What is ATS?  Simply put, Applicant Tracking System software (ATS) became an integral part of the recruitment process after the explosion of the internet led to sharp increases in online job applicants.

ATS will scan your resume, searching for keywords by recognizing your resume formatting. For this reason, it’s critical that your medical assistant resume matches ATS standards, lest your application gets thrown out without ever being reviewed.

Beat the ATS with these tips:

  • Margins : Margins on all sides of your resume should be between 0.5-1.0 inch.
  • Fonts:  Stick with basics like Arial, Calibri, Cambria, or Times New Roman.

On the other hand, resume summaries focus on skills and specializations developed throughout your career. Consider adding a resume summary if you’re a seasoned medical assistant with 10+ years of experience. 

If you decide to include a resume summary or objective, you’ll need to commit to customizing it for every job to which you apply. Let’s review some great examples of highly-specialized resume summaries and objectives.

Example 1—A poorly written objective:

Want to improve my career prospects with a job that will get me experience in the medical field. 

What we don’t like: This objective contains no specific details. It should include the job title you’re seeking, one to three specific skills that will help you contribute to the work environment, and the business name to which you’re applying. This objective consumes precious space on your resume without providing any useful information.

Example 2—A strong resume objective: 

OSHA and HIPAA-compliant medical assistant with 6+ years of proven experience serving 100+ daily patients in fast-paced ER environments. Seeking an opportunity at Trinity United Healthcare to continue serving patients and medical staff in the Pediatric Orthopedics department, where my efficient workflow and compassionate care management can help ensure more patients are served per hour. 

What we like:  Specific skills, years of experience, job title, hospital name, and work contributions were mentioned. A resume objective like the one above and the visual sample below deserve the space they take up on your resume.

Example 3—A poorly worded summary:

I have years of experience working well as a medical assistant.

What we don’t like:  Like the first objective example, this summary provides little substance. It’s vague and short.

Example 4—A strong resume summary:

Detail-oriented medical assistant with 20+ years of experience in clinics and hospitals across Idaho, with a depth of knowledge of HIPAA, ERM software, medical terminology, and Microsoft Office. I enjoy working in fast-paced environments that enable me to improve patient comfort, physician efficiency, and operating systems.

What we like:  This summary gets right to the point, discussing some of the most valuable skills a great medical assistant will possess while highlighting years of work experience and how they would add value to the business.

Your work experience section should include two to four positions you’ve had throughout your career. That means, if you’ve been a medical assistant for many years, you don’t need to include information about the job you had in high school. Instead, focus on the most recent 10-year period, and narrow that list to the most relevant.

Note: if you’ve just entered the workforce, there’s nothing wrong with highlighting less relevant job experience or even class projects and volunteer experience, but we’ll touch on that later.

Writing your job description bullet points

Chunking your job description text with bullet points is a great way to enhance readability and reduce a visually dense or overwhelming resume.

While writing bullet points , focus on:

  • Action verbs:  Start each bullet point with strong, unique verbs such as “Outperformed” or “Overhauled.”
  • Active voice:  Avoid passive voice. A passive phrase, like “the IV was inserted by the R.N.,” is less interesting than active language, like “the R.N. inserted the IV.”
  • Avoid personal pronouns:  The employer knows your resume is written about you! 
  • Either using punctuation or not:  When you start writing your bullet points, you can leave periods at the end of your sentences or skip them. Whatever you choose, be consistent. 
  • Verb tense:  Though you can keep your current experience in the past tense, ensure all your past work experience is written in the past tense. 

Here are a few medical assistant bullet points that incorporate this advice:

  • Overhauled clinic software operations, integrating Meditech EMR to boost office operation efficiency. 
  • Initiated HIPAA-compliant integration into Microsoft Office scheduling systems. 
  • Outperformed efficiency targets, reaching more clients to confirm appointments and follow up on visits than any other M.A. 

We like these bullet points because they use active voice and action words while avoiding personal pronouns such as “I” or “my,” and they have consistent punctuation written in the past tense.

Quantify your medical assistant impact 

The only thing our above bullet point examples are missing is quantifiable metrics (numbers). Numbers are an essential element in your medical assistant resume, and you should aim for at least 50 percent of your bullet points, including them. 

Why are metrics important? 

Numbers positively impact your resume in two ways. First, the visual interest helps break up text and draw in hiring managers’ eyes. This is critical, as it will encourage them to read your resume more thoroughly. Second, numbers are impressive because they demonstrate your proven job performance. In the context of your medical assistant resume, numbers say a thousand words. 

