For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Example of great presentation structure and delivery

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

A presentation structure includes an introduction, context, main body, conclusion, and scope for questions. Depending on the type of presentation you’re doing, this format can change. The article discusses various considerations for each section of a presentation structure.

For presentations to be understood and create a good impression, they can’t be haphazard. It has to have some sort of pre-planned presentation structure that is both logical and simple enough. Depending on the type of presentation you’re doing, there are likely some basic frameworks available that people tend to follow. Before we delve into the format, let’s consider key points to consider when planning a presentation.

How do you structure and plan a presentation?

We plan a presentation by considering the type of presentation, who our audience is, ideating the purpose, and formulating subtopics through research.

Consider the type of presentation

This leads to understanding the ideal flow to convey your content best. For instance, for persuasive presentations, you could use creative ways to convey what is best about a product, such as starting with a story about how it has helped many people achieve something.

On the other hand, for a progress presentation at your workplace, you might have conventions about what is expected, which must be followed precisely.

A few other types of presentations include:

  • Informative presentations
  • Instructive presentations
  • Motivational presentations
  • Analytical presentations

You might also want to consider if you want audience interaction and put that into the structure accordingly. While some allow questions mid-presentation for smaller audiences, it is typically left towards the end.

Consider your audience’s knowledge level and interests

This will determine if you can assume a particular knowledge base and not include it in your presentation structure or if you have to start off with basics and build up on that.

For instance, if you’re teaching 1st-year students about something, you might start with basics. But for graduates, a similar format would be unnecessary as they might have already learned about it.

Similarly, if your purpose is to deliver something entertaining, knowing about the interests and values of your audience helps a ton.

The most simple way is demographics. It’s typically quite easy to find out the expected age group, gender, etc of the audience. This information can help you have a basic idea of the sort of experiences they go through, which helps formulate an understanding.

Consider the purpose of your presentation

While this may seem obvious, many of us lose track of the main purpose and spend too much time on remotely related content. This diverts attention from the topic and might even cause boredom.

For example, if you’re advocating for some social action, it would be beneficial to stay on the topic itself, like the pros, cons, what can be done practically, etc. Instead, if the presenters spend more time criticizing others, the presentation will fall short of its purpose.

Few other examples of different purposes your presentation could have:

  • Entertainment
  • Providing information
  • Telling your story

Research your topic and start noting down the subtopics

Skip this if you already know exactly what needs to be a part of your presentation, and plan to include just that. The best presentation format is one that includes the introduction, context, main body, conclusion, and questions.

Here, we will discuss a template or structure for a typical presentation.

Introduction

  • Greet the audience and introduce yourself, e.g., what you do and why you’re here
  • The purpose of your presentation
  • The flow or outline gives a sense of what they can expect
  • Depending on the topic and audience, you might have to provide more or less context about your topic
  • This could include a brief history, terminologies, the current market status, the current status of the field, etc.
  • Includes the full depth of the primary purpose of the presentation
  • All major chunks of data, including examples, evidence like research studies, etc, are included here

  • Thank your audience if they have been a good one
  • Take questions and encourage healthy discussion

5 Ways to Structure Your Presentation

The five ways include ordered, problem-solution, comparative, storytelling, and demonstrating structures.

1. Ordered Structure

The presentation follows a logical sequence starting with an introduction, main points, and then conclusions. This is what this article has focused on, as it’s the most straightforward method and tends to be very clear for the audience. However, for presentations that do not follow a clear progression, this may not be useful.

2. Problem-Solution Structure

This is useful when persuading the audience. You explain the problem (+ its importance and impact) and then provide a solution that motivates the audience to take it. This could be in the form of a product, a particular method of communication, some technical thing, etc. There should be a decent amount of time spent on the benefits of the solution as well as the exact “How?” to implement it to make the audience convinced. It helps to address any questions or barriers you expect them to have during the speech itself.

3. Comparative Method

This is useful when you want to highlight the benefits of something over alternatives . It is ideal to first fully address the alternatives by talking about their benefits and limitations. Then you lastly talk about the solution that you possess that effectively addresses the other limitations or is in some way a better choice than others, based on your arguments.

Alternatively, if you do not want to highlight the benefits of something particular and just form a comparison that demonstrates the pros and cons of different subjects in an unbiased manner, this technique is still used. For instance, how the main benefit of a product is practically useful for the consumer in comparison to the main benefit of another product can be discussed.

4. Storytelling Structure

This is useful when your goal is just to tell a story. This could be to explain the context or history of a company. It could also serve to talk about yourself and how you got there. A story will typically have an introduction, a complicating factor that introduces some challenges, and then an ending that highlights the importance of some action or belief. 

You may also go in a timewise order when explaining a story. This might take away from the thrill but is useful nonetheless when it is required for the audience to properly understand what is being conveyed. Storytelling can be done in various ways, so feel free to find your own structure.

5. Demonstration Structure

This is useful when demonstrating products or services . The benefits of the product/service are highlighted and it is demonstrated showing those capabilities. The goal should be on persuading the audience that it is useful to them for their needs.

How to structure a scientific presentation?

Structuring a scientific presentation typically includes an introduction, methods, results, and discussion.

This typically follows the below format, but depending on the university/conference guidelines, you’ll have to adjust accordingly. The rest of the sub-topics revolves around these sections.

  • Introduction/Background 
  • Literature review (if applicable)
  • Acknowledgments (often optional)

After this, time is given to take questions.

How do you structure a presentation script?

The presentation never includes the full extent of the information. It’s just a concise version of what you’re speaking that adds as a visual aid at times while also highlighting major points. 

The script is where the major content lies. The structure remains the same, but the content is greater in depth .

Public speaking involves persuading an audience with a well-organized message. It is an essential part of our daily lives. We use it when we make conversation in social groups as well as when we address enormous crowds at social gatherings. It is a highly multifaceted and effective tool.

I will start off by giving some information about the context, moving on to its benefits, which is the main crux of our presentation, and then we will spend some time concluding.

Slide 3: Context

Effective communication is essential in our globally interconnected society. Speaking in front of an audience enables us to express our views and thoughts clearly and firmly. It facilitates the development of solid bonds and influences others, and acts as a catalyst for constructive change. Furthermore, as we interact with others during talks and Q&A sessions, public speaking also enhances our listening abilities.

