. 

As you are searching, develop the argument you are going to present as early as you can. In this way, you will be more targeted in trying to find information that will assist you with presenting this argument.  Check that your argument, and your topic paragraphs, fit with the assessment details and the marking criteria before moving forward.  Keep in mind, the plan is a fluid document that may change as you explore your topic further.

What should an essay plan include?

  • This is the argument your essay is going to make in response to the assignment question.
  • The main points are going to provide the supporting evidence in answer to the assignment question. Each main point will form one of the body paragraphs.
  • For example, an introduction, body and conclusion
  • Put in your own words the evidence you have sourced and place this under the relevant main point. Ensure you provide an in-text citation with your notes

How to Write a Plan for Your Assignment

“Give me six hours to chop down a tree and I will spend the first four sharpening the axe.” ― Abraham Lincoln

Lincoln’s wise words ring true for all walks of life and none more so than university assignments. Assignments are a key part of the university. Students who learn how to plan an assignment early on in their university career will find their assignments less daunting, easier to write and crucially, more highly graded. Below are some key tips on how you can successfully plan a great assignment.

Read the Question!

This might seem obvious, but not fully understanding the question is a surprisingly common (and totally avoidable) stumbling block for students. Make sure you understand exactly what is being asked of you and if you aren’t 100% sure, seek clarification from your peers or your tutor. Try breaking the question down to ensure you cover everything asked.

Reading widely is absolutely key for a successful assignment. It will be obvious to any marker if the student has not read key texts. By limiting your reading, you immediately limit your essay. You don’t have to read every article or textbook before writing your assignment plan, you may well discover some along the way. The footnotes and bibliographies of the earlier articles and textbooks you do read are a great source of further reading.

When you do your reading, it is essential that you make notes.

Top tip: when making notes on an article or book always include the full reference with your notes – this will save you time and stress when you come to your footnotes and bibliography.

Create a Skeleton Plan

A good early technique when creating an assignment plan is to begin with a skeleton of what your final essay may contain. This needn’t be greatly detailed and you may add or drop things from it as you progress with your research and the essay itself, but starting with a basic outline helps to give you early direction and focuses your reading.

Draft, then Redraft

An assignment draft is essential, it gives you the opportunity to see your thoughts and ideas on the page and see if they link together in the way you envisage. Once you have written your first assignment draft, take a break, and then come back with a fresh pair of eyes. This is key for spotting any errors and inconsistencies in the essay. Your second assignment draft should iron out these inconsistencies, make the assignment a coherent whole and leave you with minor refinements before deadline day.

Find what Works for You

While all of the above are solid techniques for assignment planning, every student is different. Some people like doing mind maps, some bullet points; others just jump straight into the writing. It may take some time to discover what works best for you when writing assignments, so don’t be afraid to experiment!

A good assignment plan equals a good assignment. Remember Uncle Abe’s advice; don’t just start hacking at that assignment, give yourself the tools to do the job properly and efficiently.

Planning how you approach your writing will make sure that you understand the task, can manage your time, and present a researched, structured and focused assignment.

Before you start writing, you need to understand what type of writing you are required to produce. For example, you might be asked to produce a report, an essay, an annotated bibliography or a literature review. This will shape how you will prepare, research and write your assignment. Take time to understand the conventions of each type of assignment and what is expected of you.

Understand instructional words

Instructional verbs in the assignment task will indicate how to plan your approach. Choose the instructional words that you have been given below to reveal what they mean.

Scope and focus

Look at the assignment task to identify whether there is a specific aspect of the topic that you are being asked to focus on. For example:

  • Is the topic or question limited to a certain time period, region, or group of people?
  • Are you being asked to consider a particular angle (for example, political, social, economic aspects of the topic)?

If the assignment task does not include information about the scope or limitations of the topic, you should choose these yourself. Think about what key issues have been covered in your module and whether you could use any of these to produce a focused answer to the question.

If something in the assignment brief is unclear, check with your module leader as soon as possible before starting to plan your answer.

Define your purpose and reader

The next step before writing is to clearly define the purpose of the writing and the audience.

Most formal academic writing at university is set by, and written for, an academic tutor or assessor. There should be clear criteria against which they will mark your work. Your tutor may ask you to write for different audiences such as a lay audience or your peers, so make sure you know who your intended audience is before you start writing.

Once you have a clear idea of what is required for your assignment, you can start to plan what you are going to write.

