If you download or purchase a digital planner outside of the in-app Marketplace, here are the steps to import a digital planner template into Goodnotes:

• Find the planner template file you want to import. It needs to be a PDF, JPEG, or .goodnotes file
• Open Goodnotes on your iPad.
• Tap the "+" icon in the bottom right corner to create a new notebook.
• Tap the three dots in the top right and select "Import" from the menu.
• Select the file you want to import from your files app (e.g. Dropbox, Files, etc).

You can now start using your imported digital planner template within Goodnotes. Any edits or notes you add will be automatically saved.

How do I use digital stickers with my planner? 

Many digital planners will come with a sticker book at the end. Here are 3 ways to use them in Goodnotes:

• Copy and paste
• Open two Goodnotes windows side-by-side, with one side showing your planner page and the other the sticker book. You can then drag and drop stickers directly into your planner! 
• Circle each sticker to save them as an Element. Then, when you want to use the sticker, simply open up the Elements picker and insert!

Do I need an iPad to use a digital planner? 

Not necessarily! At the basic level, all you need is a tablet, a stylus, and a note-taking app. 

That being said, the majority of digital planners on the market are designed to be used with Goodnotes on the iPad.

How to make a productive time block schedule in goodnotes + free goodnotes planner template.

• Estimating how long a task takes will take some practice, so build in some flex time between tasks. If you think something will take 30 minutes, schedule it for 45 to 60 minutes.
• For some extra accountability, show someone your very exciting new schedule, such as myself. Please send me a screenshot so I can drool over your schedule too!
• Scheduling doesn't suddenly mean you only do ~productive things~ and can't watch Netflix anymore. But you gotta schedule it in and be honest with yourself. Schedule in "free time" or something of that sort, so it looks a little less dysfunctional than "Netflix" on your schedule. Or maybe you're allowed to watch Netflix in the blank spaces between scheduled blocks. Up to you.
• Try to be specific in your listed tasks. "Work on Etsy shop" or "study biology" is not specific enough. "Come up with 10 ideas for new products" is good. "Take notes on chapter 17 of anatomy" is good. This also cuts down on the time at the beginning of each block figuring out what you're supposed to do within that category.

GoodNotes templates allows you to go paperless and still enjoy the pen and paper style but enjoy the flexibility of being digital.

So let's jump into the amazing world for digital planners and GoodNotes templates!

Getting Start With Digital Planning

You only need a few things to get started. 

• Tablet. iPad's, including the iPad Pro, Air, or regular model, are most popular in the digital planning world but you can also use an Android device.
• PDF markup / Annotation app. There are a number of options here and it depends on what device are you using. For iPad users, we suggest the GoodNotes app as it is the most popular option. Xodo is a great option for Android users.
• Stylus such as the Apple Pencil. You can use other stylus' besides the Apple Pencil such as the Logitech Crayon.
• Digital Planner. We offer pre designed digital planners and GoodNotes templates for all kinds of facets of life.

Today, we are going to focus on digital planning on an iPad with the GoodNotes app.

How to use your GoodNotes planner

As we mentioned, GoodNotes, which is a note taking and PDF markup app, is one of the best apps to use your digital planner. It's loaded with features and easy to use. Getting started is easy.

• You need to import your digital planner into GoodNotes. To do this, open the digital planner file and click the "Share" menu and then select "Open in GoodNotes".
• The planner will open in GoodNotes and now you can begin planning!

Common questions when using GoodNotes

Q: What exactly is GoodNotes? A: GoodNotes is a note taking app and also a PDF markup tool. You use your stylus to write notes like your tablet is a piece of paper. It mixes the pen and paper style with the benefits of being digital.

Q: How many GoodNotes templates can I have? A: That's the great thing, as many as you want! We offer a variety of different GoodNotes templates for you use. GoodNotes is now free and lets you have 3 notebooks and you can make a 1 time payment to unlock unlimited notebooks.

Q: How do I click on links? A: In order to click on links in your GoodNotes template, you have to be in the "Read-Only Mode" which is located in the top right corner of the app. The icon looks like a pencil. You toggle this to go from Read Only where you can click links, to writing where you can work.

Q: How do I navigate to certain pages? A: There are a couple of ways to navigate your digital planner. 1) You can use the navigation links mentioned in the above question. Your Boss Personal Planner is filled with hundreds of links to help you move around the planner. 2) You can bookmark pages you frequent often. The bookmark button is the ribbon icon in the top left corner, once clicked, it will be red to indicate the page is bookmarked. Then, you can click the navigation icon (4 squares in the top left) and go to the "Favorites" tab to view your bookmarked pages.

Q: Can you type in GoodNotes templates? A: Yes! In your toolbar, there is a text icon that allows you to add text. You can type multiple ways as well. You can use the on-screen keyboard, you can use a wireless keyboard attached to your iPad, or you can write with the stylus and it will convert it to text.

Q: Can you duplicate pages?  A: Yes! There are 2 ways to achieve this. 1) Click the ellipsis (...) icon in the top right corner and then select "Copy page", next, go to where you want the page, click the page icon with a + sign in it, select either "Before" or "After" and then "Paste Page". Method 2) Click the 4 square icon in the top left, find the page you want to duplicate, click the menu arrow next to the page (v), then duplicate. The page will duplicate and you can move it wherever you want in the planner. 

Can I get a free GoodNotes template?

Actually, yes you can! We do offer a free mini planner that is a great way to get started with digital planning.

