COVERING UP: THE COVER LETTER EXPLAINED (AND YES, IT’S CALLED A COVER LETTER)

Jul 27, 2016

First things first: the cover letter has been called a COVER letter for decades, and that one name works just fine. Do we really need another name for something that has a perfectly functional name already? No? Great, let’s stop calling it an APPLICATION letter then. Yikes.

But what is a cover letter, you might ask? Defined simply, the cover letter is a written (or typeset) correspondence included in a formal application. Applicants use it to inform their prospect employer’s recruitment team that they are interested in and qualified for a vacant position being advertised. It works similar to our definition of a “letter of intent”.

Cover letters have been in widespread use for the better part of the last century. Unfortunately, this art is beginning to show signs of being lost to the changing times especially since more employers are choosing to omit the cover letter from application requirements. They do this so that they can use a more efficient screening process.

So what do we need to rediscover about cover letters? Quite a few things, actually; and we’ve put them all together here for your convenience.

In days gone by, the cover letter was a professional gesture showing a person’s genuine interest to apply for work. Nowadays, employers with strict standards and codes of conduct still consider it a proper part of application documents, to the point that they reject resumés sent in without cover letters or applications with poorly-written letters.

How do we avoid poorly-written cover letters? The diagram above shows the various components of a cover letter. Let’s take a look; just follow the numbers.

1. Margins – Like any letter, margins make the document look neat and organized. Let’s throw paragraph alignment into this topic as well. Simple 1-inch margins on each side and at the top of the cover letter combined with left or justified paragraph alignment should make your cover letter appropriate for most companies in the Philippines. Of course, if the company being applied to requires a specific margin and alignment format, follow their requirement instead.

2. Dateline – All that’s needed for this part is to make sure that you’re printing out or sending a letter with the correct date. It has to be the same date that you’ll walk in to apply or the same date as when you’ll email your application documents to your prospect employer. It may not seem like much, but for companies with date- or time-sensitive operations this can be a pretty big detail.

3. Recipient/Addressee – This is where research comes into play. Find out the name of the person who will be receiving and reading your application documents, including their position within the company. Make sure to spell the company’s name and mailing address correctly. There’s nothing more embarrassing than showing the company that you don’t even know who they are. Getting this step right will help to ensure that you use the correct…

4. Salutations – There are 2 places where salutations can be said: after the address line, and after the body of the letter. These are used to show that you are addressing the recipient with professional respect. So for the love of all that’s good, try to avoid the clichéd “Dear Sir or Madam” and “To whom it may concern” because they’re pretty inconsiderate to the reader. Also, use a colon [:] instead of a comma [,] for the most proper way to punctuate the opening and closing salutations.

5. Main Body – This is where you introduce yourself and state your intention to apply. The greatest impact can be achieved through introducing yourself and sharing a short story of how you found out about the vacancy and the company, to show that you are genuinely interested. You can actually use keywords from their job ad and include them in the letter, to increase your chances of getting noticed even if they use electronic document screening software .

When describing yourself, be direct about your professional and educational background, your experiences and why you would be perfect for the vacant position and for the company. Also, avoid just enumerating your qualities and skills, because the reader can’t be expected to simply take your word for it without proof. Try to provide examples of tasks or projects and the results that you helped your team achieve.

At the end, reiterate your intention to apply and make it clear that you are hoping and expecting to hear from them after reviewing your application. Remember to thank them for their attention to your letter!

6. “From” line – This one is rather simple, really. Just make sure your name is spelled correctly and sign it legibly. That’s it.

7. Paper – The worst thing to do to a cover letter would be to print it on substandard paper. Make sure it uses the proper paper size in the word processor (letter, 8.5 inches by 11 inches), then print it on proper letter-sized bond paper using black ink. If that’s a bit pricey, especially if you need more than 1 copy, print an original copy on good paper and have it photocopied using the same kind of paper.

Do note that these guidelines apply to both hard copies of your letter and letters sent via email (except the part about paper quality.)