Next, for leadership positions, where success depends on inspiring and motivating others, public speaking is critical. And in general, you’ll need public speaking in any meeting or any talk you would typically deliver in front of a bunch of people.

040 How to build the body of a presentation

Introduction.

Hi everyone and welcome to another episode of The Art of Business English. This week we are going to continue with our mini-series on presentation skills. Today I want to cover how to develop the body of your presentation and cover some essential language to help you confidently move through the delivery of your presentation.

If you’re the type of person who struggles with confidently delivering an effective presentation in English, then this episode will arm you with the tools you need to present like a champion. If you haven’t taken a look at episode 39 on how to open a presentation, then I encourage you to do that. There is some very important information that will help you to better develop this stage of your presentation.

In today’s episode I will be covering the following:

  • Key elements to a successful presentation body
  • Expressions to help you have a more fluid and controlled presentation
  • A short example of how we can bring the language together to create a clear and concise body

OK, let’s get started by looking at the necessary elements. 

Key elements

So, you should recall that in the previous episode I discussed the importance of having a very clear core message. This is our communicative objective, we must have a central message as this is the central piece that all our points in the body of our presentation must support.

You will also recall that I mentioned the three steps of preview, give and review. Preview is the introductory stage where we explain what we are going to discuss, give is the body of the presentation and this is where we discuss all the points that support our core communicative objective and finally review where we summarise and conclude our presentation.

Today we are going to be focusing on the give stage of the presentation, however it is critically important that you understand that this three-step process actually continues throughout the body of the presentation. What do I mean by that? Well, in the body of your presentation you will have your main ideas, which are all linked to your core message. When you introduce each of these ideas you will follow the same principle of preview (where you introduce the main idea), give (where you explain the main idea with support evidence or arguments) and review (where you summarise and bring that idea to a close before moving onto the next one). So, what I am saying is that the preview, give and review model is used at the macro and micro level across your presentation.

 I will now explain it simply. At the centre of our presentation is the core message or communicative objective. This must be very clear and convincing. Around this main idea, we have 3 or 4 main points, which, must be clearly aligned with our main idea. The purpose of our main points is to help transmit to the audience the core message of our presentation. Following on from that, the 3 or 4 main ideas but also have supporting information, evidence and examples. Supporting information is how we demonstrate the validity of each of our main idea, which in turn helps to validate our core message. So, you can see that every step of the process is linked, with the objective of validating our core idea. I hope that is clear, if you do have questions, then please shoot me an email, I will be more than happy to clarify it.

Right, you may be wondering how to build strong supporting information. If you are, then here are some ideas for you. One thing make sure that these fit the form of the content of your presentation.

  • Problem – solution
  • Cause – effect
  • Facts and figures
  • Illustration (visual or verbal analogy) or example
  • Compare and Contrast
  • Quantification

Remember, people always move away from situations of pain or discomfort, towards comfort and pleasure. If you are trying to convince your audience you must present your core idea as the solution to whatever pain or discomfort it will solve.

So, to summarise, we must have our core message clear from the beginning as it is the foundation of our presentation. We need to follow the 3-step process of preview, give and review across our presentation. We also need to structure our presentation around our core idea with 3 or 4 main ideas. These ideas are aligned with our core message and finally, these ideas are validated with supporting information or evidence.

Now we are going to look at some essential language and expressions to help you structure your presentation body ideas.

Language and expressions

I’m going to go through some essential language now. I’ll start by listing the function and then review the related expression.

Firstly, I would like to begin with... (formal) Secondly, I will take a look at... Next (thirdly), I will move onto... Lastly (finally), I’d like to discuss... In the beginning... To begin with... Following on from that... In the second place... In conclusion I would like to reiterate that... In conclusion.../I’d like to conclude by stating...   In addition to this point... Furthermore/Moreover... I might add that... (To emphasis, be sure to change the tone of your voice). As well as..., there is also...   For example, To illustrate this point, let’s consider... For instance, we could...   On the one hand... on the other hand... However, we mustn’t forget...   On the whole... In general, ... Generally speaking...   I’d rather... than... I prefer... to...   OK then that is all I want to say about... That covers my second point... A quick summary of this point... Fine that covers the main points then...   Let’s move onto the next point... I would like to go onto the next issue... And that brings me to my last point.   In addition to this point I would like to draw your attention to... Let’s take a closer look at...   I will just go back to my original point... Let me digress for a moment...   Back to what I was saying... As I was saying before... Looking back to what I mentioned earlier...   If we just take a look at this chart... Now if you look at this graph you will see... The horizontal axis shows... While the vertical axis represents...   Is everyone OK with that? Was my last point clear? Any questions up to this point?   As you will all be aware... Stefano can I ask you to… Giorgi, would you like to add anything to what I said about… Marco, would you mind?

OK, so there you have the building blocks for creating a presentation body. Remember what I said in last week’s episode. It is essential that we plan and write out our presentation before we load up PowerPoint. We need to be able to brainstorm and put ideas down in a mind-map form as opposed to the linear work flow of PowerPoint. We will use PowerPoint at the very end, but not as a central part of our presentation, only as a supporting tool with relevant graphical information as opposed to text.

In the next part of the episode, I am going to show you what a typical presentation body will look like.

An example of a presentation body

We are going to continue with John’s presentation from last week’s episode. I will introduce one main idea from his presentation and show you the language and preview, give , review process we can follow.

If you recall from last week, John was giving a presentation to management about sales from the Christmas period, his main points in the body were, the results from the Christmas sales campaign, current market trends and finally forecasts for the coming year.

So, let’s take a look at how this might look in the body.

Right, let’s begin with the sales data and analysis. I want to look at two important pieces of data. The overall financials from this period, and secondly an analysis of individual product categories…. On the whole, we had a very positive Christmas…

Well, that is all I want to say about that. Now I’ll move on to my second point today, market trends.

In this part I want to look at two main things, current market trends and then secondly where we see ourselves in 6 months’ time. So, …

That covers my second point.  Is everyone OK with that? If that is clear, I’ll continue with my last point, forecasts.

Well, here I will be going into more detail, not only looking into market trends, but also looking at how we expect the company’s sales to evolve in the third and fourth quarter. Firstly, …

That brings me to the end of my last point, I would now like to conclude by quickly summarising the main ideas.