Using Custom Templates for Productivity and to Plan Your Life

Earlier this spring I made a radical departure from my normal productivity tools.

I began using just my iPad along with a set of custom templates.

The New “Hybrid” Method?

For years I have used what I call my Hybrid Productivity Method (I call it that because it combines both digital and analog tools to help me manage my tasks and my time).

And, over the years, I’ve developed my own templated structure for how I am able to map out and focus on the things I need to do.

My personal templates help me focus on my month’s goals, my week’s goals, my daily tasks and schedule, and my weekly reviews.

In 2019 I also began using a customized daily habit tracker that I developed based on some inspiration from my friend James Clear.

The aforementioned templates that I use on a regular basis include the following:

Now, normally all of the above goes into my Baron Fig Notebook.

And I draw each page template out, by hand, when I need it for that day / week / month / etc.

But, let’s be honest: Not everyone wants to hand-write their monthly / weekly / daily goals out. And, it’s not easy to remember the templates and start from scratch every month and week.

So, I also created several of the above templates as PDFs and have included them as tools and references for folks who sign up for our productivity course.

And so, all of this to say… when I realized that I had these PDFs on my iPad already, I figured it would be fun to use them digitally.

So I imported them into GoodNotes as my own set of custom page templates…

And that, dear reader, is how I began using a fully digital productivity workflow that is based on my hybrid method.

Building Your Own Notebook (with Custom Digital Templates)

Below is a screenshot of what it looked like in GoodNotes after I imported each of my PDF productivity templates. I set them up in their own group that I named Shawn’s Planners .

With my new templates in place, I then created a new notebook in GoodNotes and titled it with a similarly original and unique name: Shawn’s Planner .

GoodNotes makes it incredibly simple to use these custom page templates within your notebook.

You can literally build your own Notebook as you go by adding pages on the fly and changing the template of any page to the one you want to use (from any of the custom ones or using the built-in page templates that come with GoodNotes, such as a dot grid layout).

In a minute, I’ll share about why this build-your-own approach is so great, but first I want to explain what my day-to-day workflow looks like with GoodNotes on the iPad.

My Task and Time Management Workflow: Using GoodNotes Alongside Things

I start my weeks and my days by opening up Things and GoodNotes side by side in split view.

I love how the iPad enables this simple, focused workflow thanks to its multitasking and split view features.

For my weekly plan — which I usually do on Sunday afternoons or evening — I use the Upcoming view in Things to see all the upcoming tasks and calendar events that are due in the next week or so. I will then reference those as I fill out my Weekly Planning template in GoodNotes and map out my areas of focus and my most important goals for the week.

Then, for my daily planning, I use the Today view in Things in order to review any tasks that are due today along with any events that I have on my Calendar.

With that in view, I will then hand-write my day’s plan into GoodNotes. Listing out my most important goals for the day, along with my schedule of when I’ll be working on them.

After a few days, my Planner in GoodNotes began to look like this:

As you can see in the screenshot above, the notebook starts out with a Weekly Planner page, then several daily planning pages, and then a few dot-grid pages thrown in the mix during times where I needed to flesh out an idea or jot down some notes. Finally, it goes back to some daily planning pages, and then the weekly review page.

What’s Great About Using Digital Templates

Regardless of the tools used — analog or digital — there are some very distinct advantages to this approach of hand-writing out your tasks and time management.

For one, it takes more time. Yes! That’s a good thing. It forces reflection and thoughtful considerations.

Secondly — and this is the big one — by mapping your tasks to your schedule, you're able to set aside the time you need to do what matters. I just cannot overstate how powerful this is as the fundamentally most predictable way to get important things done consistently.

In short: Your to do list should exist on your calendar.

Why not use a pre-printed notebook, Shawn?

Great question! Pre-printed notebooks help save time and energy because the “template” for what you need to fill out is already in place.

But I have never been a fan of pre-printed planners because they they are too constricting for me.

I like my ideas to have opportunity to spread out when they need to. That’s why I love jumbo-sized notebooks with dot-grid pages. On one page I can have my daily plan, and then on the next page an outline for a new article idea I have. And then the next page has notes from a phone call I was on. And then the next page I can begin the next day’s plan... Etc...

By using GoodNotes along with my custom templates, I can literally have the best of both worlds:

• Pre-designed page templates that are exactly what I want to use. I can use these to save myself time and energy.
• Complete flexibility with the order and design of each page. I can use whatever page template I need, whenever I need. And then if I want, I can rearrange those pages later if I’d rather keep them to be in a different order.

A bonus advantage with GoodNotes is that I can export individual pages (or groups of pages) as PDFs or images. This way I can take my weekly reviews and monthly habit trackers and save those directly into Day One as a sort of final resting place along with any additional notes I want to add.

GoodNotes also has very impressive handwriting recognition (OCR). You can use that OCR to convert your handwriting into plain text and to search your notebook(s).

There are a lot of advantages to doing things digitally...

• Everything is on one device.
• Everything is searchable, thanks to OCR.
• You can have years worth of archives all in one spot, at your fingertips.
• You can quickly share notes, ideas, sketches, etc. with anyone by exporting a page.
• You can move things around easily (i.e. if my day’s schedule needs to be rearranged, then I can literally just move what I’ve written or erase it and write something new).

This digital planning workflow is very cool and flexible. It has a lot advantages and is a great example of just how powerful and diverse the iPad can be. (And with the major enhancements to Apple Pencil support and draw latency in iOS 13, this toolset combo is only getting better over time.)