Despite all these things to keep in mind, the cover letter can be a powerful tool for shaping and changing career direction. With the proper use, it can become a functional added touch that sets an application apart from the rest. Don’t worry, if writing a cover letter is not really for you, it’s ok as long as the application requirements of your targeted employer don’t include it.

In case you do apply to a company that requires a cover letter, like some of the big names in the corporate world, remember that the letter can make or break your application. So go ahead, get in touch with your inner letter-writer and start reaping the benefits of this often-forgotten career-seeking tool!

What is the Size of a Short Bond Paper?

Whether you’re making a resume for a job application , writing a business letter, drafting an agreement, or printing a brochure — most likely you are using bond paper. For many decades now, this type of paper has been used all over the world… in schools, offices, businesses, and even at home.

Bond paper comes in different weights, colors, and sizes. One of the most common types is short bond paper , which is widely used in the Philippines and other countries. In this article, we will discuss the various features and uses of short bond paper, as well as how to set this size in several word-processing software programs.

What is the Size of a Short Bond Paper

Table of Contents

Uses of Short Bond Paper

The following are just some of the most common uses of short bond paper:

Brochures. This type of paper is just the right size for a two- or three-fold brochure. You can use it to design and feature relevant information about a topic.

Business Letters. Writing or printing a letter on short bond paper makes it look neat and professional. Add a logo or letterhead (if applicable), especially if you are sending out official business communication.

Contracts. Job contracts, tenancy agreements, purchase orders, and the like are often printed on short bond paper. The paper’s simple and clean design make it easy to read the important details mentioned in such documents.

Drawings. If you like to draw, sketch, or design blueprints, then the short bond paper is an ideal medium for using pencils, ballpoint pens, markers, and other art tools.

Forms. If you work in an office, you probably have different types of forms printed on short bond paper: application forms, attendance sheets, client feedback forms, financial documents, and many more.

Invitations. Creating an invitation — be it for a birthday, graduation, wedding, and other events — is easy when you have short bond paper. Using design software, you can come up with an amazing invitation that can be folded in half, in quarters, or other formats.

Invoices and Receipts. Need to print invoices and receipts for your business? The short bond paper is a top choice for making these documents.

Reports. Using short bond paper, you can print school reports, research papers, office reports, financial reports, product inventory, and much, much more.

Resume. As mentioned earlier, you can print your resume using short bond paper for a neat, clean, and professional look. Don’t forget to add a cover letter, which you can also print on short bond paper!

The above documents are typically printed on short bond paper that is white in color. However, there are other colors available, along with those containing decorative borders and backgrounds. These can be used for different purposes, such as writing personal letters as well as printing customized envelopes.

Short Bond Paper Size in Inches

What is the size of short bond paper in inches? It’s actually quite easy to remember: 8.5 x 11 inches . For comparison, it is three inches shorter than long bond paper, which is 8.5 x 14 inches. This type of paper is usually packed and sold in reams containing 500 sheets each, although smaller, “retail-sized” packs are also available in many stores.

Short Bond Paper Size in CM

When converted to centimeters, short bond paper measures exactly 21.59 x 27.94 centimeters (or 215.9 x 279.4 millimeters).

Is A4 Short Bond Paper?

Sometimes, people confuse short bond paper with A4 bond paper. These are not the same! A4 bond paper is longer than short bond paper by more than 1.5 centimeters, yet slightly narrower by over 0.5 centimeters. To compare:

A4 Bond Paper — 21.01 x 29.62 centimeters Short Bond Paper — 21.59 x 27.94 centimeters

What is Short Bond Paper Size in Pixels?

As you can see, the size of short bond paper in centimeters or inches is pretty much clear and straightforward. However, it is a different matter when we convert the size into pixels, because this will depend on the resolution of an image or document.

In order to determine the size of short bond paper in terms of pixels, you’ll need to use this formula: Inches x Resolution = Pixels.