OK, there you have a very basic outline of the body of a presentation. Obviously, there is a lot of information that you need to fill in to form the actual contents, however today I want to show you how easy it is to use signalling and sequencing language to introduce an idea, then bring it to a close and then transition on to the next idea.

Let’s quickly review it together. You can see that each idea has a mini-introduction. For example, Right, let’s begin with the sales data and analysis. Then a closing remark, Well, that is all I want to say about that, and finally a transition to the next idea, Now I’ll move on to my second point today, market trends. When we use these expressions effectively we can easily structure the body of our presentation and obtain a very clear flow.

In this article, we will look at presentation structure, focusing on the three parts: Introduction, main body, and conclusion of a presentation. We will explore what each part does and specific tips to help structure these parts of the presentation in the best possible way.

A successful presentation needs a well-structured agenda. It helps your audience to keep track and follow the content of the presentation. The agenda ensures that all important aspects of a topic are covered in the presentation.

An attractively designed and worded agenda can also help to capture the audience’s attention right from the start and get them excited about the presentation. For example, the agenda can be designed using images, language, or terminology that is specific to the audience’s goals and interests. In this way, the presenter signals that they value the audience’s time and interest and are tailoring their presentation to meet their needs. Part 1: the introduction of a presentation

1. Greeting:

With a friendly greeting, you create a positive atmosphere right from the start. You give the audience the opportunity to arrive, get quiet and collect themselves and signal that it’s about to start. This phase is important to establish the audience’s concentration.

2.  Introduction:

Briefly introduce yourself and your organization. Give an overview of who you are and what your role is in your organization. By doing this, you will give your audience direction and reinforce your expertise and credibility at the very beginning of the presentation.

3. Objective:

Briefly outline the topic of your presentation and explain what you hope to accomplish with the presentation. Make sure the goal of the presentation is clear and concise.

4. Context:

Explain the context in which the presentation will take place. Why is the topic important? Why is it relevant to the audience? Here you should also make sure that you connect with the audience and tailor your presentation to their needs and interests.

  • The audience is focused
  • They know who you are and that you bring expertise to the topic
  • It knows what the presentation is about and why it is worth paying attention.

Part 2: the main part of a presentation

The main part is the most important part of your presentation from a content point of view. Here you present your information, argue for your position, try to convince the target audience or bring them to a decision. In short, the middle section is the heart of your presentation. It should be structured in a logical and comprehensible way and should be consistently oriented towards your presentation objective. The biggest challenge is to make the main part compact and not to ramble too much, but still not to make any jumps in content where you might lose your audience. Ideally, when building the main body, you follow the thought processes your audience might have and answer any questions that might pop into your target audience’s head. Of course, this requires a good knowledge of your target audience and also some experience. If you have given similar presentations before, you should take into account insights you can derive from audience reactions or questions, for example, when building your next presentation.

The main part should make up about 75% to 80% of the total duration of the presentation. These are our tips for the main body:

1. Precise headings:

Make sure the main body is clear and logical and use precise headings. They will ensure that your audience can follow your arguments. Headings that are to the point also help the speaker, for example, when you want to jump back and forth within the presentation.

2. Key messages:

Present your core messages and arguments in a logical order. Make sure to support your arguments with examples and facts to strengthen your position. Report from the field to show that you understand the needs of your target audience.

3. Visualization:

Make sure you make your information easy to grasp quickly. Whenever possible, you should make use of visualizations. Diagrams, icons, and images are quicker to grasp than columns of scrubs, and you’ll stick in their minds. Your audience is more likely to remember a good picture than the text on your slides.

After the main part, you should have achieved the following with your audience:

  • The audience has understood your information and your arguments
  • You have answered or anticipated your audience’s most important questions and objections
  • The audience has recognized the relevance of the topic for their own needs and requirements
  • The audience is ready to take the next step toward your goal.

The closing section is the last part of your presentation and gives you the opportunity to emphasize your message once again. It’s not just about leaving a strong impression. The conclusion of your presentation determines whether you have achieved your presentation goal. Were you able to find supporters for your topic? Were you able to bring about a decision? Were you able to win a new customer? In order to be able to measure the achievement of your objectives, it is important to be specific at the end of your presentation. Depending on the goal, you can give an outlook here, agree on next steps or deadlines, or already distribute tasks. Use all possibilities for a binding exit and a concrete connection. Make sure that your topic is thought about further, a project is pursued or a collaboration is started. The conclusion of your presentation should be about 10% to 15% of the total duration of the presentation and include the following elements:

How to Plan a Presentation

Presentation planning is a useful and necessary skill in the professional world as well as school. Whether you need to sell a product, or get a passing grade in your class, planning a presentation takes time and dedication. You will want to figure out the best way to construct your material, considering your audience and your presentation's message. From there, work on building your slides and materials. Assemble information in a logical order that best illustrates your point. Practice your presentation regularly before delivering it. This can help you figure out any information that should be cut or restructured.

Assembling Your Best Material

Step 1 Think about the goal of your presentation.

  • Write down your most important points. See if you notice a key point emerging. If your audience were to take away one thing from this presentation, what would it be?
  • Don't just bombard your audience with facts. Think about what these facts do for your audience. What's the point you're trying to make with the information?

Step 2 Know your audience's background to help you structure your presentation.

  • Are you trying to sell them a product, introduce them to a new idea, alter their way of thinking?
  • Think about the kind of people in your audience. Do you have a tougher crowd, or do you have a group of enthusiastic people excited about what you're going to say?

Step 3 Select your main points based on the length of your presentation.

  • For example, if you're talking to a company about recycling program, you might discuss how corporate pollution contributes to global warming and how recycling can help the company save money. You wouldn't discuss the melting ice caps as a key point.
  • Melting ice caps are a valid concern, but they are a fact or a supporting point.

Step 4 Find your best-supporting information.

  • Add clarity to your argument by explaining anything the audience may not understand. For example: a brief overview of pollution's effect on climate change.
  • Add authority by making connections with existing research, studies, and information. For example, you could mention the consensus in the scientific community that global warming is manmade and cite a few studies.
  • Add color to your argument through visuals, like pictures and videos. For instance, you could show a chart of the amount of waste an average corporation produces in one month.

Finding a Trajectory for the Presentation

Step 1 Start your presentation with a solid introduction.