Lesson Plan

A lesson plan is a teacher’s guide for facilitating a lesson. It typically includes the goal (what students need to learn), how the goal will be achieved (the method of delivery and procedure) and a way to measure how well the goal was reached (usually via homework assignments or testing). This plan is a teacher’s objectives for what students should accomplish and how they will learn the material. Here, a teacher must plan what they want to teach students, why a topic is being covered and decide how to deliver a lecture. Learning objectives, learning activities and assessments are all included in a lesson plan. No two lesson plans are the same. 

What does a lesson plan entail? The most effective lesson plans include the following components.

  • Lesson objectives (what should students be able to do after a lesson?)
  • Materials (what resources do students need to support their learning?)

How to write an effective project plan in 6 simple steps

If you’re a Type A personality, project planning might sound like music to your ears. Setting deadlines, organizing tasks, and creating order out of chaos — what’s not to love?

The reality is that project planning isn’t for everyone. In one survey by Association for Project Management, 76% of project professionals said their main project was a source of stress . Poor planning, unclear responsibilities, and overallocation are often the culprits behind the stress. 

An effective project plan helps teams stay within budget, scope, and schedule, while delivering quality work. In short, it gets you to the finish line without the stress.  

What is a project plan?

A project plan, also known as a work plan, is a blueprint of your project lifecycle. It’s like a roadmap — it clearly outlines how to get from where you are now (the beginning of the project) to where you want to go (the successful completion of the project). 

“A project plan is an action plan outlining how…[to] accomplish project goals,” says Jami Yazdani , certified Project Management Professional (PMP), project coach, project management consultant, and founder of Yazdani Consulting and Facilitation . 

A comprehensive project plan includes the project schedule, project scope, due dates, and deliverables. Writing a good project plan is key for any new, complex project in the pipeline.

Why Are Project Plans Important?

Project plans allow you to visualize your entire project, from beginning to end—and develop a clear strategy to get from point A to point B. Project plans steer stakeholders in the right direction and keep team members accountable with a common baseline.  

Project plans help you stay agile

Projects are bound by what is traditionally called the “iron triangle” of project management . It means that project managers have to work within the three constraints of scope, resources (project budget and teams), and schedule. You cannot make changes to one without impacting the other two.    

Modern-day project management has shifted to a more agile approach, with a focus on quality. This means that resources and schedules remain unchanged but a fixed number of iterations (flexible scope) helps teams deliver better quality and more value.

“Project plans provide…teams with purpose and direction,” says Yazdani. “Transparent project plans show team members how their individual tasks and responsibilities contribute to the overall success of the project, encouraging engagement and collaboration.”

How To Write A Project Plan in 6 Steps

Writing a project plan requires, well, planning. Ideally, the seeds for a project plan need to be sowed before internal project sign-off begins. Before that sign-off, conduct capacity planning to estimate the resources you will need and if they’re available for the duration of the project. After all, you want to set your teams up for success with realistic end dates, buffer time to recharge or catch up in case of unexpected delays, and deliver quality work without experiencing burnout .

Based on organizational capacity, you can lay down project timelines and map out scope as well as success metrics, outline tasks, and build a feedback loop into your project plan. Follow these project planning steps to create a winning plan:      

1. Establish Project Scope And Metrics

Defining your project scope is essential to protecting your iron, or agile, triangle from crumbling. Too often, projects are hit with scope creep , causing delays, budget overruns, and anxiety.

“Clearly define your project’s scope or overall purpose,” says Yazdani. “Confirm any project parameters or constraints, like budget, resource availability, and timeline,” says Yazdani.

A project purpose statement is a high-level brief that defines the what, who, and why of the project along with how and when the goal will be accomplished. But just as important as defining your project scope and purpose is defining what metrics you’re going to use to track progress.

“Establish how you will measure success,” says Yazdani. “Are there metrics, performance criteria, or quality standards you need to meet?”

Clearly defining what your project is, the project’s overall purpose, and how you’re going to measure success lays the foundation for the rest of your project plan—so make sure you take the time to define each of these elements from the get-go.

2. Identify Key Project Stakeholders 

Get clarity on the team members you need to bring the project to life. In other words, identify the key stakeholders of the project. 

“List individuals or groups who will be impacted by the project,” says Yazdani. 

In addition to identifying who needs to be involved in the project, think about how they’ll need to be involved—and at what level. Use a tool like Confluence to run a virtual session to clarify roles and responsibilities, and find gaps that need to be filled. 

Let’s say you’re managing a cross-functional project to launch a new marketing campaign that includes team members from your marketing, design, and sales departments. 

When identifying your key stakeholders, you might create different lists based on the responsibility or level of involvement with the project:

  • Decision-makers (who will need to provide input at each step of the project)
  • Managers (who will be overseeing employees within their department) 
  • Creative talent (who will be actually creating the project deliverables for the campaign) from each department.