For example, let’s say that the resolution of an image is 72 PPI (pixels per inch). This is actually the standard resolution for web images. To compute the size of short bond paper for this image, we calculate:

8.5 inches x 72 PPI = 612 pixels 11 inches x 72 PPI = 792 pixels Therefore, the short bond paper size is 612 x 792 pixels.

Meanwhile, it is worth noting that the ideal resolution for printing photographs is 300 PPI. In this case, the computation for short bond paper size is as follows:

8.5 inches x 300 PPI = 2,550 pixels 11 inches x 300 PPI = 3,300 pixels Therefore, the short bond paper size is 612 x 792 pixels.

Once again, keep in mind that the size of short bond paper size in pixels would depend on the resolution of an image or document.

How to Set Short Bond Paper Size in Microsoft Word

Now that you have a better idea about the uses, features, and size of short bond paper in different units, let’s talk about how to set it in word-processing software programs, beginning with Microsoft Word.

Interestingly, the default paper size in Microsoft Word is “letter size,” which is actually the same as short bond paper. That’s right! Every time you open this program, the size of a new blank document is 8.5 x 11 inches — unless the default size had been previously changed beforehand.

If you happen to open Microsoft Word, and you notice that the paper size is not 8.5 x 11 inches, here’s how to set it to letter or short bond paper size:

  • Click the “Layout” tab on the menu.
  • Choose “Size.” A drop-down menu will appear onscreen, featuring the available paper sizes.
  • Select “Letter” (215.9 x 279.4 millimeters).
  • That’s it! The program is now set to short bond paper size.

NOTE: When setting short bond paper size on Microsoft Word, you don’t have to enter the specific measurements, since “letter” or short bond paper size is already included in the list of available (preset) paper sizes.

How to Set Short Bond Paper Size in Google Docs

Google Docs is another popular word-processing program used by many people worldwide. Similar to Microsoft Word, the default paper size in Google Docs is “letter” or short bond paper size.

However, if you notice that the paper size is not “letter” in Google Docs, here’s a step-by-step guide on how to set it:

  • Open a new or existing document on Google Docs, then click “File.”
  • Choose “Page Setup.” The Page Setup dialogue box will appear.
  • Choose “Letter” (8.5 x 11 inches) on the Paper Size field.

NOTE: If you want to set “letter” or short bond paper as the default paper size for Google Docs, simply click “Set as Default” in the Page Setup dialogue box. Then, click “OK” so that the latest changes will apply.

Without a doubt, short bond paper will continue to be regarded as one of the standard paper sizes for a long, long time. Its simplicity, flexibility, and multiple uses make it a top choice among many people — in school, in the workplace, in various businesses, and at home, too.

Long Bond Paper Size Dimensions and MS Word Settings

Long bond paper is a popular paper size used in the Philippines and other parts of the world. It offers a range of advantages over other paper sizes and is widely used for various purposes. In this article, we will explore everything you need to know about long bond paper size, including its uses, dimensions, advantages, and printing guide.

Uses of Long Bond Paper

Long bond paper is commonly used in schools, law offices, and other private agencies. It is widely used for printing documents, such as contracts, legal papers, business letters, and academic papers. Its length and width make it suitable for printing forms, and other official documents. It is also used in printing books, manuals, and other lengthy documents that require multiple pages.

For many years, the Philippine government utilized long bond paper for its official documentation. However, on August 1, 1986, Joint Memorandum Circular No. 1, s. 1986 was released, announcing that the government would be standardizing the size of writing paper used for all official communication and purposes. The use of long and short bond paper (8” x 13” and 8” x 10.5”, respectively) was no longer permitted, and instead, the government would be adopting the A4 size (210 mm x 297 mm), which is a metric measurement. This decision was made in compliance with various laws and regulations pertaining to standardization and the use of metric measurements in the Philippines, with the ultimate objective of promoting consistency and efficiency in government communications and processes.