  • Include the basics of introducing yourself. You can say something like, "I'm Clara Thompson from Clean Water Action, and I would like to address your company today."
  • Get your audience's attention with a question or a fact. For example, you could ask: "Have you ever passed a body of water covered in green sludge and wondered how this happened? The answer may surprise you."
  • You don’t have to write your presentation in chronological order. If you want to work on your main points first and save the introduction for last, you can.

Step 2 Present your research and work in the body of the presentation.

  • For example, you're trying to get the corporation to alter their recycling program. Start by overviewing the vast amount of corporate pollution in the world.
  • Explain the consequences of this. Show how pollution contributes to climate change, then show what the corporation can do through changes in their policies.

Step 3 Use linking statements to make your points clear.

  • Common linking statements include things like, "Another important issue...," "Based on this data, you can now see..." and, "This brings me to my main point..."
  • For example, "Now that I've shown you the effects of corporate pollution, this brings me to my main point. What can you do to stop it?"

Step 4 Make use of visuals and graphics on your slides.

  • If you have any graphs or diagrams that will help illustrate your point, use them. Physically seeing information can help make your point more clear.
  • You should also see if there are any videos you can include. A brief video of someone succinctly explaining an issue can shake things up a bit.
  • Pictures are also nice. Each slide should have a picture related to the topic at hand.
  • Make sure not to overuse graphics or visuals. Too many could be overwhelming or distracting for your audience.

Step 5 Conclude your presentation.

  • You only need one slide. Recap what your point was. Begin with something like, "As you can see..." and then briefly repeat your main point.
  • A visual can help as well. Try adding one last visual aid that sums up your point. A graph or diagram would work well here.

Practicing Your Presentation

Step 1 Strive for 1 to 2 minutes of talking per slide.

  • If you're taking longer, cut some information out. You do not want to talk fast to include all information, as this can make you difficult to understand.
  • For accuracy, talk in your regular voice. Do not speak too fast or too slow. You want to make sure you can fit in all information talking at a normal rate.

Step 2 Keep your information relevant to the theme.

  • Are any facts extraneous? It's great to illustrate the effects of global warming, but do you really need five examples of environmental decay? Try to cut it down to two or three.

Step 3 Listen to yourself presenting.

  • You should sound enthusiastic when presenting. Talk without hesitance, and don't use filler words, like "um" or "uh."
  • Don't jump between topics. Use your linking sentences, and say things like, "And this brings me to the following..."
  • Watch the time. Make sure your presentation isn't going on for too long.
  • Watch yourself give the presentation in a mirror so you can correct any distracting movements or gestures.

Step 4 Practice until you have little need for your notes.

  • Don’t read the information off of your visuals since it could affect your engagement between yourself and the audience.

To avoid this, try to practice projecting your voice and enunciating your words clearly before you give your speech. You can also use tools like microphones or audio amplifiers to help ensure that your message is heard loud and clear by everyone in the room.

9. Take deep breaths

Taking deep breaths is a great way to help you relax and calm your nerves, but there are other things you can do too. For example, you might want to try some light yoga or stretching exercises to loosen up your muscles and release tension. Also, you could take a warm bath or shower to soothe your body and mind. Another option is to listen to some calming music or read a book that you enjoy. By taking the time to find what works best for you, you can develop a personalized relaxation routine that you can turn to whenever you need it.

10. Use repetition

Steps in Preparing a Presentation

Planning your presentation, step 1: analyze your audience, step 2: select a topic, step 3: define the objective of the presentation, preparing the content of your presentation, step 4: prepare the body of the presentation, step 5: prepare the introduction and conclusion, practicing and delivering, step 6: practice delivering the presentation.

The first step in preparing a presentation is to learn more about the audience to whom you'll be speaking. It's a good idea to obtain some information on the backgrounds, values, and interests of your audience so that you understand what the audience members might expect from your presentation.

Next, if possible select a topic that is of interest to the audience and to you. It will be much easier to deliver a presentation that the audience finds relevant, and more enjoyable to research a topic that is of interest to you.

Once you have selected a topic, write the objective of the presentation in a single concise statement. The objective needs to specify exactly what you want your audience to learn from your presentation. Base the objective and the level of the content on the amount of time you have for the presentation and the background knowledge of the audience. Use this statement to help keep you focused as you research and develop the presentation.

After defining the objective of your presentation, determine how much information you can present in the amount of time allowed. Also, use your knowledge about the audience to prepare a presentation with the right level of detail. You don't want to plan a presentation that is too basic or too advanced.

The body of the presentation is where you present your ideas. To present your ideas convincingly, you will need to illustrate and support them. Strategies to help you do this include the following:

  • Present data and facts
  • Read quotes from experts
  • Relate personal experiences
  • Provide vivid descriptions

And remember, as you plan the body of your presentation it's important to provide variety. Listeners may quickly become bored by lots of facts or they may tire of hearing story after story.

Once you've prepared the body of the presentation, decide how you will begin and end the talk. Make sure the introduction captures the attention of your audience and the conclusion summarizes and reiterates your important points. In other words, "Tell them what you're going to tell them. Tell them. Then, tell them what you told them."

During the  opening  of your presentation, it's important to attract the audience's attention and build their interest. If you don't, listeners will turn their attention elsewhere and you'll have a difficult time getting it back. Strategies that you can use include the following:

  • Make the introduction relevant to the listeners' goals, values, and needs
  • Ask questions to stimulate thinking
  • Share a personal experience
  • Begin with a joke or humorous story
  • Project a cartoon or colorful visual
  • Make a stimulating or inspirational statement
  • Give a unique demonstration

During the opening you want to clearly present your topic and the purpose of your presentation. Clearly articulating the topic and purpose will help the listeners focus on and easily follow your main ideas.

During the  conclusion  of your presentation, reinforce the main ideas you communicated. Remember that listeners won't remember your entire presentation, only the main ideas. By reinforcing and reviewing the main ideas, you help the audience remember them.

Most people spend hours preparing a presentation but very little time practicing it. When you practice your presentation, you can reduce the number of times you utter words and phrases like, "um," "well," and "you know." These habits can easily diminish a speaker's credibility. You can also fine-tune your content to be sure you make your most important points in the time alloted.