Define roles, discuss responsibilities, and clarify which tasks fall under each teammate’s purview using this Confluence template. 

Getting clarity on who needs to be involved in the project—and how they’re going to be involved—will help guide the rest of the project plan writing process (particularly when it comes to creating and assigning tasks).

3. Outline Deliverables

Now is the time to get granular.

Each project milestone comprises a series of smaller, tangible tasks that your teams need to produce. While a big-picture view keeps teams aligned, you need signposts along the way to guide them on a day-to-day or weekly basis. Create a list of deliverables that will help you achieve the greater vision of the project. 

“What will you create, build, design, produce, accomplish or deliver?” says Yazdani. “Clearly outline your project’s concrete and tangible deliverables or outcomes.” Centralize these deliverables in a Trello board with designated cards for each one, like in the example below, so you keep work moving forward.

Defining the concrete items you need your project to deliver will help you reverse-engineer the things that need to happen to bring those items to life—which is a must before moving on to the next step.

4. Develop Actionable Tasks

Task management is an important component of any project plan because they help employees see what exactly they need to accomplish. Drill down those deliverables into actionable tasks to assign to your team. 

You can use either Confluence or Jira for different task management needs. If you want to track tasks alongside your work, like action items from a meeting or small team projects, it’s best to use Confluence. But if a project has multiple teams and you need insight into workflows, task history, and reporting, Jira makes it easy.      

“Let your deliverables guide the work of the project,” says Yazdani. “Break down each deliverable into smaller and smaller components until you get to an actionable task.” If a major deliverable is a set of content pieces, the smaller actionable tasks would be to create topic ideas, conduct research, and create outlines for each topic.  

Once you’ve broken down all of your deliverables into manageable, assignable subtasks, analyze how each of those tasks interacts with each other. That way, you can plan, prioritize, assign, and add deadlines accordingly.  

“Highlight any dependencies between tasks, such as tasks that can’t be started until another task is complete,” says Yazdani. “List any resources you will need to accomplish these tasks.”

When a task has multiple assignees, you need to streamline the workflow in your project plan. Say the content pieces you outlined need to be edited or peer-reviewed. A couple of articles may need an interview with a subject matter expert. Lay down a stage-by-stage process of each piece of content and pinpoint when each team member comes into play so you prevent bottlenecks and adjust timeframes.     

5. Assign Tasks And Deadlines

Assign tasks to your team and collaborate with employees to set deadlines for each task. When you involve employees in setting workloads and deadlines , you increase ownership and boost the chances of delivering quality work on time.  

After all, you want to move projects forward at a steady pace, but you also want to make sure your teams stay motivated and engaged. So, when writing your project plan, make sure to “set realistic and achievable deadlines for completing tasks and deliverables,” says Yazdani. “Highlight dates that are inflexible and factor in task dependencies. Add in milestones or checkpoints to monitor progress and celebrate successes .”

Once you map out all of your tasks and deadlines, you should have a clear picture of how and when your project is going to come together—and the initial writing process is just about finished.

But that doesn’t mean your project plan is complete! There’s one more key step to the process.

6. Share, Gather Feedback, And Adjust The Project Plan As Necessary

While steps 1 through 5 may make up your initial writing process, if you want your project plan to be as strong and complete as it can be, it’s important to share it with your team—and get their input on how they think it can be improved.

“Share the plan with your project team and key stakeholders, gathering feedback to make adjustments and improvements,” says Yazdani. 

A tool like Confluence helps knowledge flow freely within teams and departments, leading to better teamwork, higher collaboration, and a shared understanding of priorities. Coworkers can use comments, mentions, notifications, and co-editing capabilities to provide and discuss feedback. 

After you gather your team’s feedback —and make any necessary adjustments based on that feedback—you can consider your project plan complete. Hooray! 

But as your project progresses, things may change or evolve—so it’s important to stay flexible and make changes and adjustments as needed.

“Expect to update your plan as you gather more information, encounter changing requirements and delays, and learn from feedback and mistakes,” says Yazdani. “By using your project plan to guide your activities and measure progress, you’ll be able to refine and improve your plan as you move through the project, tweaking tasks and deadlines as deliverables are developed.”

Example of a simple project plan 

A project plan doesn’t have to be a complicated spreadsheet with multiple tabs and drop-down menus. It’s best to use a project planning tool like Confluence — or at least a project plan template — to make sure you cover every aspect of the project. A simple project plan includes these elements:

  • Project name, brief summary, and objective.
  • Project players or team members who will drive the project, along with their roles and responsibilities.
  • Key outcomes and due dates.
  • Project elements, ideally divided into must-have, nice-to-have and not-in-scope categories.
  • Milestones, milestone owners, and a project end date.
  • Reference material relevant to the project.

