Address questions a recruiter might have about you

If you don't have the 'ideal' background for the role, your cover letter is your opportunity to explain why you're a good fit. For example, if you're underqualified, overqualified, or your experience is in a different industry (i.e. a career changer), the cover letter can be your way of showing a hiring manager that you're a good fit, although it isn't obvious just from your resume.

⭐️   If you have an usual background or you're changing careers, use the cover letter to explain how your current skills will translate into the new role.

Change your tone depending on the industry

Use a warm, conversational tone for most non-formal industries, e.g. technology companies, startups, hospitality, etc. For formal industries like banking/finance or legal, use a more formal tone.

Here's how to start your cover letter..

If you can easily find the name of the hiring manager, address it to them directly. If you can't, 'Dear Hiring Manager," is totally fine.

⭐️   Don't assume a hiring manager's gender, so avoid using, "Dear Sir".

⭐️   Even "Dear Sir/Madam" or "To whom it may concern" are considered unnecessarily formal and outdated; stick to "Dear Hiring Manager" if you can't find a name.

Introduce who you are

In the first paragraph, quickly mention what position you're seeking. Examples: - I'm excited to apply for the X role. I'm confident that my background and expertise would serve Y well and leave a lasting impression in your ABC department. - I am excited to apply for the position of X at Y. - I've been following ABC Corp for years and recently saw that you're looking for an X to join the Y team. - It’s with great enthusiasm that I am applying to be your next X.

⭐️   Don't overthink the opening line, it doesn't need to be that creative!

⭐️   Don't say, "My name is…" - your name is already at the bottom of your resume!

⭐️   Use the job title that was used in the job posting

Mention how you found out about the opening (optional)

If you heard about the company/job in an interesting way (e. g. through a personal connection, networking event), include it here. For example: I recently attended the AcmeCorp Graduates Webinar, and I was thrilled when ABC’s CEO mentioned there was an opening for a project manager role on the Maps team. I believe this position is an excellent fit for my background and interests.

⭐️   If you found out about the posting on Indeed or while mass applying to jobs, that's fine too! You don't always have to have a creative story for applying to a company - just say you were excited to come across the opening.

⭐️   Try to show personality in your cover letter by using phrases like, "I'm excited" or "I was thrilled"

Use two to three paragraphs to discuss why you are a good fit for the role,

This is a common structure that you can optionally use when writing your cover letter. The most important is why you're a good fit for the role (why you?) while the next paragraph is

Describe your accomplishments while weaving in your soft skills

Show, don't tell. Explain how you have demonstrated the soft skills the job/industry requires by using real examples from your experience. Avoid just saying "I have great attention to detail and exceptional communication skills." State specific examples which demonstrate this, whether that's writing up a 100 page report for the management team, presenting to key stakeholders, etc.

⭐️   Where possible, use numbers and metrics to make your accomplishments more impressive. Did you increase revenue? Decrease costs? Improve % efficiency?

⭐️   Avoid arrogant hyperboles, like "thought leader" or "expert"!

Personalize your skills to the job description

Review the job description and highlight keywords and skills that are clearly very important for the role and industry. Use them in your cover letter.

The conclusion is a simple one or two liner. Examples: "I'm confident that my skills and experience would be a great asset to ABC Corp, and I'd love to chat with you about the role in more detail. "I’d be thrilled with the opportunity to learn more about the role, and would love to talk to you about the contributions I can make at the ABC Corp. ⭐️   You can also briefly restate why you're a good fit for the role with an additional sentence (e.g. I'm confident that my passion for X and Y will make me a great addition to the Z team, or I'm confident my X and Y skills will allow me positively contribute to a project team at Z)

End the letter with your name and contact details

A simple signature works fine: " Sincerely, [Your name] +1 234 56789 [email protected] LinkedIn URL"

Before you send off your cover letter.

Keep your cover letters to around 200 - 300 words. Lengthy cover letters are less likely to be read.

⭐️   In terms of page length, keep it to 3/4 of a page to one page. Two pages is often too long (unless a longer cover letter is explicitly asked for)

No spelling or grammatical errors

Spelling errors are a strict no-no. Make sure you have triple-checked your spelling and grammar.

⭐️   Also ensure you have correctly spelled industry standard terminology.

Sufficiently personalized

We get it. Writing a unique cover letter for every single job can get pretty tedious. However, recruiters can easily tell when a cover letter isn't personalized at all, so you want to sufficiently personalize your cover letter to the position. That could be adding in a few sentences about the company's culture and how that relates to you, or highlight a few specific skills from the job description.

⭐️   Here are two tests to figure out if your cover letter is sufficiently personalized: 1) Can you swap out just the company's name for a totally different company and everything still fits? If so, it's probably too generic. And 2) Can you imagine other applicants sending the same letter? If so, it's likely not personalized enough to you.

Before writing a cover letter, make sure you have a clear understanding of the goals or objectives for the letter. These objectives include:

  • Introduce yourself and your resume
  • Explain your experience in more detail by providing pertinent stories or experiences
  • Provide a sample of your written communication
  • Hook the reader so they will want to read your resume

Personalize Your Cover Letter

Cover letters should be personalized as much as possible. Never send out the same cover letter twice. It may require you to do some research and to reach out to your network to make connections and introductions. Here are some things to include.