In addition to planning the content of your presentation, you need to give advanced thought to how you want to deliver it. Do you want to commit your presentation to memory, use cards to guide you, or read from a script? Or, you might want to use a combination of methods. To help you decide, read the advantages and disadvantages of the four delivery methods described below.

Speaking from Memory

A distinct advantage of speaking from memory is your ability to speak to the audience without relying on notes or a script. This allows you the flexibility to move away from the podium and to maintain eye contact with the audience. However, speaking from memory has disadvantages, too. Presentations from memory often sound rehearsed and the possibility exists that you'll forget an important point, present information that's inaccurate, or completely lose your train of thought. If you decide to deliver your presentation from memory, have notes handy to jog your memory just in case!

Many people like to speak from notes. Typically these notes are either on cards or paper in outline form and contain key ideas and information. If you are using an electronic presentation tool, you may be able to include your notes in the presentation itself. The benefit of delivering a presentation from notes is that you sound natural rather than rehearsed and you can still maintain relatively good eye contact with the audience. The down side is that you might not express your key ideas and thoughts as well as you may have liked had you planned your exact words in advance.

Speaking from Text

Speaking from text involves writing your speech out, word for word, then basically reading from the text. As with speaking from memory, an advantage of this method is that you plan, in advance, exactly what you're going to say and how you're going to say it. A disadvantage is that you might appear to the audience to be stiff or rehearsed. You will need to make frequent eye contact and speak with expression to maintain the audience's interest.

Using a Combination of Methods

You may find the best method to be a combination of all three. For instance, experts suggest you memorize the first and last ten minutes of your talk so that you can speak flawlessly and without notes. Notes may be suitable for segments of your presentation that you know very well, for example, relating a personal story. Finally, speaking from a text might be appropriate when you have quotes or other important points that you want to make sure you communicate accurately and completely. You can make a smooth segue to written text by saying something like: "I want to read this quote to you verbatim, to ensure that I don't distort the original intent."

6 Basic Organizational Pattern to Arrange the Body of your Presentation

The body of your presentation is the main substance of your message. It contains the evidence you need to support your main topic and the information your audience expects to know more about. To make your message easier to remember, limit your main points to three and have supporting details on each. Choose the strongest ideas you can consider as a major point and sandwich appropriately the weaker details in one of the major details. Just make sure that it is closely related and is logically apt to be categorized under it . 

To effectively curate the body of your speech, it has to be delivered using an organizational structure. It is best to arrange them by following a method according to the one that is most appropriate for your needs. Among the common organization patterns for arranging speeches are the following:

1. Chronological Pattern

The time order pattern presents ideas, events, or processes in the sequence of time in which they took place or should take place. It begins at a given period in history and moves forward or backward with time. It is mostly used in describing a process or discussing the development of certain trends for demonstration speeches. 

2. Spatial Pattern

In this pattern, the main points of your speech follow a spatial sequence. This illustrates the arrangement and the relationship of things in a given place. It describes the ideas according to physical relationships among things and persons as well.  To describe or explain the organization of patterns, you may present your ideas by inside-outside, far-near, small-big, east-west, or up-down.

3.  Logical Method

You can develop your speech’s body from a broad vision to specific details, or you may also proceed with a particular instance to the general. The key here is that you either present your information deductively or inductively. This pattern is effective when presenting a broad topic which you intend to break down into subtopics.

4. Causes and Effect

If you want your audience to appreciate a certain subject’s impact, a pattern that may suit this best is the cause and effect method. In this pattern, you arrange the main ideas in the discussion in a causal relationship. You both present in appropriate detail the events that have occurred and their corresponding results. 

5. Advantage and Disadvantage

To focus and shed light on how beneficial an activity, idea, event, or product, you may consider using the advantages and disadvantages method. This will help you guide your audience to examine the range of positive and negative aspects of things that they can use to better judge when deciding on things.

6. Comparison and Contrast

A presentation may also be developed by pointing out the similarities between two objects, persons, or ideas. You can make the concept vivid by comparing familiar objects and familiar points of reference. People can effectively learn concepts when they have something with which to compare it.  If you are using this pattern, make sure that you have a valid and adequate number of comparisons. This method is suited when trying to motivate the audience to understand a concept they have never considered before or ask them to take action like following or purchasing something they have never owned before. 

When writing the body of your presentation, you may consider pointing out the familiarity in some respects between things or ideas otherwise unlike. It is also appropriate to clarify something abstract and familiar by relating it to something concrete and familiar.  

8. Problems and Solutions

You can organize the body of your speech by presenting it through a problem and solution method. Naturally, the speech should focus on the problem at hand, then provide the solution that you are offering. To make your proposition more convincing, you may include other problems that could also be fixed by the solution you are suggesting. This becomes more effective in persuading as the audience sees the value of your proposition. Knowing that the solution you are offering is versatile and can also be applied to multiple problems, they are more encouraged to accept it. This is suitable when motivating your audience into action, prompting them to support an idea or buy a product, information, or service that offers a solution to a problem. 

In arranging the body of your presentation, you may use any of the patterns above, although you may utilize more than one method. Keep in mind that you have to observe the principles of unity, coherence, clarity, conciseness, and correctness in writing it.  Ensure that as you present the facts and move from one point to another, you help the audience know that you connect two parts—present  interconnectedness by using transition sentences that show the logical or psychological relationships among the ideas. Using transition statements between main and subordinate points will help make your central idea clear and easy to understand. 

Special Bonus Tip: To ensure that your presentation’s body is organized and well structured, create an outline for your speech. This will also help you to draft an appropriate introduction and conclusion for your central idea. Moreover, you may also look for materials and references that provide samples of how the above-listed patterns were used. You may also ask an English teacher specializing in writing speeches to guide you on how to write compelling content for the body of your speech.

  • has an introduction, body and conclusion
  • may include visual aids
  • is usually followed by questions and discussions
  • may also have a handout for the audience to take away.

Introduction

  • The introduction should orient the audience to your subject and purpose. To capture interest and set up rapport, it should tell the audience what to expect.
  • Be sure to carefully define the central point (or thesis) that is the basis of your talk and ensure that your supporting argument or information relates closely to it.
  • If you are not proceeding from an already written assignment, it might help to think of your introduction as funnel-shaped, with the content coming out of the funnel. See the diagram below:

Whether you organise:

  • chronologically,
  • by priority,

the body of your talk must proceed logically. The main points should be brought out one by one, with concise and relevant supportive evidence, statistics or examples and verbal ‘signposting’ of your progress through your argument or report.