Dimensions of Long Bond Paper

The standard dimensions of long bond paper in centimeters (cm) are 21.59 x 33.02 cm or 8.5 x 13 inches. In millimeters (mm), it measures 215.9 x 330.2 mm, and in pixels, it measures 2550 x 3900 pixels. The long bond paper is longer than the standard A4 paper size, making it more suitable for printing long documents.

Advantages of Using the Long Bond Paper

One of the main advantages of long bond paper is its length. It allows for printing longer documents without the need for stapling or binding multiple pages together. Additionally, it offers more space for printing tables, charts, and graphs, making it a suitable option for business and academic documents. It also has a professional look and feel, which is ideal for official documents.

How to Set the Long Bond Paper Size in MS Word

If you’re looking to print a document on long bond paper, you may find that Microsoft Word doesn’t automatically offer this option. This can be frustrating, especially if you’re working on an important project that requires specific paper size requirements. Fortunately, setting up a long bond paper format in Microsoft Word is relatively easy. In this guide, we’ll take you through the steps to set up the long bond paper in Microsoft Word, so you can print your documents with confidence.

To set up the long bond paper size in Microsoft Word, follow these steps:

Step 1: Open Microsoft Word and create a new document. Click on the “Page Layout” tab at the top of the screen.

Step 2: Click on the “Size” button, which is located in the “Page Setup” group.

Step 3: Scroll down the list of paper sizes and choose the 8.5″ x 13″ option. If you cannot find it, scroll down and select “More Paper Sizes.”

Click Layout, Size, then choose the paper size.

Step 4: Your document will now be set up for long bond paper format. You can start typing or formatting your document as you normally would.

Once you’ve set up your document for long bond paper, you can print it just like any other document. However, it’s important to ensure your printer can accommodate this paper size before attempting to print. If your printer doesn’t support long bond paper size, you may need to adjust the paper size or use a different printer.

Long Bond Paper vs A4 Size

The table below highlights the main differences between long bond paper and A4 paper.

Long bond paper, also known as legal-sized paper, is bigger than A4 paper and is often used for legal documents and reports. A4 is the standard paper size used in most countries for letters, documents, and notes.

The long bond paper can be used in either landscape or portrait orientation, while A4 paper is primarily used in portrait orientation. The former has a higher print capacity than the latter due to its larger size. However, it is more difficult to fold and may not fit into standard file folders.

While A4 paper is an international standard, long bond paper is not. As a result, it may be more challenging to find it in some countries. It is generally more expensive than A4 paper due to its larger size and lower demand.

In terms of weight, long bond paper is heavier than A4 paper. This can make it more durable, but it can also make it more challenging to carry and store.

Overall, the choice between long bond paper and A4 paper will depend on the user’s specific needs. Those requiring larger print capacity or more durable paper may prefer long bond paper, while those needing a standard size for everyday use may prefer A4 paper.

It is important to note that while the long bond paper size is widely used in the Philippines and some other countries, it may not be the standard paper size in other parts of the world. Therefore, it is crucial to verify the appropriate paper size for specific documents, especially when dealing with international businesses and organizations.

In conclusion, long bond paper is a versatile and reliable paper size that offers several advantages for printing lengthy documents. Its dimensions make it ideal for various purposes, such as legal papers, business letters, and academic documents. By following the guidelines provided in this article, you can easily set the long bond paper format in Microsoft Word and your printer settings, allowing you to print professional-quality documents with ease.

Determine the Size of Bond Paper That You Need

Each person uses bond paper for different purposes. It may be for school work, office printing, doodling, or business. Depending on your needs, it will dictate what size of bond paper you should get. However, some documents may require a specific size as it is the standard for their practice.

Letter-size bond papers that measure 8.5 x 11 inches are often used in school essays, office memos, snail-mail, and flyers . Others like the legal size, which measures 8.5 x 14 inches and is typically used in contracts, real estate & accounting documents, and wills- there's extra space for notes and signatures.