Here are a few places you can leverage metrics from your medical assistant work experience:

  • Consider highlighting your organizational skills by noting the number of patient records you’ve organized. You may also wish to discuss the number of patients you call per shift, the size of the hospital you work for (volume of patients, number of physicians, etc.), or the percentage of patients who gave you positive reviews. 
  • Highlight how you’ve improved workflow as a medical assistant. Perhaps that means you’ve provided hundreds of appointment confirmations, reducing gaps in physician schedules? Or maybe you reorganized E.M.R. software, resulting in increased capacity for patients?
  • Including metrics about your administrative duties isn’t too hard. Think about the percentage of total office insurance forms you processed, the number of appointments you’ve scheduled per shift, referrals you’ve written, or the types of electronic medical records software you’re trained to use. 

Here are a few examples of job description bullet points that would work well for any medical assistant resume.

  • Automated 6 clerical functions, including processing insurance forms and filing medical records
  • Scheduled 30+ daily patients for diagnostic testing and follow-up appointments to ensure completion of testing
  • Overhauled and maintained EMR by performing 100% of order reconciliations, secure messaging, and other tasks

One of the most under-utilized sections on most resumes is the skills section. Many medical assistants don’t realize that this section is essential for catching the eye of ATS. The summary of qualifications section will outline the general skills and qualifications you have that will permit you to start your medical practice job – without additional specialized or advanced training. This section will outline your specific qualifications relevant to the job you're hoping to obtain.

For example, in our sample resume above, you can see that our candidate is applying for a medical office clinical medical assistant position. As such, she has explained in this section some of her task-specific qualifications, including:

  • Preparing outpatients for examinations.
  • Taking vital signs and charting medical history.
  • Collecting and proper handling of lab samples.
  • Administering medication as directed by the attending physician.
  • Preparing insurance forms and other patient records.
  • Maintaining medical records.
  • Certified Medical Assistant (CMA) from the American Association of Medical Assistants in the State of Massachusetts.

The formatting for the Summary of Qualifications is precisely that – a structured summary. It's best practice to list your qualifications in bullet point format. This makes it easier for the hiring manager or recruiting firm to review – but also – easy for the tracking software often used in firms to retain.

Bonus Tip:  If you carefully review the job posting, it will guide you to list the qualifications that should be listed on your resume. Most postings have a Qualifications section – so review that and add ones that apply to your background.

Section #4 – Relevant Work Experience

If you're writing a resume for a medical assistant with no experience or have years of expertise, the relevant work experience section is a crucial component of your candidacy. This section of your resume will provide evidence or support to your claims listed in an application, cover letter, or resume overview.

Relevant work experience is defined as a previous job or position where you've showcased the same skills or duties that a medical assistant (in the specialty of your choice) would complete in the job they seek. For those with previous experience – list some of the tasks you were asked to complete within this section.

The sample resume above shows you how this should be completed. You can see that Francine has listed two previous clinical medical assistant positions in this section. If the candidate has not been a medical assistant prior – they should select jobs in which they've completed relevant tasks.

This would include an internship or training program. If you don't have that type of practical experience, select two jobs where you've showcased leadership and/or people interaction skills.

Employment history should always start with your recent or current position. Each corresponding entry should be listed in chronological order. Always make sure to list your employer's name, the dates of employment, and critical areas of responsibility or accomplishments.

Section #5 – Education

The education section on a medical assistant's resume will be simple. This area of the MA resume intends to document the highest level of education completed. It is not intended to display what you are currently working on with education. That information would be listed in a cover letter or during your interview.

Medical assistants require certification vs. education in most situations. So, the employer will need to know what education you've completed. You'll list the applicable required certifications in the section below.

With a medical assistant resume, you'll want to list the name of your completed degree, the school's name, location, and dates of attendance.

Section #6 – Certification

Depending on the type of medical assistant job, the position may require professional certification. This is much different than serving as a doctor, registered nurse, or other technical position – where there are national standards and licensing requirements. Unfortunately, there are currently no broad-scale certification standards for all medical assistants.

However, several accredited organizations offer certification or licensing courses. Most of these are 8 to 16 weeks in length and will provide expert training on fundamental skills. However, there are five recognized certification organizations, including:

  • Certified Medical Assistant (CMA) from the American Association of Medical Assistants
  • Registered Medical Assistant (RMA) from American Medical Technologists
  • National Certified Medical Assistant (NCMA) from the National Center for Competency Testing
  • Certified Clinical Medical Assistant (CCMA) from the National Healthcareer Association
  • Certified Medical Administrative Assistant (CMAA) from the National Healthcareer Association

You'll notice that most of these certifications are for clinical medical positions – which require the candidate to perform essential medical services. Other administrative jobs, such as medical billing and coding, may also require a license or certification.