A project planning process can quickly turn into a mishmash of goals and tasks that end up in chaos but these best practices can give you a framework to create a project plan that leads to success.

Use Other Project Plans For Inspiration

There’s no need to reinvent the wheel for every new project! Instead, look to other successful project plans for inspiration—and use them as a guide when writing the plan for your project.

“Review templates and plans for similar projects, or for other projects within your organization or industry, to get ideas for structuring and drafting your own plan,” says Yazdani.

Get Your Team Involved In The Process

You may be in charge of spearheading the project. But that doesn’t mean that you have to—or even that you should—write the project plan alone. 

“Collaborate with your project team and key stakeholders on crafting a project plan,” says Yazdani. “Input into the project plan supports buy-in to project goals and encourages continued engagement throughout the project.”

Don’t Let Perfect Be The Enemy Of The Good

You may be tempted to write (and rewrite) your project plan until you’ve got every detail mapped out perfectly. But spending too much time trying to get everything “perfect” can actually hold up the project. So don’t let perfect be the enemy of the good—and instead of getting caught up in getting everything perfect from the get-go, stay willing and flexible to adjust your project plan as you move forward.

“Focus on outcomes, not plan perfection,” says Yazdani. “While it would be awesome for the first draft of our plan to require no changes while also inspiring our team and ensuring project success, our goal shouldn’t be a perfect plan. Our goal is a plan that allows us to successfully deliver on project goals. Responsiveness to changing needs and a shifting environment is more important than plan perfection.”

Writing a project plan, especially if you’re new to the process, can feel overwhelming. But now that you know the exact steps to write one, make sure you have the tools you need to create a strong, cohesive plan from the ground up—and watch your project thrive as a result.

Assignments usually ask you to demonstrate that you have immersed yourself in the course material and that you've done some thinking on your own; questions not treated at length in class often serve as assignments. Fortunately, if you've put the time into getting to know the material, then you've almost certainly begun thinking independently. In responding to assignments, keep in mind the following advice.

  • Beware of straying.  Especially in the draft stage, "discussion" and "analysis" can lead you from one intrinsically interesting problem to another, then another, and then ... You may wind up following a garden of forking paths and lose your way. To prevent this, stop periodically while drafting your essay and reread the assignment. Its purposes are likely to become clearer.
  • Consider the assignment in relation to previous and upcoming assignments.  Ask yourself what is new about the task you're setting out to do. Instructors often design assignments to build in complexity. Knowing where an assignment falls in this progression can help you concentrate on the specific, fresh challenges at hand.

Understanding some key words commonly used in assignments also may simplify your task. Toward this end, let's take a look at two seemingly impenetrable instructions: "discuss" and "analyze."

1. Discuss the role of gender in bringing about the French Revolution.

  • "Discuss" is easy to misunderstand because the word calls to mind the oral/spoken dimension of communication. "Discuss" suggests conversation, which often is casual and undirected. In the context of an assignment, however, discussion entails fulfilling a defined and organized task: to construct an argument that considers and responds to an ample range of materials. To "discuss," in assignment language, means to make a broad argument about a set of arguments you have studied. In the case above, you can do this by
  • pointing to consistencies and inconsistencies in the evidence of gendered causes of the Revolution;
  • raising the implications of these consistencies and/or inconsistencies (perhaps they suggest a limited role for gender as catalyst);
  • evaluating different claims about the role of gender; and
  • asking what is gained and what is lost by focusing on gendered symbols, icons and events.

A weak discussion essay in response to the question above might simply list a few aspects of the Revolution—the image of Liberty, the executions of the King and Marie Antoinette, the cry "Liberte, Egalite, Fraternite!" —and make separate comments about how each, being "gendered," is therefore a powerful political force. Such an essay would offer no original thesis, but instead restate the question asked in the assignment (i.e., "The role of gender was very important in the French Revolution" or "Gender did not play a large role in the French Revolution").

In a strong discussion essay, the thesis would go beyond a basic restatement of the assignment question. You might test the similarities and differences of the revolutionary aspects being discussed. You might draw on fresh or unexpected evidence, perhaps using as a source an intriguing reading that was only briefly touched upon in lecture.

2. Analyze two of Chaucer's Canterbury Tales, including one not discussed in class, as literary works and in terms of sources/analogues.