Office documents also have standard sizing; A4 is the most common size used for business letterheads . It measures 8.3 x 11.7 inches. Some sizes, such as the A3, which measures 11.75 x 16.5 inches, are used for plans, posters, and art prints. It is best to check which sizing will best suit your purpose for printing or writing.

Choose the Right GSM Based on Your Purpose

Some bond papers feel better than others. While some can feel flimsy and might disintegrate easily, there are others with a solid and supple feel to them. The difference comes from the grain size measurement or GSM of the bond paper which is also classified by the substance weight of the paper.

56 GSM for Multiple Prints Such As Flyers or Quick Information Sheets

For mass printing that focuses on dissemination and quantity , it is best to use 56 gsm paper, also known as Substance 16. It is much thinner, and if you look through it against the light, it can let some of it pass through, which is indicative of the number of pulp present that directly affects its thickness.

The paper, however, absorbs ink well and can last a few folds and crumples , which makes it good for flyers and prints that focus on getting information to as many people as possible without the fear of the paper getting ruined.

70 GSM Is Good for Business and Official Documents

For documents that contain important or sensitive data that might pass hands multiple times , going for a thicker paper is a must. A Substance 20 bond paper, or 70 gsm, presents sufficient rag pulp per square meter. This means that there is more fiber present in the paper, making it thicker.

The presence of the fibers also promotes good ink absorption, leading to a crisper and clearer print . That is why this is the common choice for resumes, office documents, and general printing, as it provides a quality print that doesn’t hurt the bank.

Go for 80 Gsm if You Want the Best Quality for Your Prints

Going for the best paper leaves an impression on people who get to see it. Using the highest quality of bond paper is reserved for prints that need to stand the test of time while having the best ink absorption and print clarity . Going for a Substance 24 bond paper, which has an 80 gsm value, is sure to give outstanding results.

This is suitable for  contracts, government bonds, budget proposals, and legal documents , which contain highly important information. The GSM helps retain information, making it legible and helping it survive through years of abuse from the passing of hands and everyday usage.

Know the Number of Sheets That You Need For Your Documents

When buying supplies, the common practice is to get what you need. This also applies to bond papers. If you purchase a 500-sheet ream of bond paper only to use it rarely, it would be a waste. Even if you store it, there might be a chance that the paper disintegrates through humidity damage or pests .

Thus, before purchasing, it's best to check how much you will need. Getting a 20pc or 50pc pack is a good place to start if you only need it for the occasional school paper or resume. If you require printed documents regularly, going for a 200 or 500-paper ream is economical as it can save on cost.

Consider Recycled Bond Papers to Help Minimize Waste

The use of paper is detrimental to our environment as the pulp used to produce them comes from trees. If this concerns you, some companies push recycled sheets that reuse paper waste. The pulp is chemically treated to remove any ink and is formed into paper again.

The resulting product is almost the same as a brand new bond paper with only minor imperfections in the pulp- which are only noticeable if scrutinized closely. This is good for recreational printing and is good enough for official documents and resumes. Not only is it cheaper, but it also helps save the environment.

The “long bond paper size mm philippines” is closely connected to the “International Standards: ISO 216.” The ISO 216 is a set of international standards for paper sizes, established by the International Organization for Standardization (ISO). It defines a series of paper sizes, including the A series, B series, and C series, which are widely used around the world.

Among these series, the A series is particularly relevant to “long bond paper size mm philippines.” The A series is based on the principle of halving, where each size is obtained by halving the previous size along its longest dimension. The most common size in the A series is A4, which measures 210 mm x 297 mm.

In the Philippines, long bond paper is typically manufactured to conform to the ISO 216 A4 size. This means that long bond paper in the Philippines measures 216 mm x 330 mm, which is slightly longer than the standard A4 size. This difference in length is due to historical factors and local preferences.

Environmental Impact

Exploring the nexus between “Environmental Impact: Paper consumption and sustainability” and “long bond paper size mm philippines” unveils a critical connection that warrants attention. The size and consumption of paper have a direct bearing on environmental sustainability, and understanding this relationship is crucial for responsible resource management.