This section should be formatted exactly as the education section above. The sample resume section posted above shows how our hypothetical candidate has added her certification.

Section #6 – References

An excellent reference can be a tie-breaker when multiple candidates are equally qualified. The purpose of a reference is to support your experience as a medical assistant. We strongly recommend selecting two professional references for these positions and one personal reference. The professional reference should be a former employer or manager – while the personal reference should be a family friend or mentor.

How to Format This Section

The best practice for listing references on a resume is to protect their privacy. List their full name, their place of employment (or where you know them from), and the phrase "available on request." Make sure you have their accurate contact information – so if a hiring manager asks you, you can supply the information.

Section #7 – Skills

The skills section is optional for a medical assistant resume. Quite frankly, you've listed the relevant qualifications earlier in the resume, which will be more applicable for this type of position. However, if you are using a resume builder or template, you can list five to seven of your top interpersonal or soft skills.

Using a resume builder allows you to format the skills section in different locations. For example – the template we've used for our candidate allowed us to list her soft skills in the sidebar of the resume. This saves valuable space on the resume and provides a professional look.

Step 1: Earn Your High School Diploma

The first step to enrolling in the Medical Assistant Program is to earn a high school diploma or equivalent. Step 2: Explore Post-Secondary Training Programs

There is no formal education required to become a medical assistant, but most employers like to know you have some official training, and some states require training through an accredited program.

There are a number of medical assisting programs out there, so choosing the right one may be difficult. When making this decision, you might take into account the length of the program, the cost, the availability of financial aid, and the opportunities for hands-on practice. You should also make sure the program is accredited.

At UEI College, we encourage each prospective student to come in for a tour of our campus. During the tour, you'll have the opportunity to ask questions, meet instructors and see the labs where our students practice their clinical skills. Step 3: Complete a Medical Assistant Training Program

Once you have explored a few programs and feel confident with your choice, the next step is to complete the training. New classes begin monthly at UEI College, so you don't have to wait to get started. Step 4: Put Your Knowledge into Practice During an Externship

The best way to practice new skills is by doing. That's why an externship is so valuable for a medical assistant student. During this 180-hour externship, you'll work in a real healthcare facility, doing the job of a medical assistant under the supervision of a physician or another medical assistant.

This real-world experience is not only valuable for practicing skills, but it also provides students with contacts in the field and experience that can be listed on a resume. At the conclusion of the externship, students should feel confident that they have the skills and knowledge necessary for any entry-level medical assistant position. Most states do not require a formal certification to work as a medical assistant, so you can begin your job search right away, but when you are entering a competitive job market, many employers like to see that you are officially certified. What Skills Do You Need to Become a Medical Assistant?

Medical assistants work on a wide variety of tasks and interact with every person within a healthcare facility. That's why the job requires a good mix of hard and soft skills. Hard skills are the day-to-day field-specific skills that are necessary to do the job. Soft skills are the personal characteristics that make you a good fit for the position.

Medical assistants working in the front office must be able to:

  • Schedule appointments
  • Send prescriptions to the pharmacy
  • Track medical supply inventory
  • Update and maintain patient records
  • Complete tasks on a computer

Medical assistants in the back office need to know how to:

  • Record patient vitals

Medical assistants are needed in a variety of healthcare facilities, from doctor's offices and hospitals to pediatrician's offices, chiropractors, OB-GYNs, geriatrics, psychiatric and more. These facilities exist in all parts of the country, meaning there could be an opportunity to find work as a medical assistant in any state and any part of the state.
  • Provide direct service to patients. Medical assistants work directly with patients, checking vitals, scheduling appointments, and preparing them for their exams with a physician. They are often the first listening ear that a patient encounters and may therefore become a liaison between the physician and the patient.

Do Medical Assistants Need a License in my State?

In general, a medical assistant is an unlicensed position. Different states may have different requirements for certifications.

Arizona does not require medical assistants to be licensed, but the state does require that employers check, before hiring, that an applicant has completed an accredited training program. If an applicant has not completed a training program, they can also qualify by passing a certification exam.

The state of California does not require medical assistants to be licensed or registered, but most employers like to know that employees are certified before being hired. The California Certifying Board for Medical Assistants provides state-specific certification for medical assistants.

Georgia, Nevada, Texas

Georgia, Nevada, and Texas do not require medical assistants to be certified, but those who are certified will have an edge over their competition when it comes time to hire. National certification is recommended.

The state of Washington requires all medical assistants to be licensed and certified. Applicants for a medical assisting license in Washington must provide proof of completion of an accredited program and pass a certifying exam. If a person has completed a training program but has not passed a certifying exam, they may qualify for an interim certificate for one year or until they pass the exam. Do Medical Assistants Perform Hands-on Training?