The words "analyze" and "analysis" may seem to denote highly advanced, even arcane skills, possessed in virtual monopoly by mathematicians and scientists. Happily, the terms refer to mental activity we all perform regularly; the terms just need decoding. "Analyze" means two things in this specific assignment prompt.

  • First, you need to divide the two tales into parts, elements, or features. You might start with a basic approach: looking at the beginning, middle, and end. These structural features of literary works—and of historical events and many other subjects of academic study—may seem simple or even simplistic, but they can yield surprising insights when examined closely.
  • Alternatively, you might begin at a more complex level of analysis. For example, you might search for and distinguish between kinds of humor in the two tales and their sources in Boccaccio or the Roman de la Rose: banter, wordplay, bawdy jokes, pranks, burlesque, satire, etc.

Second, you need to consider the two tales critically to arrive at some reward for having observed how the tales are made and where they came from (their sources/analogues). In the course of your essay, you might work your way to investigating Chaucer's broader attitude toward his sources, which alternates between playful variation and strict adherence. Your complex analysis of kinds of humor might reveal differing conceptions of masculine and feminine between Chaucer and his literary sources, or some other important cultural distinction.

Analysis involves both a set of observations about the composition or workings of your subject and a critical approach that keeps you from noticing just anything—from excessive listing or summarizing—and instead leads you to construct an interpretation, using textual evidence to support your ideas.

Some Final Advice

If, having read the assignment carefully, you're still confused by it, don't hesitate to ask for clarification from your instructor. He or she may be able to elucidate the question or to furnish some sample responses to the assignment. Knowing the expectations of an assignment can help when you're feeling puzzled. Conversely, knowing the boundaries can head off trouble if you're contemplating an unorthodox approach. In either case, before you go to your instructor, it's a good idea to list, underline or circle the specific places in the assignment where the language makes you feel uncertain.

Some carefully write out all the details for their lesson, while others use a brief outline. Your approach to writing lesson plans will depend on various factors: how well you know the material you're teaching, how long you've been teaching, the kinds of teaching you've done, and the students you expect to have in your class. There is no single formula for writing lesson plans, but this guide will help you think through some of the processes that other instructors have found valuable to their own lesson planning.

When creating lesson plans, always keep your destination in mind. Where do you want students to end up? If you're planning daily activities, think about how these activities connect to the larger goals for the course. Ask yourself, how will each activity prepare students for the upcoming portfolio assignment? Assuming that your assignment sheets accurately reflect the course goals, use them at the beginning of each unit to determine:

  • What is the overall goal for this assignment? What is the assignment asking students to do?
  • What knowledge do students already have that will help them meet the goals for writing this assignment?
  • What skills and concepts will students need to meet the goals for this assignment?

From these questions, create a list of smaller objectives to use as stepping stones for your destination. If you are planning writing assignments for student portfolios, your list of objectives may include:

  • Students will practice writing academic summaries.
  • Students will practice writing different types of response.
  • Students will learn to develop a claim and support that claim with reasons and evidence.
  • Students will learn to value revision through workshops and other peer review activities.

While sequencing your objectives, consider how each one builds off another. How might one objective prepare students for learning another? If reading critically helps students summarize an argument, you might address your critical reading objective before teaching summary.

Also, think about what your students know. Given the information they already have, which objectives would be best met at certain points in the unit? Will simpler objectives work better at the start of a unit? Will more complicated objectives make clearer sense to students after some basic objectives have already been met?

Finally, determine how your sequencing of objectives will best meet these goals and requirements for the upcoming assignment.

While sequencing your objectives, be aware of the amount of time allotted for each portfolio. Based on the overall goals for the portfolio, determine how much time you will need to spend addressing each objective. Keep in mind that a single lesson will address only one or two objectives. Some of these goals will be easily met, while others will present a challenge for students. You may decide to build in extra time to review concepts that are more challenging.

Try to be flexible, but remain within a reasonable time frame. Spending three days on one essay may be too much (even if students are thrilled by the subject matter). One strategy to help you keep up your pace, is to utilize outside resources such as the CSU Writing Center or online tutorials. The Writing at CSU home page contains plenty of online resources as well. Use these resources to compliment discussions and save you some time in class.

Below is an example for how you might organize your sequence and time frame for the first student portfolio:

  • Students will begin to think about their purpose, audience and context for writing. (day 1)
  • Students will use critical thinking skills and critical reading strategies to become better writers. (day 2)
  • Students will practice writing academic summaries. (days 3 - 4)
  • Students will practice writing different types of response. (days 5 - 6)
  • Students will learn to develop a claim and support that claim with reasons and evidence. (day 7)
  • Students will learn to value revision through workshops and other peer- review activities. (day 8)

Develop Activities to Meet Objectives

Once you've sequenced your objectives within a given time frame, the next step is to create activities that will help students meet each objective. Decide which activities are most relevant to your desired objectives. Take the time to revise existing activities and to create new ones that meet the needs of your class. You may also combine activities or eliminate some that seem less related to your objectives.