You could present each important idea or point several times in different ways, because a listening audience needs several opportunities to fully absorb meaning.

You need to state clearly the links between your ideas and always signal when the next point is coming. If you think something is particularly important, say so and why.

If you don’t have a written assignment, it will help to think of your main points as paragraph topic sentences, each of which needs to be followed by supporting sentences and a conclusion.

Group Presentations

It may be that you are making a presentation as part of a group. Essentially the same information applies to group presentations as individual ones. It is important that they are logical and well structured as well as professional and meaningful. It is also doubly important that the group rehearse and practise together several times to ensure the presentation runs smoothly on the day.

Handing over to a co-presenter

Your talk may involve several speakers in your group presentation. You need to manage the handover smoothly and professionally, for example:

“I would like to conclude my discussion/report at this point and hand over to my partner/colleague XYZ who will examine/discuss/report the area/topic/perspective of…”

Similar to a written assignment, the conclusion again states your main points and what has been learned or shown but you also may raise implications inherent in the findings and offer creative recommendations.

We discussed…

The evidence shows that…

An important implication is…

I would like to offer recommendations to address this. Firstly… Secondly…

Thank you for your time and attention today.

His findings point to the importance of brevity and discipline. So here are seven ways you can better focus your presentation.

But first, let’s look at that study.

The Data Behind Boring = Longer

Robert Ewers teaches at Imperial College London and it’s clear he attends more than his share of academic conferences. Apparently he had finally had enough, and sought to answer the question: are dull presentations truly longer or do they just seem that way?

Writing in the journal  Nature , he reports that he sat through 50 talks and timed them, making a determination at the four-minute mark of whether they were boring or interesting. Here’s what he found:

“The 34 interesting talks lasted, on average, a punctual 11 minutes and 42 seconds. The 16 boring ones dragged on for 13 minutes and 12 seconds.”

I love the combination of data (“thereby wasting a statistically significant 1.5 min;  t -test,  t  = 2.91,  P  = 0.007″) and pure subjectivity. But come on, we all know a boring speech when we see one, right?

The good professor then bottom lines it:

“For every 70 seconds that a speaker droned on, the odds that their talk had been boring doubled .”

The Things We Do When We’re Bored

I can totally relate both to Dr. Ewer’s pain and to his approach. Just as acting has ruined my ability to sit through a lot of amateur productions, my work to put an end to Death by PowerPoint has made it nearly impossible for me to tolerate a bad speech .

In fact, it was an awful speech — one of the worst I’ve ever seen — that motivated me to write the book  11 Deadly Presentation Sins . I vividly recall taking copious notes on the offending speaker’s every mistake.

I’ve written before about how to cut the fat from your presentation and spoken on the subject numerous times. You can follow those links for more details, but here are my updated tips on how to focus your presentation on the essentials.

1. Start With a Singular Goal for Your Speech

Presenters are often vague about what they want to accomplish with their speech, or they have multiple objectives. To focus your presentation, you need to stick to a clear and single goal. The whole point of a speech is to change people’s minds or behavior . That could mean you want them to:

  • Approve your idea.
  • Hire your business.
  • Buy your product or service.
  • Invite you back to hear more.
  • Be more productive or collaborate more.
  • Trust you to get the job done.
  • Rally to your side.

So pick a goal and stick to it.

2. Go Deep Instead of Broad

I admit this is my personal Everest. Every expert on the planet recommends that it’s better to explore just a few points deeply than to cover a bunch of them briefly . This one’s hard for me because I always feel I have SO much to say.

Here’s a remedy that helps me:  assume you’ll have another bite at the apple . That is, you’ll have a chance to return and talk more, or you can provide a detailed handout, or you can follow up with more information.

3. Survey Your Audience to Help You Prioritize

If you can, try surveying your audience ahead of time using social media or the various online polling apps available. If you can’t communicate with the specific audience, try like-minded people among your contacts.

Just beware: your audience doesn’t know what they don’t know . They may say a certain topic is unimportant to them, but that could stem from an overestimation of their own capabilities.

Remember, you’re the expert . (I hope! Otherwise, why are you speaking?) Ultimately you have to decide what’s vital to your audience’s needs.

4. Focus Your Presentation By Practicing Out Loud

This is my litmus test: when I get bored, I assume my audience will get bored . Which is one of many reasons I practice my presentations out loud and on my feet. You simply cannot do this sitting at your desk , clicking through your slides and reading in your head — you will end up skipping or speeding through the parts that feel like a chore.

Practicing aloud is also the best way to get a sense of your timing so you know how much to trim.

5. Try Cutting 25% of Your Content

Let’s say your time slot is 20 minutes. What would you do if the meeting organizers changed their mind and said you only had 15 minutes?

Most people’s answer is to simply talk faster! Not a good choice.

See how merciless you can be in making cuts, even if it’s just 10%. One area ripe for trimming is anything you love a little too much. It’s the old literary advice to “ kill your darlings ” — content that you’re so in love with that you’ve lost all objectivity.

Another issue to look at is pet peeves. A speech should not be all about the personal axes you have to grind , unless those peeves genuinely point to a larger issue people need to know about.

6. Limit the Spontaneous Asides and Ad-libs

Here’s where a lot of speakers get into trouble. As you’re talking, your mind makes connections to related points, experiences, anecdotes, etc. It’s great to be in the moment, and a few of those add freshness and spontaneity to a presentation. But too many of these tangents tend to bog things down .

This problem compounds itself when your ad-libs get a few laughs or nods — suddenly you’re in ego-pleasing mode and you can’t stop yourself. It’s like ice cream — if one scoop is good then a quart must be great!

Be disciplined.

7. Stay Tuned to Your Audience’s Reactions

This may be the hardest point to master . We’ve all had the experience of sitting in the audience while a colleague drones on and on, oblivious to people getting restless and bored. How can the presenter not notice what’s happening right in front of them?

The answer is they are too wrapped up in their own heads, just trying to remember and express every vital bullet point. True speech mastery requires the ability to maintain your situational awareness and tune into what people’s body language and facial expressions are clearly telling you.

Are people shifting in their seats? Buried in their screens? Coughing? Whispering to each other? Leaving the room? Throwing things at you?