  • Make sure you tailor your letter to a specific individual and greet them by name.
  • If you don't have a name, then consider skipping the generic salutation.
  • Try to include details specific to the company or the position.
  • Provide a reference about how you heard about the job. This may include the date of the newspaper post or the online job reference number.
  • If you have had prior contact with the recipient, remind them of it in the introduction.
  • Be sure to mention any third parties that are recommending you or referring you for the position.
  • Consider listing the job you are applying for in a subject line.

The main body of the cover letter should have appropriate content. Don't use it to simply recreate your resume. Pick 3 or 4 key traits, skills or attributes you really want to highlight and focus on those. Consider picking traits that may be most appropriate based on the job listing. Use experiences, stories and results to demonstrate your use or possession of the traits or attributes.

Make sure you end with a strong closing that is short and to the point. The time for details and stories has passed. Consider inviting them to read your resume and include a request for a response or an interview. You may decide to keep the ball in your court and simply inform them you will follow up with a phone call. And be considerate and thank them for their time.

  • Use a formal business letter structure - You are writing a letter, not a memo or email. Use a formal business letter template .
  • Avoid bad grammar and spelling. - Poorly written and edited letters can kill your chances before they even look at your resume. Consider hiring a professional to edit your cover letter.
  • Don't sound desperate - Avoid sounding desperate by avoiding phrases such as "I really need this job" or "I hope you pick me".
  • Use formatting wisely - Use formatting such as bullets, italics, bold and font changes to draw attention to key items and to increase readability.
  • Avoid anything negative - Honesty about issues or special circumstances you face is important, but you don't have to mention it in your cover letter. Use interviews to provide these details.
  • Keep it short - Your letter should highlight and demonstrate, not bore and wander. Keep to the main points and be succinct.
  • Don't mess up in the delivery - Make sure your letter looks correct when printed. Consider using nicer paper for actual letters. When sending electronically, send it as a PDF since almost everyone has software to read a PDF file.
  • Avoid uncommon language - Avoid terms that are specific to past employers and not used my most people. This would include acronyms and company jargon.

  • I'm going to give you sections of the job description to read and you're going to generate a strategic plan for the cover letter based on my answers from step one and the job description for me to approve.
  • I'm going to give you a news item about the company. Read it and tell me how you plan to connect it to my cover letter application.
  • Use this format to write the cover letter:
  • Begin with the news item based on my approval of your strategy. Conclude paragraph one: "When I came across this role, I knew it was the role for me. Let me tell you why."
  • The next two to three paragraphs should be my career history with clear connections to the position requirements and desired skills. Make sure to say somewhere, "As your [position title], I'll," and include some of the initiatives.
  • Wrap up with the following sentence, "I'm excited and looking forward to hearing from you."

If we exceed your token limit, let's use "strawberry" as our focus word so you can get reoriented. 

Please begin by summarizing what you think I want you to do."

If you're making a pivot in your career, remove this line from the prompt: " I have [#] years of experience ," and replace it with " I'm making a career transition from [industry] to [industry] so the cover letter needs to heavily showcase how my previous experience is an asset to [Company]. "

And add this to the first task: "Make another question about how I think my previous experience is an asset to this new industry."

Step 2: Check for understanding

ChatGPT should create a summary of this plan. Check that the summary is accurate. If it is, reply with " next step " or " yes ."

If ChatGPT gets confused, open a new chat and repaste the prompt.

Step 3: Answer the career questions and have ChatGPT generate a career summary

The bot should provide you with the 15 career questions. Each answer should be two or three sentences long. You can go over for one or two questions, but be wary of potentially hitting the token limit. 

Once you've answered all the questions, add this sentence and press enter:

" Please create a detailed summary of my responses that I can paste into ChatGPT so I don't have to answer all these questions again if I need to generate another cover letter. "

Copy and paste the summary into another document to use for other applications. 

Step 4: Input no more than 2,500 characters of the job description

Copy and paste only the pertinent details from the description into ChatGPT and delete the fluff. Keep skills and competencies, responsibilities, the role overview, and a little about the company if you think it would be helpful.

Step 5: Paste in a company press release or industry-specific news story

Once ChatGPT gives you its plan, decide whether you agree with its intent. If you do, indicate that you want to move forward and press return or make a change. 

With any AI tool, you must be an editor and strategic advisor. Do not assume that what it's generated is the right path. Exercise critical judgment and get ChatGPT to refine.

For example, after I provided the article, ChatGPT presented me with a summary that didn't highlight key issues on how Canadian media companies think about content. I gave it instructions to refine it.

Step 6: Generate the cover letter and revise it with ChatGPT

Once you've approved its strategic approach, ChatGPT will generate the cover letter. 

It will generate a first draft but probably won't be ready for use yet. It's your job now to go back in and revise using specific instructions.

For example, I felt that the third paragraph ChatGPT generated was weak.

Direct it with specific changes to adjust particular paragraphs and go back and forth for a few rounds until you're happy.

And it generated a much stronger attempt.

Step 7: Put it into a text editor

ChatGPT has a suboptimal understanding of grammar and syntax. Once you're happy with the content, put your text through Grammarly to help tighten up the language and avoid problems like using the passive voice.

Step 8: Rinse and repeat with modifications

You can use the same root prompt for future cover letters, but replace step one with this:

"I'm going to paste in a summary of my work experience. Please write me a three-sentence summary of what type of work I do and what you see as my top accomplishment so I can check for understanding."

Based on the previously generated summary, you'll double-check that ChatGPT has a good idea of what you do. If it's missing a few key details, fill it in on those or tell it which summary you want it to prioritize before you move through the rest of the prompt.