Two questions that you should always keep in mind when constructing activities are: "What do my students already know that will help them meet a desired objective?" And, "What activities will best help students meet a desired objective?"

Below is an example illustrating how you might design activities to meet a particular objective:

Objective: Students will use critical thinking skills and critical reading strategies to become better writers.

Activities:

  • Define critical reading and provide a list of strategies on an overhead (this is useful because many students do not know what critical reading is).
  • Model critical reading strategies (show students how to implement critical reading strategies).
  • Have students practice critical reading strategies with their homework.
  • Ask students to respond to an in class writing, describing their experience with the critical reading assignment. Have them speculate as to how this process of critical reading will influence their own writing. As a group, discuss the connection between reading and writing.

Just as you did with objectives, you'll need to create a sequence and time frame for your activities. Which activities should come first? How much class time will each activity take? Planning this out ahead of time will help you create smoother transitions between activities and it will help you connect your activities to larger, writing-related objectives.

The final step in planning lessons is to make time for assessing students' learning. How will you check to see that students understand the new concepts you're teaching? When will you revisit the material that they didn't quite grasp?

Intervention along the way can help you learn what students are struggling with. Many instructors collect homework once a week, or assign quizzes and short writing exercises to assess their students' progress. Conferences and e-mail exchanges are other effective means for gauging students' understanding.

Depending on what you learn from using evaluative measures, you may need to revise your lesson plans. If students' homework indicates that they're having trouble summarizing main points, you may spend the first fifteen minutes of the next class reviewing this concept. Addressing such struggles early on will help students face the more challenging objectives that follow.

Just as you did with objectives, you'll need to create a sequence and time frame for your activities. Which activities should come first? How much class time will each activity take? Planning this out ahead of time will help you create smoother transitions between activities, and help you connect your activities to larger, writing-related objectives.

  • Class Objectives: Write out the goals or objectives for class. Try to limit these to one or two things.
  • Connection to Course Goals: Describe how your daily objectives connect to the overall course goals.
  • Anticipatory Set: Sometimes referred to as a "hook." Use an informal Writing to Learn (WTL) exercise, a question, a quote, or an object to focus students' attention at the start of class. This activity should be brief and directly related to the lesson.
  • Introduction: Write down what you'll need to inform students of the daily goals and class procedures. Be sure to explain how these procedures relate to students' own writing.
  • Procedures: List your activities, including any discussion questions and transitions along the way.
  • Conclusion: Describe the objective for the lesson and point students forward by connecting your objective to their own writing.
  • What to do Next Time: Leave space in your plan to reflect on the lesson and suggest future changes.

The project plan, also called project management plan, answers the who, what, where, why, how and when of the project—it’s more than a Gantt chart with tasks and due dates. The purpose of a project plan is to guide the execution and control project phases.

Your project plan is essential to the success of any project. Without one, your project may be susceptible to common project management issues such as missed deadlines, scope creep and cost overrun. While writing a project plan is somewhat labor intensive up front, the effort will pay dividends throughout the project life cycle.

The basic outline of any project plan can be summarized in these five steps:

  • Define your project’s stakeholders, scope, quality baseline, deliverables, milestones, success criteria and requirements. Create a project charter, work breakdown structure (WBS) and a statement of work (SOW) .
  • Identify risks and assign deliverables to your team members, who will perform the tasks required and monitor the risks associated with them.
  • Organize your project team (customers, stakeholders, teams, ad hoc members, and so on), and define their roles and responsibilities.
  • List the necessary project resources , such as personnel, equipment, salaries, and materials, then estimate their cost.
  • Develop change management procedures and forms.
  • Create a communication plan , schedule, budget and other guiding documents for the project.

What Are the 5 Phases of the Project Life Cycle?

Any project , whether big or small, has the potential to be very complex. It’s much easier to break down all the necessary inclusions for a project plan by viewing your project in terms of phases. The Project Management Institute , within the Project Management Book of Knowledge (PMBOK), have identified the following 5 phases of a project:

  • Initiation: The start of a project, in which goals and objectives are defined through a business case and the practicality of the project is determined by a feasibility study.
  • Planning: During the project planning phase, the scope of the project is defined by a work breakdown structure (WBS) and the project methodology to manage the project is decided on. Costs, quality and resources are estimated, and a project schedule with milestones and task dependencies is identified. The main deliverable of this phase is your project plan.
  • Execution: The project deliverables are completed during this phase. Usually, this phase begins with a kick-off meeting and is followed by regular team meetings and status reports while the project is being worked on.
  • Monitoring & Controlling: This phase is performed in tandem with the project execution phase. Progress and performance metrics are measured to keep progress on the project aligned with the project plan.
  • Closure: The project is completed when the stakeholder receives the final deliverable. Resources are released, contracts are signed off on and, ideally, there will be an evaluation of the successes and failures.

Before we dive into how to create a project plan, it helps to be familiar with some of the terms that you’ll run across. Here is a list of general terms you’ll encounter in this guide.

  • Deliverable: The results of a project, such as a product, service, report, etc.
  • Stakeholder: Anyone with a vested interest in the project—project manager, project sponsor, team members, customers, etc.
  • Tasks: Small jobs that lead to the final deliverable.
  • Milestone: The end of one project phase, and the beginning of the next.
  • Resources: Anything you need to complete the project, such as personnel, supplies, materials, tools, people and more.
  • Budget: Estimate of total cost related to completing a project.
  • Tracking & Monitoring: Collecting project data, and making sure it reflects the results you planned for.

The project planning process is critical for the success of your project, and as a project manager, you have to think about all the elements that make up your project management plan such as work, time, resources and risks.

Now, we’re going to take you through the main project planning steps :

  • Outline the business case
  • Meet with key stakeholders
  • Define project scope
  • Assemble a project team
  • Determine a project budget
  • Set project goals & objectives
  • Outline project deliverables
  • Create a project schedule
  • Assign tasks to your team members
  • Do a risk analysis
  • Create your project plan

By following these project planning steps, you’ll clarify what you need to achieve, work out the processes you need to get there and develop an action plan for how you are going to take this project plan outline forward.

1. Outline the Business Case

If you have a project, there’s a reason for it—that’s your business case . The business case outlines reasons why the project is being initiated, its benefits and the return on investment. If there’s a problem that is being solved, then that problem is outlined here. The business case will be presented to those who make decisions at your organization, explaining what has to be done, and how, along with a feasibility study to assess the practicality of the project. If approved, you have a project.

2. Meet with Key Stakeholders

Every project has stakeholders , those who have a vested interest in the project. From the ones who profit from it, to the project team members who are responsible for its success. Therefore, any project manager must identify who these key stakeholders are during the project planning process, from customers to regulators. Meeting with them is crucial to get a better picture of what the project management plan should include and what is expected from the final deliverable.

3. Define Project Scope

It refers to the work required to accomplish the project objectives and generate the required deliverables. The project scope should be defined and organized by a work breakdown structure (WBS). Therefore, the project scope includes what you must do in the project (deliverables, sub deliverables, work packages, action items ), but also what is nonessential. The latter is important for the project plan, because knowing what isn’t high priority helps to avoid scope creep ; that is, using valuable resources for something that isn’t key to your project’s success.

4. Assemble a Project Team

You’ll need a capable project team to help you create your project plan and execute it successfully. It’s advisable to gather a diverse group of experienced professionals to build a multi-disciplinary team that sees your project management plan from different perspectives.

5. Determine a Project Budget

Once you define your project scope, you’ll have a task list that must be completed to deliver your project successfully. To do so, you’ll need resources such as equipment, materials, human capital, and of course, money. Your project budget will pay for all this. The first step to create a project budget is to estimate the costs associated with each task. Once you have those estimated costs, you can establish a cost baseline , which is the base for your project budget.

6. Set Project Goals & Objectives

Goals and objectives are different things when it comes to planning a project. Goals are the results you want to achieve, and are usually broad. Objectives , on the other hand, are more specific; measurable actions that must be taken to reach your goal. When creating a project plan, the goals and objectives naturally spring from the business case, but in this stage, you go into further detail. In a sense, you’re fine-tuning the goals set forth in the business case and creating tasks that are clearly defined. These goals and objectives are collected in a project charter , which you’ll use throughout the project life cycle.

7. Outline Project Deliverables

A project can have numerous deliverables. A deliverable can be a good, service or result that is needed to complete a task, process, phase, subproject or project. For example, the final deliverable is the reason for the project, and once this deliverable is produced, the project is completed. As defined in the project scope, a project consists of subprojects, phases, work packages, activities and tasks, and each of these components can have a deliverable. The first thing to do is determine what the final deliverable is, and how you will know that the quality meets your stakeholder’s expectations. As for the other deliverables in the project, they must also be identified and someone on the team must be accountable for their successful completion.