Okay, some of these clues are easier to detect than others. The point is, if you’re unable to pick up on these signals, it probably means you’re not prepared enough . When you know your content and have truly internalized it, that leaves you open to what’s going on around you.

My Own Struggle with Focus

I can attest that the struggle is real . And even though I can quickly identify the fat in my clients’ presentations, it really is different when the content is your own.

Right now I’m polishing up two speeches I’m giving next week: an hour-long session and a shorter talk with a hard 15-minute limit. Interestingly, it’s the longer one that’s been harder to cut.

And I’ve actually applied every one of the steps outlined here. But there is one additional approach that has helped: thinking of the presentation as a train , not a car. That means as I practice it (out loud, of course), I work hard to keep the momentum driving ever-forward .

By visualizing a train, I manage to avoid getting sidetracked, as it were, or lingering too long in any one station, to really stretch the analogy.

So bear these tips in mind for your next presentation. And remember: nobody ever walked out of a meeting saying, “Man, I wish that presentation had been longer!”

  • Identify your target audience and their knowledge level, interests, and expectations.
  • Define what presentation format you want to use

2/ Outline the Structure of Your Presentation

Strong opening.

Start with an engaging opening that grabs the audience's attention and introduces your topic. Some types of openings you can use are: 

  • Start with a Thought-Provoking Question: "Have you ever...?"
  • Begin with a Surprising Fact or Statistic: "Did you know that....?"
  • Use a Powerful Quote: "As Maya Angelou once said,...."
  • Tell a Compelling Story : "Picture this: You're standing at...."
  • Start with a Bold Statement: "In the fast-paced digital age...."

Main Points

Clearly state your main points or key ideas that you will discuss throughout the presentation.

1/ Start with a Hook

To begin, you can choose from five different openings mentioned in the script based on your desired purpose and content. PowerPoint's animations and transitions can help you grab your audience's attention, present information in bite-sized chunks, and—when used sparingly—deliver a more professional presentation. In this article, we'll run through the nuts and bolts of these useful PowerPoint tools.

PowerPoint's Animation drop-down is opened, displaying the many different types of animations available.

Animations are effects you can add to your slides' text, pictures, shapes, graphics, tables, and other elements. There are four different types of animations:

  • Entrance animations—These are the effects you can add to make an object appear on your slide in different ways.
  • Emphasis animations—You can add an emphasis animation to an object already visible on your slide, such as changing its size or color.
  • Exit animations—The opposite to entrance animations, exit animations make objects disappear from your slide through different effects.
  • Motion paths animations —You can make an element on your slide move to a different place, with your audience seeing this movement from where it started to where it ends up.

You can use more than one animation on a single object. For example, you can apply an entrance animation to some text, followed by an emphasis animation.

PowerPoint's Transiton drop-down is opened, displaying the many different types of transitions available.

A transition effect dictates how your presentation progresses from one slide to the next, and you can choose from three different levels of complexity:

  • Subtle—These are the most basic types of transitions in PowerPoint, aiding speed and slickness as you jump from one slide to the next.
  • Exciting—You can make your transitions more visually entertaining.
  • Dynamic—A dynamic transition applies to all parts of a slide, except for the background, giving the illusion that the content is rolling through on a single page.

Only one transition effect can be added to each slide, and it's important that you apply the transition to the slide that will be visible once the transition is complete. For example, if you have two slides and want to create a transition effect as you move from slide 1 to slide 2, you will need to apply the transition to slide 2.

Before you add animation and transition effects to your PowerPoint presentation, bear in mind the following tips:

  • Don't add too many animations and transitions . Overusing these features can distract your audiences in ways you didn't intend to, and they can also look tacky and unprofessional. Ask yourself, "Does this make my presentation better?" If the answer is no, don't add it.
  • Another issue with using too many animations and transitions is that it could significantly slow down your PowerPoint file's processing speed , as it adds volume to your file size.
  • Keep things professional in the right contexts. For example, if you're presenting a formal business plan, you don't want to add funky transitions that take ten seconds to complete. Try sticking to slick effects that last less than a second.
  • Use the same transition effect for each slide and, if you can, the same animation for each item.

It's a widely shared opinion that Microsoft 365's desktop apps offer more flexibility and functionality than their web-based counterparts. However, the exact opposite can be said for adding animations, which is significantly easier to do on PowerPoint for the web than via the subscription-only app. So, to create the animations for screenshots in this section, we have used PowerPoint online, rather than the desktop app, and we recommend that you do the same.

Before you add any animations, click "Animation Pane" in the Animations tab on the ribbon. This will open a pane on the right side of your window, which will make seeing and managing your animations much easier.

Now, select the item you want to animate. If you want several items on a slide to animate in the same way at the same time, hold Ctrl while clicking them all. Then, click the down arrow in the Animations tab, and choose the appropriate effect.

You will then see an animation card in the Animation Pane for the effect you just added. Here, you can change the animation type, how it is activated (whether via a click, with the previous animation, or after the previous animation), and the duration and delay.

If you have more than one animation on a slide and want to reorder them, click and drag the six dots next to the relevant animation card upwards or downwards.

Finally, to remove an animation, click the trash icon on the appropriate animation card.

You can also animate paragraphs of text within a text box. To do so, select the relevant text, and follow the same process.

Whether you're using PowerPoint's desktop app or the online version of the program, adding transitions involves a very similar process.

First, select the slide you want to transition to (for example, you'll select slide 2 if you want to create a transition from slide 1 to slide 2) in the slide thumbnail pane, and then click the "Transitions" tab on the ribbon.

Clicking any of the transition effects on display will do two things—first, it will show you a preview of what that transition will look like, and second, it will apply that transition to that slide.

You can then amend the options (such as the direction of the transition) and timing of the transition using the settings on the right side of the Transitions tab. This is where you can also add a sound effect to the transition, or decide whether the transition effect occurs when you click your mouse or automatically after a given length of time.

If you want to apply the same transition effect and options to all slides, click "Apply To All" in the Timing group of the Transition tab when you have finished setting up your transition's parameters. You can then select individual slides to make further adjustments if needed.

To remove a transition, select the slide in the slide thumbnail pane, and click "None" in the Transitions tab.