The production of paper, including long bond paper, requires significant amounts of raw materials, energy, and water. Forests are the primary source of wood pulp, a key ingredient in papermaking. The demand for paper often drives deforestation, leading to habitat loss, biodiversity reduction, and carbon emissions. Additionally, the manufacturing process itself consumes substantial energy and generates wastewater and air pollution.

By choosing to use long bond paper sustainably, individuals and organizations can contribute to reducing paper consumption and its environmental impact. Sustainable practices include using recycled paper, which reduces the demand for virgin wood pulp. Additionally, adopting digital document management systems and promoting paperless communication can further minimize paper consumption.

  • Digital File Formats: The advent of digital file formats, such as PDF, DOCX, and TXT, enables documents to be created, stored, and shared electronically, eliminating the need for physical paper. This reduces paper consumption and storage space requirements.
  • Cloud Storage and Collaboration: Cloud-based storage platforms allow multiple users to access, edit, and collaborate on documents in real-time, regardless of their physical location. This eliminates the need for physical document exchange and photocopying, further reducing paper usage.
  • Electronic Signatures and Legal Validity: Electronic signature technologies provide a legally binding alternative to traditional handwritten signatures, enabling documents to be signed and executed digitally. This eliminates the need for printing, signing, and scanning physical documents, streamlining workflows and saving time.
  • Document Archiving and Retrieval: Digital document archiving systems offer secure and organized storage of electronic documents, making them easily searchable and retrievable. This enhances document management efficiency and eliminates the need for physical storage space.

The transition to electronic document formats alongside the continued relevance of “long bond paper size mm philippines” presents opportunities for hybrid document management systems that combine the benefits of both physical and digital formats. Use regular size, 8-1/2 x 11 sheets. Just print a few samples, you don't need your entire history.

bidrod said: Mark everything I have found on the BI checklist states the folder needs to be 8½ x 14 in., nothing stating the size of the correspondence included in the folder. Chuck Click to expand...

We secured a ream legal/14 inch 70 gsm paper from National book store in Manila some 8 + years ago, believing it was the norm here, it went back to Australia and yes back here in the Philippines. personally 80 gsm is much better and honestly it was only a few docs that we needed for that sized paper and probably not. Scanning or photocopying 14 inch legal docs? Who has such a scanner? Even our registered land title is on A4 and that suits the printer/scanner we have and is a legal document. All the paperwork required through our immigration agent for PH. immi and Oz immi for Ben to emigrate to Australia was on A4, some 600 plus pages. While I haven't read Chuck's post in that topic he is correct with what is stated on many government sites with regards to the folder size, we have accomplished applications and supplied a manila folder (correct size from National book store) as requested but all the docs within were A4. and never slapped including the manila folder being returned after the application/s were submitted. So the legal sized paper we purchased all those years ago is now scratch and plan paper but I'll make sure we hold 50 or so sheets just in case. Only an opinion but I think that perhaps it looks really cool if you work for a government institution, putting together a proposal for requirements noting legal size paper,,,,,,,, looks really good on your resume when applying for your next job. If it was the norm here I'm sure printers/scanners would be sold to accommodate wishful thinking. OMO and an interesting topic. Cheers, Steve.

What's the Size of Long Bond Paper in Philippines?

www.affordablecebu.com

I'd like to hear something from the PBI so I've sent them a message on their Official Face Book page, once I get that I'll post it. That's a long agonizing trip for me and I'll bet a few others and so I want to make sure I have it all correct and still I'm going to print and extra set on 8.5 x14" because? I'm not even sure I can find that sized paper anymore either but Steve the large copiers can handle this size the print shops never have it in stock though. Chuck what you say makes a lot of sense from what I read online the folder is usually a little larger than the documents so 8.5 x 13" is starting to make sense. Reason I didn't use that size is that I was told that size was used by the school system mainly.