8. Create a Project Schedule

The project schedule is what everything hangs on. From your tasks to your budget , it’s all defined by time. Schedules are made up by collecting all the tasks needed to reach your final deliverable, and setting them on a project timeline that ends at your deadline. This can make for an unruly job ahead, which is why schedules are broken into phases, indicated by milestones , which mark the end of one project phase and the beginning of the next.

9. Assign Tasks to Your Team Members

The plan is set, but it still exists in the abstract until you take the tasks on your schedule and begin assigning them out to your team members. Their roles and responsibilities must be clearly defined, so they know what to do. Then, when you assign them tasks from your plan, they should be clear, with directions and any related documentation they will need to execute the tasks.

10. Do a Risk Analysis

Every project has some level of risk . There are several types of risk such as scope risk, technical risks and schedule risk, among others. Even if your project plan is thorough, internal and external factors can impact your project’s time, cost and scope (triple constraint). Therefore, you need to regard your planning as flexible. There are many ways to prepare for risk, such as developing a change management plan, but for now, the most important thing to do is to track your progress throughout the execution phase by using project status reports and/or project planning software to monitor risk.

11. Create your Project Plan

As discussed above, a project management plan is a document that’s made of several elements. Before we get into a detailed explanation of each of them, it’s important to understand that you should include them all to have a solid project plan. The components that you’ll need might vary depending on your project, but in general terms, you’ll need these main documents to create your project management plan:

  • Project charter
  • Project schedule
  • Project budget
  • Project scope statement
  • Risk management plan
  • Change management plan
  • Cost management plan
  • Resource management plan
  • Stakeholder management plan

12. Report Your Progress

Your ultimate goal is to ensure a successful project for your stakeholders. They’re invested, and will not be satisfied twiddling their thumbs without looking at project status reports to track progress. By constructing a work breakdown structure (WBS) during the project planning phase you can break down the project for them so that they understand how your project plan will be executed. Keeping stakeholders informed is important to manage their expectations and ensure that they’re satisfied. Having regular planning meetings where you present progress reports are a great way to show them that everything is moving forward as planned and to field any questions or concerns they might have. Your stakeholder management plan will specify how you’ll engage stakeholders in the project.

1. List Your Tasks for the Plan

Tasks are the building blocks of any project and the start of any plan is identifying all the tasks that lead to your final deliverable.

2. Add Duration and Costs to Tasks

Every task has an estimated duration, which is the time it will take to complete it. They will also require a certain amount of funding, which needs to be collected to formulate your plan.

Add the start and end dates for each task in the Gantt and they populate a project timeline, so you can see the whole project laid out in one place. There’s also a column for task costs.

3. Link Dependent Tasks

Tasks are not always separate from one another. Often one cannot start or stop until another has started or stopped. That’s called a task dependency and needs to be noted in your plan.

Link dependent tasks by dragging one to the other. A dotted line indicates that they’re linked, so you stay aware of the fact and can avoid bottlenecks later in the project.

4. Set Milestones & Baseline

A milestone indicates the end of one phase and the beginning of another, which helps with tracking and morale. The baseline sets your plan so you can compare it to actual progress.

5. Onboard Team & Assign

7. Adjust Plan As Needed

No plan remains the same throughout a project. Things happen and changes are demanded. Therefore, being able to edit your plan easily is key to the project planning process.

What’s a premium, deductible, coinsurance, or copayment?

Part A (Hospital Insurance) costs

Part A costs:What you pay in 2024:

 (because they or a spouse paid Medicare taxes long enough while working - generally at least 10 years). If you get Medicare earlier than age 65, you won’t pay a Part A premium. This is sometimes called “premium-free Part A.”

Do I qualify for premium-free Part A?

You might be able to buy it. You’ll pay either $278 or $505 each month for Part A, depending on how long you or your spouse worked and paid Medicare taxes.

Remember:

for each inpatient hospital benefit period , before Original Medicare starts to pay.

There’s no limit to the number of benefit periods you can have in a year. This means you may pay the deductible more than once in a year. How do benefit periods work?

Who pays a higher Part B premium because of income?

You might pay a monthly penalty if you don’t sign up for Part B when you’re first eligible for Medicare (usually when you turn 65). You’ll pay the penalty for as long as you have Part B. The penalty goes up the longer you wait to sign up.

You pay this deductible once each year.
Usually 20% of the cost for each Medicare-covered service or item after you’ve paid your deductible (and as long as your doctor or health care provider accepts the Medicare-approved amount  as full payment – called “accepting assignment”).
$0 for covered clinical laboratory services.