PowerPoint's Morph is a transition effect that recognizes differences between the same items on two slides, and smoothly transitions between them when you proceed from one slide to the next. For example, you might have an image on slide 1, and the same image in a different position on slide 2. The morph transition gives your audience the impression that you're still on the same slide, but the objects are merely moving and resizing.

This is different to the motion path animation, which you can set for different items and activate at different times on your slide. The morph transition, however, moves all items together as you move from one slide to the next, saving you from having to apply motion path animations to individual objects. Any objects on the first slide but not the second will simply fade away during the morph transition. Similarly, any new items on the second slide will appear gradually.

In this example, we have a title and an image on slide 1, and the same objects on slide 2 but in different places and different sizes. We created this scenario by copying and pasting the whole of slide 1, and then changing the text and image on slide 2. However, you can also create a blank slide, and then copy and paste the different elements you want to morph.

Then, we need to select slide 2, and click "Morph" in the Transitions tab on the ribbon.

Then, press F5 to see your presentation, and witness the smooth morph transition from one slide to the next. You can also use this transition effect to zoom into an image or fade an image into the background. Just ensure that you copy and paste from one slide to the next before you create the transition, so that PowerPoint recognizes them as the same.

IU Cinema celebrates sequels, new and classic horror, filmmaker Kevin Willmott, more this fall

BLOOMINGTON, Ind. — Beginning with a free open house Aug 22 , Indiana University Cinema’s fall season will offer a 3D presentation of “ Mad Max: Fury Road ”; a 35th anniversary screening of Tim Burton’s “ Batman ,” with producer and IU alumnus Michael Uslan in attendance; a monthlong tribute to Hollywood icon Cary Grant; returning series like Art and a Movie , CINEkids and Michael A. McRobbie’s Choice ; and so much more.

In partnership with the IU Black Film Center & Archive, the cinema will welcome Oscar-winning filmmaker Kevin Willmott to campus for an onstage conversation. Willmott’s visit will be part of the Jorgensen Guest Filmmaker Series . Screenings will include “The 24th,” co-written and directed by Willmott, and “BlacKkKlansman,” which he co-wrote with director Spike Lee and others. A screenwriter, director and producer, Willmott critically examines America’s racial history through many genres, representing characters and subjects generally avoided by mainstream film.

Acknowledging the impact of the radical film collective known as Newsreel, the cinema will welcome filmmakers, scholars and activists Giulia Gabrielli and Matt Peterson, who are creating an oral history of the collective. Gabrielli and Peterson’s visit will include a program of Newsreel shorts and a discussion of the collective’s legacy as part of the series Newsreel: A Polyphonic History of 1968 .

Recognizing recent art house and independent releases from North, Central and South America, New Americas Cinema will showcase:

  • “Love Lies Bleeding,” a scorching neo-noir film starring Kristen Stewart and IU alumna Katy O’Brian.
  • “The Eternal Memory,” Chile’s life-affirming 2024 Oscar nominee for Best Documentary Feature.
  • “I Saw the TV Glow,” the iconoclastic festival favorite that critics raved about this year.
  • A new 4K restoration of Glauber Rocha’s searing “Black God, White Devil.”
  • “Sujo,” a Mexican coming-of-age tale about a son’s reckoning with his father’s violent legacy.

The series Everyone Wants to Be Cary Grant will include:

  • “His Girl Friday,” the beloved rom-com where the legendary actor creates chaos to win back his ex-wife.
  • “To Catch a Thief,” Alfred Hitchcock’s classic about tracking down a cat burglar.
  • “Charade,” a caper starring Grant alongside Audrey Hepburn.
  • “Bringing Up Baby,” the definitive screwball comedy with Grant and Katharine Hepburn.

IU Cinema’s lower lobby display will be dedicated to Grant, featuring items from the Lilly Library.

For all the horror fans out there, Friday Night Frights presents:

  • The supernatural chiller “The Others” with Nicole Kidman.
  • “The Brood” from body-horror master David Cronenberg.
  • John Carpenter’s “In the Mouth of Madness,” followed by a live taping of the “Weird Studies” podcast.

  • Zombie classic “Train to Busan.”
  • The Found Footage Freakout Double Feature on Halloween, with this year’s unnerving “Late Night With the Devil” and a 25th-anniversary screening of “The Blair Witch Project.”

Representing the long and evolving history of queerness and film, the series Q+ will focus on the theme “Queer Resistance: Be Gay, Do Crimes” this semester. Highlighting the inherent linkage between the freedom in queerness and in a life outside the law, films will include the cult camp classic “Death Becomes Her” with Goldie Hawn and former IU Cinema guest Meryl Streep, the Wachowskis’ steamy noir “Bound” and Park Chan-wook’s thrillingly complex “The Handmaiden.”

Additional upcoming programs at IU Cinema include:

  • Sequelibrium , a series celebrating some of the cinema’s favorite stories that have been told on the other side of “to be continued,” such as the irresistible “Paddington 2,” a 50th-anniversary screening of “The Godfather Part II” and the iconic “Terminator 2: Judgment Day.”
  • “ L’Inferno ,” which has been called cinema’s first feature-length horror film. The film will be accompanied by indie chamber music group Montopolis.
  • L.A. Scams Itself , a four-film series about the complicated truths of one of America’s most mythologized cities, with acclaimed detective yarns like “L.A. Confidential” and “The Nice Guys.”
  • The world premiere of a new score for the Gloria Swanson romantic melodrama “Queen Kelly,” part of the Jon Vickers Scoring Award .

Boston Premiere of "Sea Change: The Gulf of Maine, A NOVA Special Presentation"

The New England Aquarium and GBH present a special behind-the-scenes look at NOVA’s three-part series Sea Change: The Gulf of Maine as part of the Aquarium’s Lowell Lecture Series. Featuring imagery by acclaimed film producer and veteran photojournalist Brian Skerry, the series examines the changes taking place in the Gulf of Maine, a body of water that is warming 97 percent faster than the global ocean. Blending science, exploration, natural history, and stories of human experience, Sea Change illuminates how the gulf may serve as a preview of what might happen in other parts of the world due to climate change.

Join us in person or via live stream for a screening of highlights from the series followed by a panel discussion and Q&A with Skerry and other members of the filmmaking team about their experiences documenting and studying this spectacular wilderness, and how the communities that live and work along along the gulf’s shores are working to sustain its future. Panelists include:
